CONFERENCE RULES

Terms

‘Oxford Global’ is Oxford Global Education Development Ltd.


‘The Conference’ is the Oxford Model United Nations (OxfordMUN) Conference, 3–5 November 2023
and includes all activities listed on the Conference schedule.
‘Conference venues’ are all venues associated with Conference activities and venues associated with
other optional activities; these venues include but are not limited to the King’s Centre, the Examination
Schools, the Sheldonian Theatre, the Oxford Town Hall, and Oxford college dining halls.
‘Conference organisers’ are all OxfordMUN secretariat members and all members of Oxford Global’s
Board of Directors.
‘Conference staff’ are all OxfordMUN secretariat members, Oxford Global’s Board of Directors,
committee directors and student volunteers.

Alcohol Policy

Consumption or possession of alcohol at the Conference will not be tolerated under any circumstances. If
a Delegate is found to possess, consume or to have possessed or consumed alcohol at the Conference, the
participant’s school will be immediately expelled from the Conference; criminal complaints may be
pursued against the participant in question.

Controlled Substances and Smoking Policy

The use of controlled substances and drugs will not be tolerated under any circumstances. The school of
any participant found to unlawfully possess or use, or to have possessed or used any controlled substance
will be immediately expelled from the Conference; criminal complaints may be pursued against the
participant in question. Cigarette smoking is NOT permitted in Conference venues.

Venue Courtesy

Participants will be held responsible for vandalism or any other damage that occurs in Conference venues.
Rowdiness in the hallways, excessive noise, roughhousing, throwing objects, accessing prohibited areas of
the premises, or other unruly behaviour will not be tolerated. False fire alarms will be dealt with severely.
The Conference organisers reserve the right to eject Delegates for these or other disruptions to the safety
and wellbeing of other individuals.

Valuables

Delegates are responsible for their own belongings and valuables at all times. The Conference organisers
accept no responsibility for the loss of Delegates’ valuables or personal possessions.

Accidents and Injuries

Each participant is responsible for their own safety. The Conference organisers accept no responsibility
for accidents and injuries.

Expulsion from the Conference

The Conference organisers reserve the right to expel any Delegate, delegation, school, or group from the
Conference at any time for violating or failing to comply with Conference security rules, or for any other
reason. Oxford Global has a zero-tolerance policy concerning alcohol and controlled substances, and
violations of the alcohol or controlled substance policies will always result in expulsion. Expulsions take
effect immediately at the time they are issued. All Conference registration materials (i.e. badges and
placards) must be surrendered to Conference staff and security upon expulsion.

Dress Code and Conference Badges

The safety of Conference participants is of paramount importance. To maintain and enhance Delegate
security, all Conference participants are required to visibly wear Conference badges at all times during the
Conference; all Delegates are required to adhere to the Conference dress code as outlined by Conference
organisers to Faculty Advisors. Participants who fail to adhere to these rules may be excluded from
Conference proceedings and events; Conference security staff may bar entrance to participants without
Conference badges. Conference staff members reserve the right to check Conference badges of any
participant at any time, for any reason whatsoever. Failure to display a valid badge may result in expulsion.

Identification

The safety of Conference participants is of paramount importance. To maintain security, all Conference
participants are required to have official (government-issued) photo ID easily available at all times during
the event. Conference staff members reserve the right to check the ID of any participant at any time.
Failure to display a valid photo ID may result in expulsion.

Photography and Video

Throughout the Conference, staff and representatives may take photographs, videos, and interviews that
show Conference participants during and in between committee sessions, and which may be used for
promotional, educational, or other purposes. By attending the Conference and signing the liability release
form, participants consent to being photographed, videotaped and/or interviewed and authorise Oxford
Global to use those photographs, videos, and/or interviews in any manner of its choosing.

Other Rules

These rules exist in addition to those established by UK laws and ordinances, participating schools’
policies, and common sense. Serious infractions will result in dismissal from the Conference of those
involved. Conference staff members reserve the right to issue additional rules or to alter existing rules at
any time at their discretion.

Interpretation of Rules
All authoritative determinations of fact and interpretations of Conference rules and policies are to be
made by the organising committee of the Conference.

DELEGATE LIABILITY RELEASE FORM

By signing this liability release form, each participant agrees to abide by the rules of the Conference
organised by Oxford Global Education Development Ltd (‘Oxford Global’ or ‘OG’). These rules are
established for participants’ safety, as well as for that of the staff and other guests. Rules will be strictly
enforced by Conference staff.

Every delegate participating in the Conference must sign and return a copy of this form before
registration can be completed. Delegates under the age of 18 must also obtain a signature from a parent
or legal guardian. Delegates without a completed release form on file prior to the Conference will not be
permitted to register and will thus be unable to participate in any Conference activities without
expectation of refund.

organisation, the ‘School’) hereby indemnify and hold harmless, to the fullest extent permitted by law, the
University of Oxford, OG, their directors, officers, employees, staff, volunteers, and any agents from and
against any and all claims, liabilities, losses, accidents, injuries, costs, or obligations including, but not
limited to, attorneys’ fees and expenses, which may arise out of my participation in the Conference.

I also declare that I have read, understood, and will adhere to the Security Rules of the Conference, as
well as the OG Terms & Conditions, and that I will adhere to the applicable laws of the United Kingdom.
I declare that I will adhere to any additional rules promulgated by OG before and during the Conference,
including but not limited to those published in the Conference handbook and those announced to Faculty
Advisors. I give my consent to be photographed, videotaped, and/or interviewed by OG and for said
photographs, videos, and interviews to be used by OG staff in any manner of their choosing. I
understand that refunds or other considerations will not be granted to those registered participants unable
to attend the Conference for any reason, including but not limited to travel delays, visa issues, or illness,
and I agree that I may be expelled from the Conference at any time for violating this agreement with no
expectation of refund. Though OG has safety and security measures in place, I acknowledge that OG
shall not have or assume responsibility for participant supervision and oversight during the Conference.

I agree that this agreement is enforceable to the fullest extent of the law, and that any provisions herein
found invalid as a matter of law will be deemed severable from the balance of the agreement.
