Instructions to the provisionally selected candidates

1. The provisional Admission offer letters are being sent individually by email.
2. The selected candidates are required to report physically at NITK for completing the admission
formalities at the Institute on 22.12.2022, 23.12.2022 and 26.12.2022.
3. An online Admission portal will be made active from December 22, 2022 (Thursday) to fill-up
Online Admission form for all those candidates who have been provisionally selected for PhD
programme at NITK . The candidates are advised to login to the admission portal in the IRIS
(link https://iris.nitk.ac.in/admission/admissions/login using PhD application credential, fill in
the required details and upload the documents listed below (scanned copies of the original) for
admission to the institute and pay the prescribed Institute’s Fee for admission to the institute.
The candidates are directed to pay the fee online in IRIS portal (Payment link will be available
on IRIS portal between 22.12.2022 to 26.12.2022).

The scanned copies of the following Original documents are to be uploaded by the candidate
at the time of online reporting for admission at the Institute
1. Provisional Admission offer letter issued by competent authority.
2. Original GATE/NET score card (if applicable)
3. Photo ID proof as per Govt. of India norms (Copy of Aadhar Card is compulsory)
4. Original Certificate of Date of Birth issued by competent authority/Class X (High School) Board
Certificate as a proof of date of birth.
5. Original Mark sheet of Class XII
6. Original Grade/Mark sheets of qualifying examination (PG) for all the semesters
7. Original Degree / Provisional certificate for PG , if degree is completed
8. Original Certificate of category (OBC-NCL/SC/ST), if applicable, as per Government of India,
issued by the competent authority. In case of OBC-NCL category, the certificate must be issued on
or after April 1, 2022
9. Original Income and Assets Certificate for EWS candidates, if applicable, as per Government of
India, issued by the competent authority. The certificate must be issued on or after April 1, 2022.

 10. Original Certificate for Persons with Disabilities (PWD), if applicable, issued by the competent
authority.
11. Undertaking to be submitted by OBC-NCL candidate in the format provided (Annexure I)
12. Sponsorship certificate and No objection certificate (for External Registrants, Full time sponsored
candidates and Internal Registrants in the prescribed format)
13. Relieving Certificate in the case of full time Sponsored Candidates
14. Passport size photograph.
15. Medical fitness certificate
16. Original Conduct Certificate from head of the institution last attended
17. Original Migration certificate of last institute/university attended
18. Original Transfer certificate from the head of the institution last attended
(If any certificate is in language other than Hindi or English or Kannada, translation of the same
in English is to be produced certified by the competent authority)

4. Hostel Facility

Hostel facilities are available for all the students. Hostel Room Allotment will be done to the admitted
students at the time of admission.
Important Note
(1) Candidates belonging to OBC –NCL or EWS category are required to submit the certificates in the
prescribed format available in the NITK website (i.e. www.nitk.ac.in) and issued on or after April 1, 2022.
The certificates issued earlier than the prescribed date are not acceptable and no affidavit or
undertaking in this regard will be acceptable during the online reporting at the Institute.
(2) Caste certificate (SC/ST/OBC-NCL) issued by Maharashtra State must be validated by Social Welfare
department (in case of SC and OBC-NCL category) and Tribal Welfare department (in case of ST
category) of Maharashtra Government. The SC/ST/OBC-NCL candidates of Maharashtra State have to
produce their caste validity certificate.
(3) The candidates who belong to PWD category must submit the certificate issued from a competent
authority in the prescribed format available in the NITK website (i.e. www.nitk.ac.in). They also need
to submit an undertaking along with the certificate. The prescribed format for the undertaking may be
downloaded from the NITK website.
(4) The candidates whose examination for Master’s degree study has not been completed or who are
awaiting for their result, must submit a Course completion certificate duly signed by the Head of their
Institution in the prescribed format. The prescribed format is available in the NITK website. A self -
declaration in this regard is not acceptable. Such candidates should also submit an undertaking in
the prescribed format available in the NITK website along with the course completion certificate.
(5) The candidates who do not have or are not able to get the conduct certificate, transfer certificate and
migration certificate presently may submit the same at a later date after online reporting. However, such
candidates may write a request letter to Dean (Academic), stating the reason for not submitting these
certificates and upload the same on the IRIS portal. However, all the other listed documents (as
applicable) are to be submitted without fail.
(6) The candidates who have been selected under full time sponsored or External Registrant- sponsored
category must submit the sponsorship and No objection certificate from the sponsoring organization in
the prescribed format available in the NITK website.
(7) The candidates who have been selected under Internal registrant -NITK category must submit a
sponsorship-cum-clearance certificate from the Dean (R&C), NITK.
