1. Introduction

Empowering Pharmacists for Tomorrow:


Navigating the Global Healthcare Transformation

Adapting to the rapid changes of our society, the field of pharmacy is also expanding and evolving
swiftly. As future pharmacists, our role extends beyond mere adaptation; we must emerge as proactive
leaders driving the advancement in the field of pharmacy. The 69th IPSF World Congress 2024 features
relevant symposiums and workshops, providing opportunities to discuss the future of pharmacy with
students from all over the world.

Our mission and vision are outlined as follows:

• Mission : To engage in the shifting paradigms in the healthcare system by acquiring diverse
knowledge and experiencing its practices.
• Vision : To strengthen pharmacists professions by developing strategy and insight of
future pharmacy.

The 69th IPSF World Congress 2024 will take place as below:

*Registrations for Leaders in Training and the Post Congress Tour are included in the World
Congress Registration Form.
*Each Member Organisation (MO) is allocated a quota of 3 Official Delegates.
*There is no specific quota for Official Delegates (OD) in Phase 1 First Wave. (i.e. no max, even
if the numbers exceed 100)
*The remaining spots from the First Wave will be open to both the Official Delegates (OD) and
Regular Delegates (RD) during the Second Wave IF the number of Official Delegates registered in
the First Wave does not exceed 100 delegates.
*Phase 1 Second Wave (28th Feb - 6th Mar) will be on a first-come, first-served basis.
*Phase 2 has a quota of 150 delegates.
*There is no specific quota for Phase 3.
*All timelines are based on GMT+0.

*The fee for the Post Congress Tour DOES include a one-way flight fee from Gimpo International Airport
(GMP) to Jeju International Airport (CJU) and DOES NOT include any flight fee out of Jeju International
Airport (CJU).
*The WC Reception Committee will be booking the flights from GMP to CJU for the delegates.

4. Registration Procedure

Step 01 Filling out the Registration Form


Complete the 69th IPSF World Congress Registration Google Form.
The Registration Form is distributed to the Contact Person (CP) emails, and made
available through the official 69th IPSF World Congress 2024 social media platforms.

Step 02 Paying the Registration Fee


(Refer to more details in 5. Payment Procedure)
For individual payment, please follow the procedure written in 5-1.
For group payment, please follow the procedures written in 5-2.

Step 03 Completion
Receive a Payment Confirmation email attached with a file named ‘Payment
Confirmation_Registration ID Code’. This email completes applicants’ registrations.

Method

01 Individual Payment Procedure

Step 01 Receive an invoice attached in the Registration Confirmation email after the
submission of Registration Google Form.

Step 02 Complete the payment within 5 days after the Registration Form submission.

Step 03 Send a proof of payment to 2024ipsfwc.register@gmail.com by replying to the


Registration Confirmation email.

- Attach a high-quality photo or a screenshot of your payment as proof


- Format the subject of your mail as:
‘Payment Proof_Full Name_Name of Organisation_Phase (Number)’
Ex) Payment Proof_Yuna Oh_KNAPS_Phase 1

Step 04 You will receive a Payment Confirmation email attached with a file named ‘Final
Confirmation of Registration_Registration ID Code’

- An invitation letter will be sent along with the Payment Confirmation email for those
who request one. Applicants can request an invitation letter from the Registration Form.

02 Group Payment Procedure

Group Payment Information

• Group payment can be made for a maximum of 3 delegates for Official Delegates (ODs) and
a maximum of 5 delegates for Regular Delegates (RDs) who registered in the same phase.
If delegates wish to combine the payment for ODs and RDs, it is allowed only from Phase 2 and
onwards, with a maximum of 5 delegates (regardless of ODs and RDs). Kindly note that ODs
who wish to register as group payment in Phase 2 must pay the Phase 2 registration fee.

• Phase 1 delegates making group payments can only do so with delegates of the same type.

• The number of delegates in group payment is limited due to the maximum amount per
transfer permitted by the bank.

• All delegates in a group should be from the same organisation.

Step 01 Receive an invoice attached in the Registration Confirmation email after the
submission of Registration Google Form.

Step 02 One representative member of the group must complete the payment within
5 days after the Registration Form submission of the last person from the
group. All individuals’ Registration Form must be submitted prior to making
the group transfer.

Step 03 The remitter should send a proof of payment to 2024ipsfwc.register@gmail.


com by replying to the Registration Confirmation email. Please include the full
names of all delegates included in the group payment.

- Format the subject of the mail as:


‘Payment Proof_Full Names of All Delegates_Name of Organisation_Phase (Number)’
Ex) Payment Proof_Yuna Oh, Minjae Kweon, Chan Lee_KNAPS_Phase 1

- Please Cc all delegates of your group in the email. (Cc the same email address each
delegate submitted through the registration form.)

*Following files (①~②) should be attached to the Proof of Payment email:


① High-quality photo or a screenshot of the payment proof
② Group payment invoice

Step 04 Each member of the group will receive a Payment Confirmation email attached
with a file named ‘Final Confirmation of Registration_Registration ID Code’

- An invitation letter will be sent along with the payment and registration confirmation
email for those who request one. Applicants can request an invitation letter from the
Registration Form.

Note:
*Payments are only accepted in Korean Won (KRW) or Euro (EUR) currencies.
*Payment can only be made through bank or Wise transfer.
*Registrants must cover all handling/transaction or bank service fees. Transaction fees may vary
among different banks.
*Note that the Reception Committee must receive the full registration fee, excluding the transaction
fee, to confirm your registration.
*Transfer the appropriate amount based on your phase of registration. If you have selected LiT or
PCT, please consolidate the amounts before transferring.
*If you wish to make a payment upon arrival due to special circumstances (e.g., regions where
online and Wise transfers are not possible), please inquire via email (2024ipsfwc.register@gmail.
com) with specific justification. Each request will be evaluated based on the provided explanation,
and not all requests for payment upon arrival will be accepted.

7. Cancellation Policy
If one cannot attend the World Congress after completing the payment, a refund may be requested
based on the following refund policy:

*Please note that any bank handling/transfer fee will be deducted from the total amount of
registration fee refunded
*For the cancellation of registrations via upon-arrival payment, the registration fee payment can
proceed in either way shown below.

Method 1. It should be paid by the Member Organisation’s ODs upon arrival.


Method 2. If Method 1 is not viable, it will be added to the Member Organisation’s Membership Fee
invoice, through prior agreement with the IPSF Treasurer and the Reception Committee.

*As per the cancellation policy above, upon-arrival payments cannot be refunded.
*In the event of force majeure(including natural disasters and human-caused disasters) or a national
emergency that makes hosting the 69th World Congress impossible, a 75% refund (excluding
transaction / handling fees) will be available to all delegates.

- Force majeure includes natural disasters such as storms, floods, tsunamis, earthquakes, landslides, and human-
caused disasters like infectious diseases (e.g., COVID-19) resulting in loss of life, property damage, and significant
impact on biological activities due to damage to facilities.
- Refunds are only possible if the occurrence of force majeure or a national emergency is objectively confirmed
through news, photos, or similar means.
- If partial refunds have already been processed, converting them to a full refund is not possible even if a force
majeure event occurs.

*After registration is completed, participants are not allowed to transfer their registration to a third
party.

Step 02 Once the notification for cancellation is received, confirmation of the refund
approval and further instructions on the refund transfer will be sent within 7
days. The terms of cancellation are applicable under all circumstances, such as
but not limited to the official refusal of the delegate’s visa.

01 Changes to Registration
If you need to make changes to the registered information, such as but not limited to :

• Personal Information (ex. name, E-mail address)


• Cancellation/Registration of PCT and/or LIT
• Group payment delegates

You have 5 days after your initial submission to re-submit your form and to inform
2024ipsfwc.register@gmail.com of the changes you have made. Ensure that the
subject of your email is formatted as ‘Changes in Registration_Full Name_Name of
Organisation_Registration Phase (Number)’

02 VISA Information
Foreigners entering Korea must have either a VISA or K-ETA
*Please note that delegates should obtain a VISA or K-ETA individually

1) For short-term visits (within 90 days), a Short-Term Visa (C-3) is required.

*Please note that the fee for applying for a VISA or K-ETA is not supported by the
Reception Committee.

- Foreigners intending to enter with a visa waiver must obtain K-ETA approval before
boarding the flight. Please be aware that the screening process may take over 72
hours, so kindly apply with due consideration.

※ From 1st Apr 2023 to 31st Dec 2024, electronic travel authorization (K-ETA) is
temporarily exempt for the following 22 countries and regions.

03 Registration Procedure
Official Delegates (ODs) are representatives to the General Assembly upon provision
of Credential Form signed by the Contact Person and President of the respective
organisation. Each member organisation can send up to 3 ODs. If you are not an OD,
you can participate in the World Congress as a Regular Delegate (RD).

Q. Can RDs wishing to register in Phase 1 make a group payment


with the ODs?
In Phase 1, group payment is only possible within ODs or within RDs. Please note
that a combination is NOT allowed in Phase 1, both First Wave and Second Wave,
respectively. For ODs wishing to make group payment with the RDs, registration is
only acceptable from Phase 2.

Q. Is there a quota of delegates for each phase of registration?

There is no specific quota for Official Delegates in the First


Wave. However, if the Second Wave opens, the quota for Phase
Phase 1
1 will be limited to a total number of 100 delegates (RD and OD
combined.)

Phase 2 Yes, 150 delegates - this applies to both ODs and RDs.

04 Group Payment
Q. Can delegates from different organisations make group
payments?
No. Delegates from different organisations are not permitted to make group
payments. This restriction is made to address the challenges associated with
facilitating the registration process and managing the complexities and risks in
processing cancellation policies.

05 Post Congress Tour


Q. Is a Visa or any documents required to enter Jeju Island for PCT?
No Visa or additional documents are required to enter Jeju island since we will be
using the ‘domestic flight’ from Gimpo International Airport (GMP) to Jeju International
Airport (CJU). Only a valid passport is required.

Q. Do I have to buy a flight ticket to Jeju individually for PCT?


No. A delegate who joins PCT does not need to individually purchase a flight ticket to
Jeju, as the cost of the flight ticket to Jeju is already included in the PCT registration
fee. The WC Reception Committee will handle the flight booking from Gimpo
International Airport (GMP) to Jeju International Airport (CJU) on behalf of the PCT
participants.

06 Alumni Package
Q. Can alumni join the 69th IPSF World Congress 2024?
Yes. The Alumni Package will be provided separately, and it will differ partially from
the World Congress schedule of the delegates. The final schedule and registration
guideline for the Alumni Package will be announced in March.

07 Cancellation Policy
Q. Can I receive a refund if I discontinue participation during the
congress due to reasonable issues?
As per the stated in 7. Cancellation Policy (p.11~12) above, we cannot provide a
refund under any circumstances once the WC commences.
