SOFTWARE
APPLICATION
Page |2

A software application, commonly known as an "app," is a computer program designed

to perform specific tasks or functions for end-users. These applications are created to
address various needs and requirements across different domains. Software applications
can range from simple utilities and productivity tools to complex and specialized
programs.

The application software is referred to as application packages. Application software

includes; Word Processing Packages like M.S. Word, Word Perfect, Word Star, and e.t.c.
Spread Sheet Packages like Lotus 1-2-3, M.S. Excel, Quatro Pro, D-Base Paradox, M.S.
Access etc. Accounting packages, Dac Excel, Pacioli 2000 etc., Graphic Packages; e.g Lotus
Freelance, Corel Draw, Venture, etc. Architectural packages; like Auto Card, Customized
Packages; Payoff Packages and Stock Control Packages, etc.

Key characteristics and types of Software Applications

1. Purpose-Built Functionality: Each software application is designed with a specific

purpose or set of functionalities. For example, word processors are designed for
creating and editing documents, while web browsers are intended for navigating
and interacting with content on the internet.
2. User Interface (UI): Software applications provide a user interface through which
users interact with the program. This interface can vary in complexity, from simple
command-line interfaces to graphical user interfaces (GUIs) with buttons, menus,
and other visual elements.
3. Platform Compatibility: Applications are developed to run on specific operating
systems (e.g., Windows, macOS, Linux) or devices (e.g., desktops, laptops,
smartphones, tablets). Some applications may be cross-platform, meaning they can
run on multiple operating systems.
4. Development Technologies: Software applications can be developed using
various programming languages and development frameworks. The choice of
technology depends on factors such as the intended platform, performance
requirements, and the developer's preferences.
5. Distribution: Applications are distributed to end-users through various channels,
including physical media (CDs, DVDs), digital downloads from websites, and app
stores. Mobile apps, in particular, are often distributed through platforms like the
Apple App Store or Google Play Store.

6. Updates and Maintenance: Developers release updates to improve software

performance, add new features, and address security vulnerabilities. Users can
typically download and install updates to keep their applications current.

Categories of Software Applications

1. Productivity Software: Tools like word processors, spreadsheets, and

presentation software.
2. Web Browsers: Applications for navigating and interacting with the internet.
3. Multimedia Software: Players for music, video, and image files.
4. Communication Software: Email clients, instant messaging apps, and video
conferencing tools.

WHAT IS MICROSOFT WORD?

Microsoft word is a word processing application software. It can be used to write

anything; a small paragraph, a list or even a long document. You can edit it and give a
variety of layout to a word document. You can also check spellings, grammar and
pictures in your text. Therefore, Microsoft word can simply be defined as a program that
enables the user to type, edit, and format text.

WORD WRAPPING In
the Microsoft word
environment, as in
most word processing
packages, you do not
need to press enter
key while you are
typing to go to the next
line when the end of
the line is reached, this
concept is known as
word wrapping. You
only use the enter key
when you have
reached the end of a paragraph in which case, you probably have a short line or when to begin a
new paragraph or create a space between paragraphs.

Microsoft Word Menus and Toolbars

 The Quick Access Toolbar (QAT) is a customizable toolbar in Microsoft Office

applications, including Microsoft Word, designed to provide quick access to frequently
used commands. It allows users to add their favorite or frequently accessed commands,
making them easily accessible with a single click. The Quick Access Toolbar is present in
the upper-left corner of the application window, typically above or below the Ribbon.

 The Ribbon in Microsoft Word is organized into tabs, each containing groups of related
commands. Tabs are designed to group commands based on the tasks or functionalities
they pertain to. Each tab represents a category of features, and the commands within a
tab are organized into logical groups.

 The title bar is a standard component of the graphical user interface in many software
applications, including Microsoft Word. It is located at the top of the application window
and typically displays the name of the document or application along with various
control buttons.

 Window Control allow users to manage the state and appearance of the Word
application window.
Page |8

 Help Button provided access to various help-related features.

 Vertical Scroll Bar is a user interface element that allows you to scroll up and down
through the content of your document. It is typically located on the right side of the
Word window. The vertical scroll bar consists of a draggable slider (or thumb) and
directional arrows at the top and bottom.

 Zoom Tools allow you to adjust the magnification level of your document, making it
easier to view and work with different parts of the content. The zoom tools in Word are
typically found on the status bar at the bottom right corner of the application window.

 View Buttons and options allow users to customize the way they see and interact with
their documents.

 Status Bar in is located at the bottom of the application window. It provides information
about the document and offers quick access to various features.

 Text Area typically refers to a user interface element that allows users to input, edit, or
display text. The characteristics of a text area may vary depending on the specific
application or platform.

 Document information typically refers to details or metadata associated with a

document. This information provides additional context about the document, such as its
properties, authorship, creation date, and other relevant data.

 Vertical Ruler provides a visual reference for adjusting the indentation and tab settings
in your document. The vertical ruler is typically displayed along the left edge of the
document window.

 Tab Selector allows you to set and customize tab stops for aligning text in your
document.

 Office Button is part of the Ribbon interface and is designed to centralize file-related
commands and options.

Microsoft Access is a relational database management system (RDBMS) developed by

Microsoft. It is a part of the Microsoft Office suite of applications and is designed to
provide an easy-to-use platform for creating and managing databases. Microsoft Access
allows users to build robust databases without requiring extensive programming
knowledge.

Key Features and Functionalities of Microsoft Access

 Relational Databases
 Access is built around the concept of relational databases, where data is
organized into tables, and relationships between tables can be established.
 Tables
 Users can create tables to store data. Each table consists of rows (records) and
columns (fields) where data is stored in a structured format.
 Queries
 Access provides a query interface to extract, filter, and analyze data from one or
more tables. Queries allow users to retrieve specific information based on defined
criteria.
P a g e | 27

 Forms
 Users can create custom data entry forms to simplify data input and improve user
interface. Forms can be designed to reflect the structure and layout of the
underlying tables.
 Reports
 Access allows users to generate professional-looking reports to present data in a
readable and organized format. Reports can include charts, graphs, and other
visual elements.
 Macros
 Macros in Access enable users to automate repetitive tasks by recording a series
of actions. This is a simple way to automate common processes without
programming.
 Modules and VBA (Visual Basic for Applications)
 For more advanced customization and automation, users can use VBA, a
programming language integrated into Access. Modules and VBA provide greater
control over the database and its functionality.
 Relationships
 Access allows users to define relationships between tables, ensuring data
integrity and enabling the creation of complex databases with interconnected
data.
 Data Import and Export
 Users can import data from external sources and export data to various formats,
facilitating interoperability with other applications and databases.
 Security Features
 Access provides user-level security features, allowing administrators to control
access to different parts of the database. This includes setting user permissions
and securing sensitive information.
 Integration with Other Office Applications
 Access can be integrated with other Microsoft Office applications, such as Excel
and Word, for seamless data sharing and reporting.
