Subject : Discrepancies in the Weekly Progress Report dated 26th June 2024 2 July 2024

Dear Sir,

With reference to the above-mentioned subject, we are hereby writing to address the discrepancies
identified in the weekly progress report presented by the contractor on 26th June 2 July 2024
where the Contractor reported the planned percentage as 98.02 98.23% and actual percentage as
95.03% 95.62%while based on Engineer’s review and validation of the physically site progress, it is
noted that there are significant inconsistencies between the reported progress and the actual
status of project, accordingly the Planned percentage should be 99.52% 99.61% as per approved
baseline and the actual is 90.13 %.92.53%

Examples:
Below are the few examples of the major inconsistencies in the report dated 26.06.2024:
1) Final Paint Coat:

The reported progress of the Final paint coat in warehouses, shops and offices is 90% while as the
final paint coat has not yet even started.

2) Kerbstones Fixing (CEXT.E&S00.002200):

The reported progress of the Kerbstones fixing is 100% while as the actual progress is not more
than 30%.
3) Roof Fall Arrest System (C00.R&E00.00250):

The reported progress of the Roof Fall Arrest System is 100% while as the actual progress is not
more than 50%.
4) Installation of CCTV system (CIM.ME1F.3X8220):

The reported progress of the CCTV installation is 70% while the CCTV installation has not even
started at site.

5) Installation of Lighting fixtures (CIM.ME3F.3X150):

The reported progress of the Installation of Lighting fixtures is 95% while as the actual completion
is not more than 70%.

6) Fixing of Fire Extinguishers (CIM.ME2F.3X170):

The reported progress of the Fixing of Fire Extinguishers is 100% while as the actual completion is
not more than 60%

7) Fire Hose Reels and Cabinets (CIM.ME7F.3X110):

The reported progress of the Fire Hose Reels and Cabinets is100% while as the actual completion is
not more than 60%,

Hence, in light of the above and in order to ensure clarity and alignment, we hereby request the
following action to be taken from the Contractor:

1. Submit an updated and accurate progress report reflecting the actual status of the project.

2. Clarify any factors or challenges that may have contributed to the inaccuracies in the
previous reports.

In addition to the above, the Contractor reported a negative float of - 61 Days with a forecast
completion date of 23rd Oct 2024 while the project’s approved completion date is 22 nd Aug 2024.
This negative float is not acceptable. The Contractor is instructed to recover the delays occurred by
adding more resources and complete the works as per baseline programme.
Hence, in order to ensure that the Contractor can handover the project, on time (I;e 22.08.2024)
we hereby request an action plan with target dates of all the remaining construction works until
but not later than 025nd July 2024.
