1.4 Overview of Business Communication

BUSINESS COMMUNICATION

Business Communication is a general term for the formal

variety of English used in professional working environments. It paves way to

improve organizational practices, keep employees informed and reduce errors.


Effective business communication is essential for success and growth of
every organization.

Good verbal and written communication skills are essential in order to deliver
and understand information quickly and accurately. Being able to
communicate effectively is a vital life skill and should not be overlooked.

In contrast, poor communication skills can have a negative impact - a poorly


delivered message may result in misunderstanding, frustration and in some
cases disaster.

Verbal communication uses body language and tone of voice to express


meaning and tone. Verbal communication is delivered and received face to
face, by phone, radio, computer, television and other media.

Written communication relies on grammar, punctuation and word


choice. Written communication is delivered and received through printed or
digital media such as letters, e-mails, books, magazines, and the internet.

1.5 Writing Report in Newspaper

A report is a fact of a story that is currently happening or that


just happened. A news report is similar to a news article which concentrates
on facts, context, impact, and emotion.

What are the 5 parts of a newspaper article?

Headline.
Headline is the most important part of the report. The headline should
highlight the reader an almost complete idea of what the report is about and
it should not be too long.
Byline.
Byline is nothing but the name of the author or the reporter and it comes
after the headline.
Lead or Introduction
The introducing paragraph should explain to the readers what the event is all
about. Most of the readers just read this paragraph and leave.so it should
include What happened, where, how, and when.
Body or running text.
The body should include more details about the event. It can be more than
one paragraph.
Conclusion.
The conclusion is a small paragraph where you can mention what is expected
in future, or what happened in the past relating to the event, or it can be
anything. The motive of the conclusion is to give the report a proper closure
so that the report should not sound like it ended suddenly.

1.6 Self-Awareness

We usually identify our existence with our position in society, our


friends and family, the needs and desires of our body, and the emotional and
intellectual expressions of our mind. For example: We might say ‘I am a student
studying Information Technology. I have three sisters and live in Chennai’. We rarely
take the time to contemplate the real nature of our existence; to ask the question,
"Who am I?"

Self-awareness is the ability to see yourself clearly and objectively


through reflection and introspection of your personality, including strengths,
weaknesses, thoughts, beliefs, motivation, and emotions. It is about learning to
better understand why you feel what you feel and why you behave in a particular
way. Once you begin to understand this concept, you then have the opportunity and
freedom to change things about yourself enabling you to create a life that you want.
Having a clear understanding of your thought and behaviour patterns helps you
understand other people. This ability to empathise facilitates better personal and
professional relationships. It is almost impossible to change and become self-
accepting if you are unsure as to who you are.

Begin with a technique called the ‘Johari Window’ created by


psychologists Joseph Luft and Harrington Ingham in 1955 that helps people better
understand their relationship with themselves and others. The Johari Window can be
looked at from many angles and provides four basic forms of the ‘Self’.

Why do we need self-awareness?

1. Increases Your Social Abilities

Human beings are social beings who thrive on relationships. People who are self-
aware are very successful when creating relationships. This is because they are
able to realize exactly what they want in each person they meet. That certainty
comes from knowing one's own abilities and challenges. Self-awareness also
promotes emotional intelligence. Emotional intelligence helps us relate to the
feelings of other people. Lacking this skill can leave us in conflicts with others.
The best way to improve your level of emotional intelligence is by learning your
own emotional patterns.

2. Improve State of Mind

Our mood and how we tend to feel hour-to-hour is largely dependent on how
we choose to think and behave. When we improve our awareness of the
relationship between thoughts, behavior, and emotion, it becomes easier to
regulate our feelings and moods.

3. Clearer Thinking and Better Decision-making

Poor decision-making often comes from muddled thinking and strong emotional
reactions. When we become more aware of our habits of thought and feeling,
we can more easily distinguish between short term impulses or desires and long
term values and goals.

Achieving a clearer sense of what you believe and what you really want makes it
far easier to communicate in any aspect of life, whether it’s with a spouse,
manager at work, or best friend. The better we know ourselves, the easier it is to
communicate assertively, to be honest about what we would like and respectful of
the wishes of others.

5. Increase Productivity

The most common cause of procrastination and poor productivity is not a lack of
effort or commitment, it is interference from ourselves. When we struggle to get to
work, it is usually because on some level our own thoughts, emotions, or habits
are getting in the way. Improving self-awareness can help eliminate many of these
hidden obstacles to productivity.
