Types of Emails

BUSINESS COMMUNICATION AND ETHICS (HS -304)

WEEK-11, LECTURE-20
BY MS. NIDA AFTAB
Look at this example:

The example here is

looking rough. The subject
line is vague, the body is
full of spelling errors and
rambling thoughts, and
the main point is difficult
to find. Plus, the overall
tone is unprofessional.
Now look at this example:

• This example looks good! The

subject line grabs your
attention, the body is concise
and error-free, and there’s a
clear call to action. Emails like
these help businesses run
smoother and more efficiently.
• Writing concise emails is a key
skill in the professional world,
which you can develop
through consistent practice.
Types of Email

• No matter what type of email you’re sending, the bottom line for every
type is value.
• Every email should provide something valuable to your audience,
whether that’s a perfectly timed offer, a lead-nurturing message tailored
to where the user is in your funnel, or a newsletter packed with
interesting, relevant content.
• And because user experience matters, it should be easy for users to see
that value quickly through simple, easy-to-read and mobile-optimized
messages.
Transactional Business Emails:

• These emails can be great for event invitations,

blog content, and survey or feedback requests.
• These emails are used to progress general
operations.
• They are also used to convey good and bad
news, often associated with human resource
processes.
• They are also used to quickly communicate
information between staff or clients in business
activities.
Promotional emails

• These are quite common in email

marketing, which is why it’s important to
add more value to them instead of
sending the old “15% off” type of email.
• One way to achieve this is by highlighting
the product or service on offer and then
adding some valuable content about
what you’re selling.
Sales Email

• An email written to a large number of

people to pitch a product or service.
• The persuasive emails may be direct,
with focus on a specific item, or indirect,
with focus on developing the client
relationship.
• The goal is to two-fold: to convey
information and to convince the reader
that the presented information offers
the best value. The text is written to
impress the reader and sway their
decision.
Sample Email: Referral Request

Subject: Referral Request

Dear Basit,
Recently on LinkedIn, I spotted a job ad for the position of marketing assistant at XYZ Corp. As I know you’ve been there for
several years now, I wondered if you might be willing to give me a referral for the job.
I was especially excited to see that the job involves working heavily with your team on email marketing and social media
campaigns. Since we last worked together at ABC LLC, I’ve gained extensive experience with HubSpot, Google Analytics, and
SurveyMonkey. I’d love to put these skills to work for XYZ.
I have attached a copy of my resume and a link to my portfolio, so you can see my recent experience. Please let me know if
you have any questions or if you’d like to see further samples of my work.
Best,
Arif Anas

Filling in for a Co-worker: Thank You Email

• Hi Mariam,
• Thank you for covering for Junaid while he was out on sick leave. Her staff appreciated that they
had you to go to for questions and support. The staff feedback was that they got some new
ideas from your sales group's approach to identifying potential customers.
• Now that Junaid is returning from leave, I hope that you spend a few days with him to update
him about anything important that occurred during the past twelve days. He'll be returning next
Monday and working part-time for the first few days.
• I trust that you will make this transition as smooth for everyone as you did when you took over
Junaid's staff leadership role during his absence. Again, I can't express how much the
organization appreciates your efforts on our behalf.
• Best,
• Basim
