Tutorial 6 – Chapter 13

1. Hashim as the old-timer in the organization, provided Azman with insights into the
organization’s internal workings like a planned retrenchment programme by the top
management and Hashim believed that the management will be using the LIFO
method. However, grapevines can also be bad because the information shared by
Hashim is not 100% accurate or true, so, Azman needs to be cautious and verify any
information before taking any further actions.

2. Seek clarification from supervisor – Azman can schedule a meeting to discuss his
job scope, responsibilities, ambiguities, or uncertainties he may have during the
work procedures.

Engage in team meetings – Azman can involve himself in team meetings to

understand the current projects, tasks, expectations from the team. This will
provide an opportunity to interact with his colleagues and clear any doubts. For
example, if Azman’s colleagues do not like the cubicle, then they can tell the
supervisor so that he can reconsider.

Feedback session from top management – Azman can discuss with the top
management about the work procedures that are not done properly, for example
the obsoleted SOPs and outdated files and documents. By getting feedback from
the management team, it will increase efficiency among his team members.

3. The best method of Interpersonal Communication that can be taken by Azman is

oral communication which includes speeches, formal one-to-one and group
discussions. This method not only helps his team members understand better, but
it is also flexible in decision making. Oral communication addresses the problems
more effectively, saves time and is direct. Other than that, this method is more
persuasive in certain contexts where there can be effective communication with
employees and management.

4. Open communication – This method fosters an open and transparent

communication culture where employees feel comfortable sharing ideas and
concerns without fear. For example, the team can implement regular meetings
where members can directly interact with the management to voice their opinions.

Team building activities – These activities are social events to foster closer bonds and trust
among colleagues. By doing so, any communication barriers can be broken down while
opening communication among the colleagues outside of work settings.

Incentives or reward system – The top management recognizes and rewards employees
who actively collab with colleagues and contribute to a positive team environment. They
can also conduct performance evaluation annually to give and receive feedback about
themselves.

Overall, creating a conducive environment for discussions, collaboration and engagement

can lead to improved employee efficiency.
