ASTRA VR Service Manual
SERVICE MANUAL
The CIVCO ASTRA devices are designed to clean probes that are used during medical examinations. There
are two types of Astra devices.
• CIVCO ASTRA TEE – Esophagus Probe cleaner
• CIVCO ASTRA VR – Vaginal Probe cleaner
These devices are located in medical offices and hospitals.
1. Actual Size

d. Top: 4 inches (10.2 cm) for the TEE model and 6 inches (15.2 cm) for the VR model
4. Electrical Requirements
a. 115 VAC (+-10%) 60Hz, 15A Hospital Grade GFCI receptacle within 8 ft. (2.4 m)
b. Fuse: 2 AMP Slo Blo, 250V, 5mm x 20mm
c. Category II installation
d. Device Rating: 115 VAC (+/- 10%) 60Hz, 2.0A
5. Water Supply Requirements
a. A permanent cold-water supply connection within 8 ft. (2.4 m)
b. Incoming water pressure: 30 – 50 psi (207 – 345 kPa) without in-line regulator on water
hose, 30-85 psi (207-586 kPA) with in-line regulator on water hose.
c. Recommended minimum flow rate: 1 gpm (3.8 lpm) at 30 psi (207 kPa)
d. Temperature: Cold water supply 50 – 80 degrees Fahrenheit (10 – 27 degrees Celsius)
6. Drain Requirements
a. A drain connection is required using the supplied tubing
b. The device may drain directly into an existing sink, dishwasher
drain tailpiece, or connected permanently to existing plumbing
drain
c. The responsible body must provide means to meet back-
siphonage protection in accordance to IEC 61770 and ensure
compliance with national and local regulations.
7. Environmental Requirements
a. Indoor use only
b. Altitude up to 6560 ft. (2000 m)
c. Operating Temperature: 65 – 80 degrees Fahrenheit (18 – 27 degrees Celsius)
d. Pollution degree 2 environment
e. Room Humidity 20 – 80 % RH non-condensing
f. When disposing of this equipment and accessories, follow all applicable
national, state, and local regulations and guidelines
g. Ventilation should meet local / hospital standards for any area handling

1. Read the entire service manual before using or servicing these devices.
2. Shock hazard is present inside the unit. Always turn off the power and unplug the power cord,
water line, and drain line before servicing the unit. Be aware that the power supply has several
large capacitors on it which still hold a charge after the unit has been unplugged.
3. Do not pick up the unit to take it off the wall. The device weight exceeds 50lbs (22.7 kg), so
two or more people are required to lift the device.
4. Do not use these devices until they have been properly installed.
5. Use these devices only for the intended use as described in the operator’s manual.
6. Do not attempt to operate the device if it is not working properly or if any part of the device has
been dropped or damaged.
7. For use only with CIVCO approved high level disinfectants.
8. Explosion hazard – do not use in the vicinity of flammable gases or liquids.
9. Connect these systems to hospital grade GFCI receptacles only. The GFCI outlet must be tested
on a regular basis per the GFCI manufacturer’s recommendation.
10. Do not operate the system if fluid leakage is present. Contact CIVCO immediately.
11. Do not attempt to neutralize the high-level disinfectant while inside the disinfection chamber.
12. The device is pre-programmed for use with a specific High-Level Disinfectant (HLD), determined
by the user.
13. Failure to properly lock the quick connect connectors into place may result in leaks.
14. Use of power cords, drain and water inlet hoses and connectors not supplied by CIVCO may affect
the safety and performance of these devices.
15. Do not use abrasive cleaning materials, solvents, or alcohol to clean these devices.
16. Do not pour any items directly into the disinfection chamber.
17. This device is not intended to augment or replace proper pre-cleaning prior to disinfection. The
end users must pre-clean the probes. If the end users are unclear as to the proper pre-cleaning
method for their probes, they must contact the probe manufacturer for their recommended
procedure.
18. If the end users fail to check with the probe manufacturer to determine soaking depth, this can
result in a damaged probe.
19. Service technicians will never touch any probes.
20. A Water Inlet Line Disinfection (WILD) cycle must be conducted after installing a new water filter.
21. The high-level disinfectant must be replaced if the minimum required concentration (MRC) test
fails or if the re-use life is reached in accordance with the HLD manufacturer’s instructions for use
(IFU). Failure to do so can result in improperly disinfected probes.
22. Do not use these devices for any purpose other than its intended use.
23. If you notice any unexplained changes in the performance of the device, or it is making unusual
sounds, contact CIVCO.
24. Tip hazard – Do not use these devices without the supplied wall bracket.
25. End users must determine that the subject probe is not damaged and is in good working condition
in accordance with manufacturer’s recommendations before using in the ASTRA system.
26. The warming plate can reach 200 degrees Fahrenheit (93 degrees Celsius). Take caution when

Each disinfection cycle can clean 2 probes (1 in each chamber) at a time. If using Metricide or Cidex OPA,
the disinfection cycle lasts 13 minutes. The probes are submerged in HLD for 5 minutes and rinsed 3 times.
If using Resert, the disinfection cycle lasts 16 minutes. The probes are submerged in HLD for 8 minutes
and the probes are rinsed 3 times.
Please reference the liquid flow charts on the following pages to identify how these devices operate. Note
where each solenoid valve is located in respect to the quad valve and dual valve images below.

Input Port
To disinfect the probes, the HLD will remain in the disinfection chamber for around 5 minutes for
Metricide or Cidex OPA and 8 minutes for Resert.
The HLD-IN (Disinfection Process) and HLD-OUT (Disinfectant Return Process) only occur one time during
each disinfection cycle.
The WATER-IN (Rinse Process) and WATER-OUT (Rinse Drain Process) occurs 3 times.
As noted in the previous diagram, the WATER-IN (Rinse Process) and WATER-OUT (Rinse Drain Process)
occurs 3 times
• The chambers fill with HLD using the HLD-IN (Disinfection Process) diagram, the user tests the HLD
using MRC strips, and drains out the HLD using the HLD-OUT (Disinfectant Return Process)
diagram.
• The chamber fills with HLD using the HLD-IN (Disinfection Process) diagram for a fixed time, then
fills with water using the WATER-IN (Rinse process) diagram to dilute the HLD and drains the
HLD/water mix using the WATER-OUT (Rinse Drain Process) diagram.
• The chamber fills with HLD using the WILD (WILD Process) diagram. SV1 opens, the P-HLD pump
turns on and pumps the HLD out of the bottle. SV7 and SV6 open to fill the disinfection chamber
through the water filter. Once the level of HLD in the disinfection chamber reaches the LS-HLD
float switch, P-HLD will turn off and both SV6, SV7, and SV1 will close for 12 minutes. The machine
drains the HLD/water filter mix using the HLD-OUT (Disinfectant Return Process) diagram.
• The chamber fills with water using the WATER-IN (Rinse process) diagram, holds for 1 minute, and
drains using the WATER-OUT (Rinse Drain Process) diagram. This step is repeated two more times.
2. Pressing ENTER will activate the scanner and the display will read:
3. Scan the probe ID barcode located below or on the ASTRA Scan Sheet. An audible beep will be
heard when the scan is accepted, and the display will read:
4. Insert the Probe Handle Mockup into the tower as shown below. Display will read:

NOTE: You may need to close the blue door if it isn't already closed.

7. Scan the barcode on the test strip bottle that will be used for the MRC test. HLD is then pumped
up to the disinfection chamber and during this time the display will read:
8. ULTRA-CIVCO/PLUS-Manufacturer Only: Once the fill level has been reached, the display will
prompt to test and confirm the MRC of the HLD. The display will read:
9. If cycle is only being run for testing purposes, press the LEFT arrow to skip. If cycle is being run for
final verification of a repair, press the RIGHT arrow to start. Test the MRC of the HLD using a test
strip per the directions on the test strip bottle. Once the timer counts down, the display will read:

10. If the display prompts for a probe leakage test result, press PASS using the LEFT arrow key.
13. Remove the Probe Mockup Handle. The display returns to the idle screen and is ready for the next
disinfection cycle.

1. Insert a FAT32 formatted USB flash drive into USB port located on the right side of the ASTRA TEE.
2. Press the MENU button on the keypad during the "Ready for Use" mode.
3. The screen displays the following:

7. Press the MENU button on the keypad to return to main screen. You may now safely remove the
USB flash drive. Plug the USB drive into a computer and email the log file to the CIVCO Technical
Support (service@civco.com).

6. Scan the HLD bottle that was used to qualify the test strip bottle (may already be in ASTRA).
After HLD bottle is accepted, screen will read:

7. Scan in qualified test strip bottle. The display will prompt user to enter the test strip bottle
open date. The current date will be automatically displayed but enter a past date if the test
strip bottle is already open. Using arrow keys, set to desired date and press ENTER to select.
A future date cannot be entered. The screen will read:
8. After selecting MENU, the display will prompt user to enter the HLD solution temperature
used to perform the quality control test. Using the left and right arrow keys,
increase/decrease the temperature in 0.1F steps and press ENTER to accept the value. The
0.1F change will mean that C increments every two presses. The default temperature display
will be 68.0F, 20.0C.

10. After selecting PASS, the display will prompt the user to enter the negative quality control test
results. Press PASS using the LEFT arrow. Screen will read:

4. Navigate using the arrow keys and ENTER button to turn On or Off as follows:
a. Metricide OPA (On)
b. Cidex OPA (On/Off)
c. Resert (On/Off)
d. CA Resert (On/Off)
5. Press the MENU button twice to return to the “Ready for Use” screen.
6. Verify HLD can/cannot be selected. From “Ready for Use” screen, press the MENU key. The
screen will read:

6. Verify MRC test is turned on/off by running a disinfection cycle. Chapter 1 – Section 2, step 9
should be skipped if turned off.

or off (No). Press ENTER to select.
6. Verify TEE Leakage is turned on/off by running a disinfection cycle. Chapter 1 – Section 2, step
10 should be skipped if turned off.

5. For ULTRA: Press the RIGHT arrow to toggle to “CIVCO” . Press ENTER.
For PLUS: Press the RIGHT arrow to toggle to “Manufacturer”. Press ENTER.
7. Verify correct configuration is turned on by running a disinfection cycle. Ensure that a test strip
bottle needs to be scanned in for both CIVCO (ULTRA) and Manufacturer (PLUS) configurations
by confirming the screens appear as below:

1. Insert a FAT32 formatted USB flash drive into USB port located on the right side of the ASTRA TEE.
2. Press the MENU button and LEFT arrow key on the keypad during the "Ready for Use" mode for
approximately 10 seconds, until the “MRC Required” appears on the screen.
3. Using the LEFT or RIGHT arrows on the keypad, scroll through the menu options until it displays:

11. Press the MENU button on the keypad to return to main screen. You may now safely remove the
USB flash drive. Plug the USB drive into a computer and email the log file to the CIVCO Technical
Support (service@civco.com).
2. Press and hold MENU and ENTER buttons for approximately 10 seconds until the screen reads:

5. Plug in CIVCO provided loaded firmware USB with the appropriate version of firmware into the
USB port on the left side of the ASTRA. Press the LEFT arrow to start the firmware update process.
While the firmware is updating the screen will read:

6. Verify the correct version of firmware was uploaded by checking the screen when the firmware is
done updating. It should read:
7. Remove the loaded firmware USB from the port. Press MENU to get back to the “Ready for Use”
screen.

9. After the firmware has been updated, run a test disinfection cycle and download the csv log file.
Send log file to service@civco.com.

5. Full Reset Only: Press the LEFT arrow for Yes. The display reads:
6. Full Reset Only: Take a picture of the barcode on the label on the side of the ASTRA or use the
barcode provided by CIVCO Service to scan in the serial number of the machine.
7. The system will now prompt to perform an initial setup procedure. Follow 19.04.05 ASTRA In-
Service Instructions for the initial setup of the machine.
4. Unplug the SB-3 cable from the display board, circled in BLUE. Remove display board from
disinfection chamber by removing the white nylon screws, circled in RED, with a pair of pliers.
7. Connect the overlay ribbon to the new display board and put it in place with the hex nuts.
Reconnect the SB-3 cable and put the scanner board back in place.
4. The overlay adheres to the display board. Press down on the display board from the overlay to
remove it.
6. Connect the overlay ribbon to the new display board and put it in place with the hex nuts.
Reconnect the SB-3 cable and put the scanner board back in place.
3. Remove mounting screws and nylon washers located on the bottom of the board circled in RED
below using a screwdriver. You will then remove the scanner board and 2 additional nylon
washers on top of the board.
5. Plug the new scanner board into the main board and screw it back onto the metal mount. Before
putting the new scanner board in the machine, take the tip of your flathead screwdriver and
score all four nylon washers to allow the washer to stick the screw, making it easier to put the
new board into the machine.
4. Plug the new scanner board into the main board and screw it back into the ASTRA.
3. Remove 4 nylon nuts on the back of Sensor Board A-DC. They are circled in RED below.

5. If going from revision G board (or earlier) to a later revision, remove the metal standoffs and
white nylon washers from the frame, circled in RED.
7. Place the new sensor A-DC board onto the frame and standoffs. Please note that the selector
switch must be set to 0 on this board.
8. Secure the board to the black standoffs using white nylon hex screws circled in RED.
3. Remove 4 nylon nuts on the back of Sensor Board A-DC. They are circled in RED below.

5. If going from revision G board (or earlier) to a later revision, remove the metal standoffs and
white nylon washers from the frame, circled in RED.
7. Place the new sensor A-DC board onto the frame and standoffs. Please note that the selector
switch must be set to 0 on this board.
8. Secure the board to the black standoffs using white nylon hex screws circled in RED.
3. If going from revision G (or earlier) board to a later revision, remove the white nylon spacers
from underneath the board and replace them with thicker spacers, circled in RED.
3. Remove the 4 connectors circled in RED from Sensor Board B. WARNING! Some of the
connectors have the same number of pins – make a note of the correct locations. Lettering
found on the connectors is outlined in BLUE next to their location.

5. When putting in the new Sensor B board, ensure the black plastic covers on the back of the
board are securely seated all the way down.
2. Take off the HLD and Overflow Float Switch brackets by removing the 4 nuts circled in RED
below.
4. Either remove or reorient the HLD float switch so it is out of the way when trying to access the
nut pointed to by the RED arrow.
8. Remove the retention clip on the head of the VR unit by unscrewing the 2 screws circled in RED
below using a #1 Phillips screwdriver and holding the nuts circled in BLUE steady using a 1/4
wrench or a pair of pliers.
9. Remove the Sensor B board from VR unit. When putting the new Sensor B board in, be sure to
line up the clip in the correct vent spaces as shown below.
3. Remove the two outer screws on the faceplate using a Phillips screwdriver. They are circled in
RED.
4. Remove the mainboard by sliding it out of the housing and replace it with the new mainboard.
5. Perform a Full Reset on the unit.
2. Use a stubby Philips screwdriver to unscrew the cable clip from the head of the ASTRA. Screws
are circled in RED. Use a ¼ wrench to hold the nuts, circled in BLUE.
3. Make sure to line the new clip up correctly when screwing it into the head.
3. While holding the female yellow CPC fitting from the outside, loosen the nut on the female
yellow CPC fittings with a 13/16” deep socket.
5. Slide compression nut over) 3-1/4 “clear tube and fasten to waste outlet, front female yellow
CPC fitting using a 9/16” wrench. Hold the female yellow CPC fitting from outside while
tightening the nut inside.
3. Cut the hoses from the connectors and use and adjustable wrench or 13/16” deep socket to
remove the nut from around the connectors and remove connectors from bulkhead.
4. Refer to the picture below to lay out which tube goes with which hardware pieces.

6. Insert open end of the 12” clear hose onto the vent connector and secure with a worm clamp.
7. Insert an open end of the 10.25” clear hose onto the HLD connector and tighten with a worm
clamp.
8. Place another worm clamp onto the HLD connector hose. Put elbow connector into open end
and secure with worm clamp.

3. Cut the hoses from the connectors and use and adjustable wrench or 13/16” deep socket to
remove the nut from around the connectors and remove connectors from bulkhead.
4. Refer to the picture below to lay out which hardware pieces go into which position on the
bulkhead.

6. Insert an open end of the short, braided hoses onto each connector and secure with a worm
clamp and add another worm clamp onto each hose.
7. Insert tan straight male connector into the hose on the upper gray connector and secure with
the worm clamp.
8. Insert tan elbow male connector into the hose on the lower gray connector and secure with the
worm clamp.

3. Remove the dual valve hose assembly by pressing in on the shark bite connector, circled in RED
below.

6. Remove the barcode reader connector from the back of the main board. Loosen the 2 screws
circled in RED with a flat blade screwdriver.

B. VR
1. Before following the steps below, turn off the machine, disconnect the water line and remove
the Top Rear Cover (5.A), Bottom Rear Cover (5.B), Top Front Cover (5.C), and Middle Front
Cover (5.D).
2. Remove the four screws located on the back of the hood circled in RED below.
3. Compress ring of SharkBite fitting to remove the tube from the Bottom Float Switch.
5. Carefully allow the Sensor A Board housing to hang from back of ASTRA.
6. Remove 4 hex nuts holding the Mainboard Housing (2 nuts shown circled in RED in image below
from front of ASTRA). Carefully allow the Mainboard housing to hang from the back of the
ASTRA.
8. Unplug SB2 from Port P2 on Sensor B Board circled in RED and unplug SB3 from Port P3 on
Display Board circled in BLUE.
9. Dismount the disinfection chamber by removing the 4 self-tapping screws shown below circled
n RED.
11. Remove and transfer the following parts to the new chamber:
3. Remove the four 8-32 x 3/8" Pan Head screws with lock washer as shown circled and arrowed
in RED to dismount the Fan Assembly from midshelf.
3. Remove the float switches by pressing in on each tube lock while simultaneously removing the
tube. The tube locks are circled in RED in the picture below.

3. Remove the bracket from the unit by maneuvering and tipping in downwards as shown in the
picture below and remove the float switch by pressing in on each tube lock while simultaneously
removing the tube. The tube locks are circled in RED in the picture below.
3. Remove the float switch by pressing in on each tube lock while simultaneously removing the
tube. The tube locks are circled in RED in the picture below.

3. Unplug the heater plate from the main wiring harness and pull through hole in lip.
4. Clean platform where heater plate sits, if necessary, before placing new one in.
5. After plugging and screwing in new heater plate assembly, place aluminum tape over backside
of hole.
2. Remove the two 11/32 nuts, circled in RED, and the center lock screw, circle in BLUE, to remove
the bracket around the lock.
4. Pick up the bulkhead from the loosened screws in step 2 above and tilt the bulkhead forward.
Unlock the CPC connections for the water filter by pressing on the CPC locks (circled in RED in
the picture below).
3. Remove the two outer screws on the faceplate using a Phillips screwdriver. They are circled in
RED.
5. Using your fingers, carefully remove the current battery from the mainboard, being careful not to
break off the metal clip holding the battery in place.
6. After replacing the new battery into the mainboard, Press the Menu button and navigate to the "Set
Date & Time" menu prompt and press ENTER.
• Using the arrow keys, navigate to the date, hours, or minutes
• Press Enter when the blinking rectangles are on the desired numbers. The numbers will start
blinking.
• Using the arrow keys, increase or decrease as needed. Press Enter to save the change.
• Repeat these steps for the other date, hours, or minutes as needed
5. Unscrew the two Philips head screws that are underneath where the overlay was ( one is circled
in RED in the picture above). There are two nylon hex nuts underneath on the display board
that will come loose one the screws are out so make sure not to lose them (see picture below).
3. Remove the connectors circled in RED from the drain pump to the EMI filter using pliers.
Remove the ground wire from the wall of the ASTRA unit that is connected to the drain pump.
It is shown circled in BLUE below. Use a 11/32 nut driver or wrench.
4. Remove the pump by pulling up on it. Be careful not to lose the washers.
3. For easier access to the rear end of the pump, it may be helpful remove the Quad Valve (20.B)
4. From the rear of the ASTRA unit, remove the 2 nuts circled in RED with an 11/32 wrench.
6. Remove the connectors circled in RED from the HLD pump to the EMI filter using pliers. Remove
the ground wire from the wall of the ASTRA unit that is connected to the HLD pump. It is shown
circled in BLUE below. Use a 11/32 nut driver or wrench.
7. Remove the pump by pulling up on it. Be careful not to lose the washers.
3. NOTE: When the new tower is replaced on the machine, verify the probe configurations under
the Diagnostics menu.
• Press the MENU and LEFT arrow keys simultaneously for 5 seconds.
• Use the arrow keys to navigate until you see the "Diagnostics" option and Press Enter.
• Observe p1 and p2 on the display screen. The letter "p" will be lower case.
• Press the left probe switch on the TEE probe as shown below and observe if p1 becomes capital
i.e. "P1".
o If yes, then press MENU key twice to return to the "Ready for Use" Screen.
o If the configuration is incorrect, turn the unit off, and remove the Top Rear Cover (5.A).
Locate the upper Sensor B Board and the 2 connectors on the probe microswitch wire
harness as shown below. Swap the two connectors and turn on the machine to verify the
configuration is now correct.

3. Remove the 4 nuts circled in RED using an 11/32 wrench or nut driver to remove the transformer
assembly from the cabinet.
3. Unscrew the 2 nuts on the USB port to remove. NOTE: Ensure that the orientation of the USB
port is correct when placing the new one into the machine, the white material should be at the
top of the port.
3. Remove the tubing on each side of the Dual Valve by pressing in on each tube lock while
simultaneously removing the tube. There are 3 of them – each is circled in RED below from the
back of the machine.
5. Lift the Dual Valve out and remove from the rear of the ASTRA unit.
3. Remove the tubing going to the Bottom Float Switch by pressing in on the tube lock while
simultaneously removing the tube. The tube lock is circled in RED.

7. And then thread the wires through the clip in the middle back of the unit.

9. Put wires for SV1-SV2, SV7, SV8 SB-1, SB-2, and SB-4 (both) through the small clip to the left
under the dual valve.
10. Replace connector for SV-1 and SV-2 on the Dual Valve. If Dual Valve has been removed for
easier access, make sure to come back and plug in at the end.

12. Place wires for SB-1, SB-2, and SB-4 (bundled with SB-1 and SB-2) through the small clip in the
back-left corner above the Dual Valve followed by the small clips on the upper left side of the
ASTRA.

14. Place all the rest of the wires, except the second SB-4, through the clip near the rear lower
opening.
19. When putting the bulkhead back on, replace connector SB-4 on the Sensor HLD Board.

It is delivered with the ASTRA device to the customer.
Incorrect water pressure will cause a variety of issues with the ASTRA devices including error codes,
damaged valves, and leaks. Please follow this procedure to check the water pressure.

1. Connect the water pressure gauge assembly to the water inlet port on the right side of the ASTRA
unit.
2. Connect the water line to the other side of the water pressure gauge assembly
Measurement:
• The water pressure should measure between 30 and 50 PSI. If it is outside this range,
communicate with the customer that it is out of specifications and must be corrected.
Debug mode is used for troubleshooting purposes only. You should NEVER leave a customer site with the
unit in Debug mode. This could result in major patient safety issues.
When the ASTRA unit is in Debug mode, the machine runs 2-minute cycles (instead of the standard 13-
16-minute cycles) and does not require the bottle to be a certain temperature.
Debug mode is activated by pressing MENU and ENTER keys for 10 seconds. Scroll to "Debug Parameters"
and Press Enter. To run a cycle in Debug mode:

= skip". Scan the barcode below.
3. System will display "Scan New Air Filter". Remove current air filter by loosening the Air Filter Door
screws (circled in RED in the picture below), open the door, and remove the Air Filter.
4. Scan new Air Filter barcode (QR code) and then install Air Filter with the arrows on label pointing
up. Press ENTER.

6. If cycle is only being run for testing purposes, press the LEFT arrow to skip. If cycle is being run for
final verification of a repair, press the RIGHT arrow to start. Test the MRC of the HLD using a test
strip per the directions on the test strip bottle. Once the timer counts down, the display will read:

7. If the MRC test strip indicates a pass on the MRC, press the PASS button (left arrow) on the touch
pad to continue the WILD cycle (22 minutes). If the MRC test strip fails, the system will prompt
you to replace the HLD bottle.
9. Follow the prompts to remove the HLD bottle and place it in the sink next to the pre-warmed new
bottle of HLD. Remove the bottle cap assembly from the use HLD bottle and transfer it to the new
HLD bottle.
10. Take the new bottle, scan the barcode, and install it into the ASTRA by placing the bottle on the
warming pad. Connect the HLD and vent lines from the bottle cap assembly to the CPC fittings on
the main bulkhead. When bottle is successfully replaced, the display will read:
