AS BUILT DOCUMENTATION
GENERAL GUIDELINE TO BE FOLLOWED BY THE CONTRACTOR
(A) GENERAL
All documents in hard copy should be physically verified, signed and stamped by both the Contractor and
Employer Site Representative and shall be accountable for its content.
Materials to be used (MAR- Material Approval Request) and its site traceability records (SIR- Site Inspection
Request) shall be duly approved by the Employer PMC Engineer and Employer PMC Site Inspector and
shall be attached as part of the As-built documentation.
Contractor shall be responsible for coordination, review and checking of all documentation pertaining to
Employer long lead equipment (also with Employer Appointed Equipment Supplier) and further submission
of all associated as-built documentations required for Employer record.
As-built drawings for the facility shall be submitted in Editable Electronic Format (i.e. in DWG) for
Employer record.
The guideline indicated herein shall be modified as per the Project specific requirement, as applicable.
DO NOT SUBMIT ELECTRONIC COPY TILL HARD COPY IS APPROVED BY THE EMPLOYER.
Contractor shall use revision control status as – ‘As-built Record - Rev.0’

ú Legend and abbreviations
ú External Layout Drawings (service wise/discipline wise)
ú Building/Civil/Architectural Construction Drawings
ú Detailed installation drawings (service wise/discipline wise)
ú Standard/Schematic installation drawings
(C) AUTHORITY APPROVED DRAWINGS WITH APPROVED LETTERS (IN ORIGINAL)
(D) SUBCONTRACTOR /EQUIPMENT SUPPLIERS DRAWINGS
(E) INSPECTION CHECKLIST/REPORTS
(F) TESTING AND COMMISSIONING REPORTS
ú All testing and commissioning reports shall be submitted to Employer records in original.
ú All testing and commissioning reports shall be signed by the Main Contractor and Employer Site
Representative.
ú Any testing and commissioning not witnessed and signed by the Main Contractor and Employer is not
acceptable.
(G) WARRANTEE/GUARANTEE DOCUMENTATIONS

(I) LIST OF SUPLLIERS /MANUFACTURERS RECOMMENDATIONS
(J) COMPANY APPROVED MATERIAL SUBMITTALS
ú Material submittal records duly approved by the Employer (copy only) to be attached as part of the as built
documentation.
(K) CD FORMAT
ú All the above Employer approved documentations shall be duly scanned and submitted in CD format (3
Sets) for Employer record.
ú As built drawings for the Facility shall be submitted in Editable Electronic Format (i.e. in DWG Format, 3
Sets) for Employer record.

FOLDER NAME
For Service Stations \ Rest Areas, the MEP as Built Fuel Piping and Under Ground Services Coordination
Note:
General Layout drawings should be included in the submittal.
The same arrangement to be implemented for Structural, Electrical , Mechanical and any other Folders, considering the
following:-
1 - The submitted soft copy of the As Built drawings must be in AutoCAD (---.dwg) format.
2 - The Drawings for Each Facility should include the standard necessary drawings (Plans, Elevations, Sections & Details).

3 - Each Drawings category (Architectural, Structural, Electrical, Mechanical, etc….) should be in separate folder.
4 - Each Drawing sheet should be in One Single AutoCAD file.
5 - A stamped Hard Copy of the CD List of Contents should be attached with the submittal and matching the CD content and
arrangement.
6 - The Soft Copy of As Built drawings and documents for each project should be in one CD/DVD unless it needs more.
7 - In case the CD contains more than one project, each project should be in separate folder considering the above
instructions.

TESTING AND COMMISSIONING REPORTS
(a) All testing and commissioning reports shall be submitted to COMPANY records in ORIGINAL. Testing and
commissioning report shall include the equipment supplied and/or installed by the Company appointed
Equipment Supplier.
(b) All testing and commissioning reports shall be signed by the MAIN CONTRACTOR, SUBCONTRACTOR
and COMPANY SITE REPRESENTATIVE.
(c) Any testing and commissioning not witnessed and signed by the MAIN CONTRACTOR and COMPANY is
not acceptable.
