Update from the Programme Administration Team 24 May 2024

Programme News is our weekly digest to support NA and Chapter Leadership in your programme
administration. In each weekly digest you will find important deadlines, opportunities, and key updates for
everything that you need to know for hosting and sending programmes.

IMPORTANT UPCOMING DEADLINES

APRIL JULY SEPTEMBER

Past Due! Pre-Camp 2 deadline Deadline to submit HPDS on Pre-Camp 1 deadline and
for Jun-Aug programmes myCISV (these will be published invitation cancellation penalty
soon) for Dec-Jan Programmes begins

If you are a Chapter President, please note that these deadlines are for your National Association (NA) to respond to
CISV International. Your NA may also have internal deadlines which differ from those listed here.
Hosting & Sending

Help for myCISV User Creation Issues

We are currently experiencing issues preventing people from creating new accounts on myCISV. If participants,
volunteers or parents/guardians are having issues with account creation, they can send the details below to
myCISV Support mycisv@support.cisv.org, where we can help to create accounts manually within 1-2 business
days.

For adult accounts:

Staff & Leader Age exception requests


Instructions on how to request an age exception for a staff or leader can be found in Programme FAQs 2024, in the
section titled ‘Will any age exceptions be allowed for staff and leaders?’. If you want to submit a request, please
read that information and submit your request using the link provided there, if it meets the requirements listed.

Mental Health Guide Launched


The CISV Mental Health Guide has been launched. This comprehensive guide has been crafted by a dedicated
working group of CISV staff and volunteers, representing a wealth of expertise from across all regions. It is a
valuable resource for volunteers, offering tools and strategies to address mental health issues within CISV.
HOSTING

International Staff Recruitment


Guidance on the recruitment of international programme staff can be found in the Programme Guides in the
Programme Resources area of cisv.org. If you would like to advertise for international staff for your programme go
to International Programme Staff Opportunities.

Please note that International Staff cannot be selected for the Programme Director role, as stated in the
Safeguarding Policy and the Programme Guides.

All International Staff requests should be sent to international@cisv.org.

SENDING

Gender balance of delegations

If your invited chapter needs to send a delegation with more participants of one gender (e.g. 3 male and 1 female
participants), please ensure to contact the programme host to enquire if the host chapter is able to accommodate
this, as stated in Programme FAQs 2024 (see page 4).

We have already received a number of Incident Report Forms where this has not been done. IRF’s are not required
for gender balance issues prior to the programme start but should be resolved by the respective chapters, copying
the IO into the communication.
INVITATIONS & ROUNDS

2024 Programme Open List

Here is a list of invitations currently available on the open list. To ask to receive one of these invitations, email
international@cisv.org, making a specific request with “Open List – [Programme Number]” in the subject line.
This helps us to manage your requests and respond quickly.

NA/PA’s will have one week from being offered the invitation(s) they request to accept or refuse. Otherwise, we will
consider it refused in our system so that it can be offered to someone else.

We still have a lot of unfilled Village invitations. If you are already sending a delegation to a particular programme
and want an additional invitation, please let us know as we will be allowing a second delegation per NA/PA in these
programmes, including for the host NA.
