I. WHEN DO YOU ASK FOR A DAY OFF?

II. HOW TO WRITE AN EMAIL TO ASK FOR A DAY OFF

Brief about our presentation
1. Taking day off is key to a healthy work-life balance
2. Almost employers won’t appreciate it if you simply don’t show up for a
week
3. We’ve put together some step on how to write a time off request email
 Step 1: Write a brief, direct subject line
 The recipient should be able to understand the point of the
email before opening it
 Write a short line that states the purpose of your email and the
dates you wish to take off

 Step 2: State why you’re writing

 You should immediately state that the purpose of your email is
to request time off.
 Also, mention if you’ve already approached your boss about the
request.

 Step 3: Include the dates that you’re requesting

 Mention which dates you intend to take off
 Mention how many days you’re using if your company
practices an accrued time off policy.

 Step 4:Mention why you’re taking time off

 Straightforward about the reason. Don't make up a fake excuse
 Help your supervisor decide whether to approve your time off

 Step 5:Discuss how you’re preparing

 Explain how you prepare in advance to reduce the burden when
you are away from work
 Tell them you're working hard just to make sure all your work
gets done before you leave.

 Step 6: Make yourself available for questions

 Tell your employer that they are free to contact you with any
questions or discussions regarding your time off
 Doing so will lead to open communication between the two
parties

Example:

Dear Ms. Hue,

Subject: Request for a day off
I would like to request a leave of absence from Mar 25 to Mar 26. Unfortunately,
the building I was in charge of designing the ventilation system has some
problems. I have to go there and check it out.
I promise that I will return to work on Mar 27. I have already asked Tuan to cover
my job. Please let me know if I can provide further information or If you have any
questions, I assure that my task will be on schedule.
Thank you very much for taking my request into consideration.
Sincerely,
Manh Quyet

Conclusions
• To write a day off request email, first write a brief and direct subject time
and in the first sentence state your purpose of the email.
• Include the date or dates that you are requestion off.
• You can mention why you are taking time off. Let your boss know how you
are preparing for your work to be done in that time and that they can reach
out with any questions if needed.

III. WHY YOU SHOULD WRITE A LEAVE OF A ABSENCE REQUEST EMAIL ?

 Improves your chances.
If you ask your boss for time off later rather than sooner, there’s a higher
chance that they’ll turn down your request.
 Reduce the burden on your team
If you inform your team of your day off in advance, they’ll be able to split the
tasks appropriately
 Benefits your career in the future.
 Writing an effective leave request is part of establishing a communicative
and professional reputation
 Failure to notify your employer of your intended leave may result in
disciplinary action or even termination of employment.

IV. SOME TIPS TO ASK FOR IT

Ask your supervisor first: You can discuss the most convenient dates for you to
leave, alternative work options, and other relevant topics.
Give as much advance notice as possible: If you’re planning to leave for a few
days, notifying your supervisor a few weeks ahead of time should be enough
Give your coworkers a heads up: Before you leave, you should also make sure
they have everything they need from you to do their work
Make a plan for covering your tasks: Communicate with your coworkers as
early as possible, and when you ask someone to help you, be willing to cover for
them when they’re out.

V. WHAT SHOULD'T YOU AVOID DOING WHEN ASK FOR A DAY OFF
1. Failure to notify promptly
2. Unreasonable reasons
3. Not preparing in advance
4. Failure to comply with company procedures
