Sir/ Madam,
CBSE has entrusted the responsibility and given the opportunity to SANJAY
GHODAWAT INTERNATIONAL SCHOOL ATIGRE KOLHAPUR to organize and conduct the Cluster
IX Athletics Meet 2022-23.

It is scheduled to be conducted on 8th 9th & 10th of DECEMBER 2022, Reporting on 7th
DECEMBER, in SANJAY GHODAWAT INTERNATIONAL SCHOOL CAMPUS. We cordially invite you
to participate in the Meet.

IMPORTANT: It shall be mandatory for all the participating schools to provide the
following on arrival at venue.
 Authorization letter from the principal.
 Unique Identity Cards as per CBSE.
 School Flags in 2 numbers.
 Provide CBSE registration number for student/player studying in class IX and
above.
 The team photo with school Principal along with the entry Performa countersigned
by the Principal.
 The Eligibility Performa filled-in online, countersigned by the Principal.
 The Entry Performa event & age category in which the athlete wish to participate.
 The organizing schools will not accept any entry without the above information
 CBSE Sports fees paid receipt is mandatory
 Those who are Studying in XI & XII Students 10th class marks card is mandatory.

DISQUALIFICATIONS:
A player/team may be disqualified/scratched for the following reasons.
1. If the ineligibility of any member of the team is detected.
2. Inclusion of non Bonafide student in the team.
3. Misbehavior on ground by athlete or accompanying official.
4. Use of abusive language by athlete or accompanying official.
5. Misbehavior with Officials/Opponents by athlete or accompanying official.
6 . Indiscipline at the place of stay by athlete or accompanying official.
7. Damaging the school property.
8. Indiscipline during the Opening and Closing ceremonies by athlete or accompanying
Official.
9. Non participation in March Past.
RULES AND REGULATIONS:
1. The meet shall be conducted according to the rules of Amateur Athletic Federation of
India, with required modifications if necessary.
2. Every school will be entitled to enter only one athlete in each event, except in relay
races where a team of maximum five athletes can Participate.
3. The various age categories and list of events in which the competition will be held are
given bellow.

4. An athlete can participate in maximum two individual events and in the relay.

5. An Athlete Should pin up the chest No. to the back as well in the front.
6. On the spot entry/changes will not be permitted.

7. The athletes winning first position will qualify to take part in the National Level
Athletic Meet. However, in relays, only the first position winning team will be
participating at the National Level.

8. In a particular event, if the numbers of athletes are less than four; but they are from
different Institutions, it will be conducted. The winners may be awarded the medals
and the merit certificate, but, they may not be awarded the points to be included for
the Team Championship. However, their points will be considered for individual
championship.

9. In case of relays, all the five members of the team (if five names are given before the
meet in the eligibility Performa and all five have attended the meet) irrespective of
who runs the finals, shall be awarded the Medals and Certificates.

10. In relays, only a single school team will be allowed to participate.

11. The Overall Championship separately for the boys and girls sections in all the age
groups may be decided.

The points shall be awarded according to the following system:-

12. The Merit Certificates shall be awarded only up to 3rd position. However Participation
Certificates will be awarded to all those who actually take part in Cluster level as the
case may be.

13. A separate prize may be given to the Individual Champion in Boys and Girls section, in
all the age categories.

14 . The Individual Champion (Best athlete) in any age group will be awarded Only to one
athlete on the basis of performance/points as per the AFI Scoring Table.
15. A prize will be given to the school scoring total maximum points (total Points in all the
age groups in Boys’ & Girls’ categories) and will be declared as over- all Champion.
16. National Level qualified athlete should stay back for a group photo

With the Cluster Organizing principal after the meet. If in case the qualified Athlete
remain absent. The Cluster Organizing School shall not be held responsible for the
national.
17. Please ensure there should be a coach/manager accompanying the Team.
18. The decision of the referee on all technical aspects will be final.

19. Protest of any nature in connection with the tournament shall be in Written and must
reach the Organizing Secretary and CBSE Observer within one hour of the declaration
of the result, duly accompanied by a fee of Rs.1000/- (Rupees One Thousand).

 Such a protest will be considered by Jury of Appeal, consisting of following:-


1. Principal, Organizing School 2.Organizing Secretary 3.CBSE Observer
4. One or two technically qualified People present at the venue.

20. The parties under dispute may be heard before deciding the issue. In case the protest
is uphold, the protest fee shall be refunded to the protesting school otherwise the fee
shall be forfeited.
21. The decision taken by the Jury of Appeal will be final and binding.

22. The participating schools are requested to pay an amount of Rs. 1000/- (One thousand
only) as caution deposit at the time of registration and the amount will be given back
after getting the clearance from the in - charge.

BOARDING & LODGING:

 Accommodation and arrangement for food will be made inside the school campus.
An amount of Rs. 350/- (Three hundred & Fifty only) per head/day has to be paid
towards boarding & lodging.
 The team member may please be instructed to observe discipline, code of conduct
and use the school property with utmost vigilance.
 School will not be responsible for any kind of loss of valuables including gold,
ornaments, mobile phones or money
 If school property is damaged by the participating team members, then, the damage
cost will be incurred by the teams held responsible.
 The team is expected to carry their own bedding which comprises of bed sheets,
pillows, Toiletries and other personal equipments.
 Smoking and drinking is strictly prohibited inside the school campus.
 There will be zero tolerance to any substance use/ or possession or extremely
Inappropriate behavior at any time during the event.
 On arrival at the organizing school, the team needs to report to the Principal/
Organizing Secretary.
 There will be a meeting of coach/ managers on 7th DECEMBER, 2022 at 5:00
pm in the school premises.
 Outside eatables are not permitted inside the school’s dining hall.
 All the meals will be served in school dining hall.

TRANSPORTATION: For the convenience of the participating teams, the


School buses will be available at the Kolhapur Bus stand and Railway station.

A player shall be under 14, 17; & 19 years of age as on 31 Dec 2022.
1. under - 14years Born on or after 01.01.2009
2. under - 17years Born on or after 01.01.2006

3. under - 19years Born on or after 01.01.2004

OPENING & CLOSING CEREMONY:
 The Inaugural ceremony on 8th December 2022 at 8:30AM.
 The Valedictory ceremony on 10th December 2022 at 4.30 PM.
