TITLE: MAY REPORT


INTRODUCTION

The month of March was my second month at RioZim and I was still familiarizing myself
with the environment. During this month I managed to participate in carrying out IT practical
and technical operations such Microsoft Windows family Administration, WAN and LAN
Management, Systems security and backup, Hardware repairs and upgrades and End user
support.

DESCRIPTION OF DUTIES CARRIED OUT


As the month of May progressed, I managed to carry out the following activities:

Software services
➢ Installing, activating and configuring Microsoft Windows Operating Systems
(windows 7, 8, 10).

➢ Installed and configured 2 Voice Over Internet Protocol (VIOP) phone by entering
their IP addresses on the web then register and activate them and assign them
extension numbers.

➢ Installing and configuring Port Go application on computers and assigning them their
extension numbers.

➢ Mapping network drives to be able to access company data stored 192.168.3.26 which
is a server which contains all company data.

➢ Installed HP LJ M127128 Scanner driver at the Managing director`s office when the
printer there was not scanning documents.

➢ Installing, activating and configuring Microsoft Office for the 3 clinic desktops

➢ Taking ID photos for the making of new company employees IDs

➢ Configuring outlook and setting backup of emails for outlook files

➢ Installing and updating windows applications like ESET endpoint antivirus, adobe
reader etc.

➢ Creating, amending and migrating stock codes on a system called SysPro which is on
a remote network on server 192.168.1.35 which is an application used to store resources
or inputs that enter into the company.
➢ Installing printer and scanner drivers and making sure that all printers are working
perfectly and are well connected

➢ Adding computers to the RioZim domain

Hardware services
⮚ Fixing computers which were turning on but not displaying anything on the screen by
removing the CMOS battery, cleaning RAM and discharging power.

⮚ Changing a hard drive on an HP laptop

⮚ Replacing VGA cables, mouses and keyboards for various computers.

⮚ Printer troubleshooting: Removing paper jam, refilling black cartridge, replacing printer
rollers, replacing printer cables and cleaning.

⮚ Replaced a damaged monitor at the Stores department

End user support services


➢ Helping other staff members on using Microsoft word, excel and outlook
➢ Helping users attend and sign in on zoom meetings for free
➢ ICT support and help desk: setting up the projector in the boardroom for meetings
using a HDMI or VGA cable.

➢ Resetting passwords and unlocking users on the Active directory on server


192.168.3.25 the domain controller which is accessed remotely. Thus, if a user enters
wrong password 3 times in trying to login to the domain or when they want to change
their passwords

➢ Giving rights to new user accounts on domain to be able to access the RioZim login
portal, access Remote desktop Connections, enjoy internet access

➢ Resetting passwords and unlocking SysPro users on server 192.168.1.35 the SysPro
Server which is accessed remotely. Thus, if SysPro users enter a wrong password 3
times and their accounts end up being locked. Also, if their passwords have expired.

Network services
➢ Networking: this month I was still familiarizing myself with the network
infrastructure and how to configure it was somehow a challenge as I was still getting
to understand the network structure by applying the knowledge of Cisco packet tracer.

➢ Fixing VIOP and PBX phones that were not receiving calls from other extensions: to
fix this problem I was taught that I enter the IP address of the PBX phone extension
server which is 192.168.3.20 on a computer browser which has internet access, then
view all phones and all hanging phones will be having a different icon and I go double
click on the displayed icon then it changes back and starts receiving call from others.

➢ Terminating Ethernet cable: Terminated and installed 3 RJ45 straight through


ethernet cables at the Chemukute Clinic. Also replaced other worn out ones in other
workplaces.

➢ Clearing the DHCP on the Remote network 192.168.3.25 which is the domain
controller by deleting bad addresses of devices that would have failed to get IP
addresses automatically from the DHCP and also removing connected smart phones

➢ Troubleshooting network problems, using the command prompt to write command


lines like ping 192.168.3.25 and other ipconfig lines.

➢ Fixing an unidentified network problem to several computers. A computer picked an


IP address which is not within the range of our network’s IP addresses and failed to
identify the network and internet access.

TECHNICAL PROBLEMS OR CHALLENGES THAT I WAS ASKED


TO SOLVE
I faced few new challenges and some daily old challenges during my second month at
RioZim as I was trying to apply my theoretical knowledge, I had learnt from school to solve
real practical problems and also using some of my technical skills. The problems I
encountered are:

a) Fixing a Windows 10 HP Laptop that had suddenly crashed into the black screen and
after the force shut down the device booted to the automatic repair screen. There were
tens of appearances but ultimately the HP Laptop was stuck in the black screen repair
loop. The black screen just kept loading with the Windows 10 logo and “Preparing
Automatic Repair” message.

b) Scanner at the Managing Director`s Secretary office not working and documents
scanned by the printer could not be sent to emails as the scan option was unavailable.

c) All VIOP phones and PXB phones at RioZim not working and displaying a service not
available error message.

d) Connecting computers to the Wi-Fi network which were having an unidentified


network problem not connecting to the network. This problem is a result of the
computers not being able to get an IP address from the DHCP automatically.

e) Microsoft word, excel and outlook having some functions not working. The computer
user was not able to update folders on their outlook account and also in Microsoft word,
user could not insert a table while typing a certain document as many of the features of
the Microsoft Office 16 were no longer working. And a Microsoft Office needs
activation was displaying.
f) Outlook emails not sending because the mail space was full, thereby not allowing the
user to send or receive new emails and it required to first delete permanently some old
emails to create space.

g) Unlocking and resetting user passwords in the Active Directory which is I the domain
control which shows all system users on the domain and their details.

ANALYSIS OF THE ABOVE PROBLEMS AND HOW I SOLVED


THEM
Problem and Solutions

a) Fixing a Windows 10 HP Laptop that had suddenly crashed into the black screen
➢ To fix this problem, I manually removed the battery and then pressed the power button
which just terminated the process and again pressed the start button which flashed the
same repair screen on the HP Laptop. Also tried to troubleshoot the problem and even
opened in safe mood but all did not work
➢ Finally, I was left with the option to reinstall another windows 10 OS and kept the old
files during windows installation which worked.

b) Printer not being able to scan documents and send to email


➢ To solve this problem, I downloaded and installed an HP Printer and Scanner doctor
drive which installed the scanner drivers and the scan option became available and the
printer could scan documents and send to emails.

c) All VIOP phones and PXB phones at RioZim not working and displaying a service not
available error message.
➢ To solve this problem, I restarted the PBX server in the server room and after a few
minutes all the VIOP and PBX phones started working and could make calls.

d) Connecting computers to the Wi-Fi network which were having an unidentified network
problem.
➢ To solve this problem, I first clear the DHCP by removing bad addresses and smart
phones connected and if it does not work, I disconnect the RJ45 ethernet cable that is
connected to the computer and then connect it again to the ethernet port and if there is
no ethernet cable I close the Wi-Fi search and put airplane mode then search back to
try to connect to the Wi-Fi available. Or I open Command Prompt and entered some
ipconfig lines to try to search for an IP address and also ping to 192.168.3.25 which is
the domain controller. In all the cases, one of these solutions always work

e) Microsoft word, excel and outlook having some functions not working
➢ To solve this problem, I used an application called KMSpico which I used to activate
the Microsoft Office 16 and it activated successfully. After the activation of the
Microsoft Office all functions and features in Microsoft word, excel and outlook were
now functioning well and the error about activation of Microsoft Office cleared out.

f) Outlook emails not sending because the mail space was full
➢ To solve this problem, some emails on outlook needed to be permanently deleted but
the user did not want to delete some as they were very important to him. So, to solve
this problem, I firstly created a back up of all his outlook emails and then archived it
then deleted most of the emails on his account to create space as he now had a backup
of his emails which he could visit all his old emails.

g) Unlocking and resetting user passwords in the Active Directory


➢ The solution to solve this kind of problem, my supervisor had told me that I first get
into the Remote Desktop Connection and enter 192.168.3.25 which is a server which
is the domain controller and contains all system users. Then I entered my login details
then searched for the user to unlock or whose password needs to be reset.

I faced some problems in trying to complete the new tasks assigned as different problems
always emerge when working with computers, which will require someone with good
computer solving techniques and experience but there is always a solution and if am unable
to solve the problem, I get assistance from my supervisor. However, with the help of the
supervisor and other senior colleagues I will improve my problem-solving techniques and
gain more industrial work experience.

CONCLUSION

I benefited a lot during the month of May as I was given a chance to explore and learn how to
manage and maintain the company’s network and computers which is one of the internship
goals. I still have a lot to learn and still getting familiarized to my area of work which is the
IT department but now have an improvement to my problem-solving techniques.
