As the name specifies "HOSTEL MANAGEMENT SYSTEM" is software


developed for managing various activities in the hostel. For the past few years the
number of educational institutions is increasing rapidly. Thereby the number of
hostels is also increasing for the accommodation of the students studying in this
institution. And hence there is a lot of strain on the person who are running the
hostel and software's are not usually used in this context. This particular project
deals with the problems on managing a hostel and avoids the problems which
occur when carried manually.

Identification of the drawbacks of the existing system leads to the development of


computerized hostel management system that will be compatible to the existing
system with the system which is more users friendly and more GUI oriented. We
can improve the efficiency of the system, thus overcome the drawbacks of the
existing hostel management system. Less human error, Strength and strain of

Hostel by definition is an establishment which provides cheap food and


lodging for specific group of people. It is also seen as a home for student
when staying from home. It has large well ventilation dormitories and single
rooms and is situated in the school premises. Providing clean and calm
hostel accommodations in one of the key responsibility of the school

of tools they use.
Hostel management system is well designed specially to meet challenges of

management. In short, this system will assist the staff in managing some of
the hostel activity.

1.1 BACKGROUND OF THE STUDY

Heritage Polytechnic, eket, Akwa Ibom State is a privately owned


polytechnic institute located in Ikot Udota, Eket Local Government Area of
Akwa Ibom State Nigeria. It has four (4) faculties: management science,
environmental studies, science and technology and engineering. The school
has talented gifted and committed lecturers, staff and student. It also has the
capability and purpose to prepare student for their chosen careers.
Heritage polytechnic started as Christian continuing education center in
1996 and grew to Christian institute Education in 1999. In year 2000, the
institution changes to Heritage College and was converted to Heritage
polytechnic with federal government license in 2010. Between 2010 to date
Heritage Polytechnic has secured accreditation in 28 academic programme
both at the national Diploma and Higher Diploma levels with this approvals,

Polytechnic are accredited. The idea of Heritage education is to train the
whole man, spiritual, mental and social, making remarkable achievements.

1.2 STATEMENT OF THE PROBLEM

The growing number of students in Heritage Polytechnic has posed a lot of


accommodations problem on the part of student and school management.
Student at the beginning of each sessions waste half of the semester looking
for accommodation. the few hostels that exist in the polytechnic are not

properly managed. Statistics of the number of rooms required to march the

system that will manage the hostel activities of Heritage Polytechnic Eket.

some financial involvement. One had to pay for the computer time. Also the
typing and planning of the work has it own financial involvement.

project posed a lot of problematic such as database connections using visual

In the existing hostel management system, most of its operations are
manually carried out, which include; allocating rooms, vacating of rooms,
bills calculation and notice board management details. All these information
activities are recorded on paper document and are referred to when needed.

a lot of strain on the personnel running the hostel and software are not
usually used in this context. When hostel allocation management is
performed manually more human error, more strength and strain of manual
labor is needed. Repitition of the same procedures, low security, data
redundancy, handling difficulty and update data difficulty are some of the
problems encountered. This has led to the implementation and development
of a hostel allocation management system. The proposed system is very easy
to operate. Speed and accuracy are the main advantages of the proposed
system. The re is no redundancy of data. The data are stored in the computer
secondary memories like hard disk etc.It can be easily retrieved and used at
any time. The proposed system will easily handle all the data and the work
done by the existing systems. The proposed system eliminates the drawbacks
of the existing system to a great extent and it provides tight security to data.
5.2 CONCLUSION
The aim of this research project is to design and implement a student hostel
allocation system to address the drawbacks faced by the current manual
system of allocation. This was achieved through the development of a

computer based software application that allowed the school hostel


accommodation staff to register students and allocate them to hostels. The

Access Database System.
