Manual for Worksuite

This document explains how to select a task, track time and submit it to get paid via the Worksuite
platform for Veeva Systems.

1. Joining Worksuite
a. Check your emails and click on the link to set up your profile for Worksuite
b. Be sure to follow the different steps and ensure bank details are added
i. You have three options, without adding them you cannot be paid:
1. Direct Bank transfers (in some cases instant transfer with 0% fee)
2. Payoneer transfer (add your Payoneer bank details)
a. Worksuite asks for an Account Number.
b. To find our receiving account information you need to log in to
your Payoneer Account and click on Banks and Cards provided in
the left side of the website.
c. There you can find your receiving account in US with Account
Number and ABA (Routing Number)
d. Receiving account is connected with our active card (More
information can be found in Receiving accounts - FAQ in
Payoneer Support Page.)

2. Selecting Worksuite Memos


To select a Task or Memo Code, please go to your job board.

a. Click on the Opportunity title


i. If they don’t show up directly, reload the page.
b. Click apply

c. You don’t have any tasks to apply to? Don’t worry, inform your team lead or trainer!

3. Using the Time Tracker


You can access the time tracker from two places:

1. Using live time tracking with clock in/clock out functionality:
a. Use the dropdown “What are you working on?” to select the current task.
b. Click the PLAY button to start the time.

c. Click the STOP button to stop tracking.

Please note that if you click the PLAY button without selecting a task, you can still select it while
the time is already being tracked, or you can click the STOP button and later manually edit that
time entry.

2. Do Not Submit the time everytime you stop tracking time!


3. If you do by accident submit the time too early it will automatically stop your ability to continue to
track time for that week! Please immediately reach out to your lead or trainer! Avoid doing this
at all costs!
4. If you have forgotten to turn on your time tracker, inform your lead and request the possibility to
adjust the time. You are not permitted to adjust time by yourself without prior approval.
4. Timesheet Approval
Once you are done tracking time, you have to submit timesheets for approval
by each Friday at 10pm (GMT+0) in order to be paid within the nearest pay run.

Payments if submitted on Friday, will arrive in 3-5 business days.

To submit your timesheets, you have to go the Task and click the “Submit for review” button next to each
weekly timesheet:

Your manager will then approve the timesheet and schedule it


for payment. You do not have to create any payments or submit invoices.

Please note that if you submit your timesheet in the same week as the time was tracked, you can no
longer track time on Saturday. To avoid this, you can wait out submitting your timesheet by one week and
then always submit the previous week for payment.

Example: I am tracking time in week 1 from Sunday-Saturday. On Sunday, I submit my timesheet for
week 1, which will include it in the payrun for week 2 on Friday. The payment will then arrive on Thursday
or Friday of week 3. Simultaneously, you submitted week 2, which arrives the following week and so on.

REMINDER:
Submit timesheets by each Friday at 10pm (GMT+0)!
