HOW IT WORKS IN THE USA

The Components of the Stand are fabricated, coded and packed into crates which are properly marked.

PKD ( Packing Drawing ) and SUD ( Setup Drawings ) are enclosed.

The crates are sealed and forwarded to the Freight Forwarding Company.

The Freight Forwarding Company transports the crates to the Show Center Warehouse or directly to the Show Site depending on the time frame.

Before any material enters the Show Site, a charge called DRAYAGE is levied for handling and storage based on the weight of the material.

DRAYAGE is charged for : 1. Moving material from the Loading Dock ( where material is received at the Show Center ) to the Booth. 2. Removing the empty crates before the show, storing them during the show and returning them after the show. 3. Moving your repacked goods back to the Loading Dock after the show.

DRAYAGE is charged for each cwt of material. All shipments are rounded up to the next 100 lbs, eg. (366 lbs becomes 400 lbs or 4 cwt.).
Most Shows have a compulsory minimum charge of 200 lbs. per shipment and higher rates for uncrated materials.
In many shows, Storage Charges & Material Handling Charges on a per-man-hour basis are applicable additionally to cwt charges.

The DRAYAGE Charge is based on a contract between Show Management and the Drayage Company ( usually a Labor Union ). Charges per 100 pounds vary across the US based on local conditions including prevailing union wages, move-in / move-out times and exhibit facility access.
In Overtime Hours, Drayage Charges may even double in addition to Overtime Charges.
( Overtime is all hours on weekdays prior to 8:00 AM and after 4:30 PM & all Saturdays, Sundays and Holidays. )

Once at Site,

the material is unpacked and assembled as per the SUD ( Setup Drawings ) by the I & D Company.
All the labor has to be from the local Labor Union and they charge per-man-hour.

BOOTH TYPES, TERMS & REGULATIONS

Before we get into details, it is important to note that all booth measurements in the USA are specified in feet. Also, unlike Europe / Asia, where an exhibition is held at a center across multiple halls, in the USA, an exhibition center usually comprises one single hall. The hall maybe divided into sections if required.

LINEAR / IN-LINE Booths


These are one side open booths which are generally arranged in a series along a straight line. The standard configuration is 10 X 10 and the width may increase in multiples of 10. For example, 10 X 20, 10 X 30, etc.

Generally, the height of back wall & side walls till 5 from the aisle is 8 3. Partition heights within 5 from the aisle have to be 4 or less, so as not to obstruct sight lines of neighboring booths.

CORNER Booths

These are two side open booths. All guidelines applicable to Linear Booths are applicable here.

PERIMETER Booths
These are booths which have back walls along the back wall of the exhibit hall. In other words, these are booths which are placed along the perimeter wall of the exhibit hall. All guidelines for Linear Booths apply here except that the typical maximum back wall and side wall height allowed till 5 from the aisle is 12.

EXTENDED HEADER Booths


These are Linear Booths of 20 width or more which have a central extended header.

All guidelines for Linear Booths apply. The central header has to be 8 3 tall and its width has to be less than or equal to 20% of the booth width. The central header can be placed at a maximum depth of 9 from the back wall of the booth.

ISLAND Booths
These are four side open booths with a minimum dimension of 20 X 20.

The maximum height allowed is usually 16 6. The entire cubic content of the space maybe used up to a height of 16 6.

Please note that the dimensional specifications and height restrictions may vary from show to show. It is advisable to study the regulations of a particular show before designing the space.

KEY POINTERS

Exhibiting Costs are on an average up to 5 times more than in Europe. DRAYAGE demands that exhibit components should be as light weight as possible and optimally packed to the nearest 100 lbs. Exhibits should be designed in such a way that it is easy to assemble the components. Only union labors are allowed I & D and most of them may not be skilled or conversant. Set-up Drawings ( SUD ) and Packing Drawing ( PKD ) are a must.

No construction or painting is allowed at site. Installation time is very low at site. Usually just a day or two. Electrical Supply is at 110 V. All devices and appliances must comply to this or suitable adaptors maybe used. American Pin for all plug points is mandatory. Video Signal Standard is NTSC ( 50 Hz ). Most players now support PAL ( 60 Hz ). However it is good to cross check. At many sites, Show Services can only be paid for by credit card. No cash is accepted.
