TERMS OF REFERENCE For MANAGER WAREHOUSE


PROJECT DESCRIPTION The Global Fund for AIDS, TB and Malaria (GFATM) has approved Round-9 HIV Grant for Pakistan which will be implemented by National AIDS Control Program (NACP) and Nai Zindagi Trust (NZT) as Principal Recipients (PRs). The PRs will be responsible to implement various objectives of the overall Grant. NZT is required to implement activities under objective 1 - Scale up comprehensive HIV prevention and harm reduction services to 28,000 IDUs, 8,600 spouses and partners of IDUs in 24 selected districts of Sindh and Punjab Provinces. The project will be implemented with the help of sub-recipients (SRs) who will be directly involved in reaching out to street-based injecting drug users for delivery of defined HIV prevention and harm reduction services. POSITION OBJECTIVE To supervise all warehousing activities along with distribution and logistics (Loading, unloading of products etc) services. SCOPE OF SERVICES Organize all activities related to warehouse & assign jobs accordingly for staff. Space management of warehouse. Manage stock control: receipt, storage, retrieval and timely delivery of goods; shipment loading & transferring. Planning, Organizing and Controlling of Warehouse over-all operations in coordination with Senior Manager Procurement. Constantly plan out all warehouse resources and activities in relation to organization objectives and set targets and for the Improvement & development of warehouse. Make plans to develop staff of warehouse by internal/on-job training. Follow up & control daily absence of warehouse staff. Ensure that workplaces health and safety requirements are met and take responsibility for the security of the building and stock. Issue Inventory report, IN/OUT status report, dead stock report, goods age report, consumption report, manpower status report to Senior Manager Procurement. Implement cost reduction principle in all aspects of warehouse transactions and activities. Promote constant motivation among staff to strive for an efficient and effective warehouse administration. Always research to improve all warehouse operations according to organizations objectives. Negotiate rates with transporters / common carrier representatives. Running shift with safety and efficiency as priorities. Ensure that inventory management software is properly maintained and updated on daily basis. Manager Warehouse will be reportable to Senior Manager Procurement. Take on any other tasks identified by Senior Manager Procurement that may be necessary to ensure proper and timely management of warehousing function

EXPECTED OUTPUT Manage warehouse activities in an effective and efficient manner during the implementation of the Global Fund Round-9 project.

DURATION The initial appointment period will be for 13 months with 3 months probation. The appointment may be extended for a period of another three years subject to performance assessments and funding.

DUTY STATION Islamabad

QUALIFICATIONS/SPECIALIZED KNOWLEDGE/EXPERIENCE REQUIRED 1. Preferably Bachelors / Masters in Pharmacy. MBA with majors in supply chain management may be considered. 2. Minimum 4-5 years past experience of warehouse management. 3. Trainings in supply chain management and inventory control system will be an added advantage 4. Knowledge regarding procurement processes will be an added advantage. 5. Demonstrated flexibility and openness in responding to changing work priorities and environment. 6. Strong interpersonal communication and writing skills. 7. Ability to prepare reports and presentations on the subject.
