CATERING POLICIES
The Town & Country Resort is committed to the success of your event. In order to provide you with the best possible service, we ask that you review the following policies. They will provide a summary of the policies in place for catered events. Additional provisions are outlined in the Catering Agreement, however, if you have any additional questions please do not hesitate to contact the Catering Department.
SPECIAL SERVICES 1. The Hotel is happy to help you enhance your event through fresh floral arrangements, audio/visual, special dcor and entertainment. Estimates can be provided by the catering sales team. 2. Delivery of equipment, materials and packages must be coordinated through your catering or convention services manager prior to your arrival. Deliveries are subject to receiving and storage fees based on weight and size. To assure proper delivery please label all items with the following information: organization name, contact name, arrival date and Hotel representative. The Hotel will employ all reasonable care with deliveries but does not assume any liability for lost or damaged items. FOOD AND BEVERAGE REGULATIONS 1. Hotel strictly enforces all federal, state and local laws governing food and beverage purchase and consumption. All food and beverage consumed during your event must be provided and served by the Hotel and no food may be taken off property. Hotel reserves the right to apply a service fee for any outside product or audio/visual brought on property by any outside vendor. 2. Final menu selections are required 3 weeks prior to your event. 3. Multiple entre selections will be charged at the highest priced entre selected. When multiple items are served Patron is responsible for providing an exact count 2 days prior to the event and menu selection cards for guests at the event. GUEST GUARANTEE 1. Guest guarantees are due by 12noon, 2 business days prior to your event and are not subject to reduction. Final charges will be made based on this number or the actual number served, whichever is greater. If no final guarantee is given the estimated attendance in effect at 12noon on the day the guarantee is due will be considered the guarantee and the Patron will be responsible for that amount. Increases requested after the guarantee date will be subject to Hotel approval and product availability. The Hotel will prepare for 5% over the guarantee. Guests served over the 5% will be charged an additional $10 per person. 2. Banquet and meeting facilities are assigned by the Hotel based on the expected attendance indicated at the time of contract. The Hotel reserves the right to move your event to appropriate space within the Hotel if it deems necessary, or if the final attendance differs from the figures originally indicated. MENU PRICES AND ADDITIONAL FEES 1. All events are subject to applicable taxes. The Hotel will apply taxes to the price of all products and services unless it is stated in writing that sales tax is already included in the price. A mandatory 19% service charge will be applied to all hosted food and beverage items. This is not a gratuity, nor a charge in lieu of a gratuity. It is part of the price for services rendered and is subject to state tax. The Hotel will apply this service charge to the price of all hosted food and beverage items ordered unless it is stated in writing that the service charge is already included in the price. 2. Catering events of less that 20 people will be subject to a $150 labor fee. 3. Bartender Fees: Bar minimum is $150 per bar, per hour. If minimum is not met a bartender labor fee of $100 per bar will be applied. 4. Changes to room set made the day of the event will be subject to a $150 labor fee. Additional fees may apply if extra staff is required to accommodate changes. BILLING Hotel policy requires 100% of all estimated changes to be paid in full 2 business days prior to the event unless direct billing has been approved by the Hotel. Applications for direct billing are due no later than 30 days prior to the event. Events approved for direct billing are still required to provide a 25% deposit with contract.
