KROLL WINDOWS RELEASE 8.0


In the ever changing world of Pharmacy Kroll remains the constant as our focus is and always will be on customer satisfaction. Kroll is pleased to take this opportunity to introduce to you Release 8.0. New and exciting features come with our new release. These additions to the software have been implemented to allow increased productivity, efficiency, and customer adaptability. We understand that not everyone uses the same features in the system therefore we provide versatility. Kroll also works hard to simplify complex tasks to allow the pharmacist to spend their time where it matterswith their patients. This year has been very busy for Kroll with the ever changing profession of pharmacy practice. We would like to take the time to thank you for your continuing support. At Kroll, we thrive on doing what is in the best interest of the customer. In order to provide you with versatile features and functions, our software is evolving on a daily basis to better serve you and your needs. Since our beginning, we have always been leaders and innovators with our Pharmacy Management Software and we promise to continue to do so for years to come.

General Functionality
Allergy and Condition Codes
In Version 8 new allergy and condition codes have been introduced. These new allergies and conditions allow a more specific entry when applying to the patients file. In comparison to the prior allergies and conditions there are many more entries so a new method to search has been implemented allowing for more robust and targeted searching. Searches can be performed to return results that Starts with or Contains the criteria specified. Allergies and Conditions are based on Allergy Group, Branded Medication and Ingredient. When selecting Medical Conditions FDB codes can be used, as they were in version 6.2, or the new ICD-10-CA codes, which offer more specific indicators, are available.

Add New Rx to ToDo Tab


In efforts to improve productivity the capability to add a new prescription to the ToDo tab from the Patient Card has been introduced. This is a helpful time saving function that allows for quick entry of new prescriptions to be completed at a later time. This functionality is accessible from the Patient Card under Patient MenuAdd New Rx ToDo. A script image may also be attached to the prescription with the use of a scanner. This function can be accessed in the Patient Menu Scan Script or in the Utilities Menu Scan Script After selecting to option from the menu the Add New Rx to ToDo window will open. From this window the following actions can be performed: Scan in a prescription image. Set a Wait Time for the prescription. Enter in all required prescription information.

Once all required information has been entered, clicking on the Add Rx button located at the bottom left of the screen will generate a prompt:

The following six selections are available: Add another Rx for the same patient and Script Image This option will put the prescription just entered into the ToDo module, blank out the form leaving the script image intact allowing for another prescription to be entered that is also printed on the script image.

Add another Rx for the same patient (not script Image) This option will put the prescription just entered into the ToDo module, clear the script image and all prescription information, but leave the selected Patient information intact. Add another Rx for a new Patient This option will put the prescription just entered into the ToDo module and clear the form allowing for a new prescription and patient information to be entered. Create Multiple ToDo items for this image This option allows you to enter more than 1 prescription using the same scanned image and place them on the ToDo tab. Fill an Rx for this Image now This option allows you to Fill the prescription immediately after you have placed it on the ToDo tab. Im done adding Rxs - This option will put the prescription just entered into the ToDo module and return back to the Patient Card.

Viewing the ToDo module will reveal all pending prescriptions added. If a Due Date/Time was entered when creating the entry, the amount of time remaining will be displayed in the Due In column. This will help keep track of important prescriptions and timelines. Prescriptions can still be processed directly from the ToDo module by selecting one or many entries and clicking on the Fill button or pressing F on the keyboard.

Patient Inactivation
The default date range when performing patient inactivation is now 24 months instead of the previous default of 6 months.

Print Screen
Print screen functionality has been added to Kroll to allow for easy screen capture and documentation. By pressing CTRL + PRINTSCREEN at the same time a screenshot of the active window will be automatically printed on the report printer. The printed document will contain the store name and a date/time stamp indicating when the screenshot was taken. Once the screenshot has been taken it will remain in the Windows Clipboard so it can be pasted into another application such as Microsoft Word.

Users
A new option has been added into the Users window to force the user to change their password upon next login.

With this option on, the specified user will be forced to change their password at their next login attempt and until completed they will not be able to access the system.

Plans
Plans can now be flagged as Drug Utilization Evaluation (DUE) from the General tab in the Plans/Pricing Configuration module. This option is beneficial for plans that require claims to be sent only for network purposes and not for financial reasons; claims will be sent to capture prescription information but are not processed financially.

Accounts Receivable
There is a new warning message that is displayed for a patient that has an AR account that is either near or over their charge limit. The notification will appear in the messages section of the prescription (lower right corner of the F12 Screen).

Drug Update Utility


A new utility has been added allowing users to update certain information on Drug Cards by themselves; for example resetting on hands or updating min/max quantities.. This utility can be found under UtilitiesDrug UtilitiesDrug Update Utility. Drug Cards can be updated based on some or all of the criteria listed on the Search Drugs for or Search Drug Packs for tabs of the Drug Update Utility window.

The information that can be updated on the Drug Cards is located on the Update Drug Packs tab. Any combination of the available options can be performed on the selected drugs/packs.

Once satisfied with all criteria and update values, click the Run button in the upper right hand corner of the window. The operation will be initiated and a prompt will be displayed indicating how many Drug Cards will be affected by the requested changes.

Once the selection to the prompt is made, the drug update will either be completed or cancelled. NOTE: For a more detailed explanation of this new utility contact Kroll Support and request the Drug Update Utility user documentation.

Drug Export Utility
A new utility is available in Version 8 that will extract drug data and export it to a file that can then be imported into separate database or spreadsheet programs like Microsoft Access or Excel. You can then use those programs to manipulate the data and to assist you with processes such as inventory calculations or reconciliations. The Drug Export Utility is available in the Utilities menu of the F12 screen. Once the Export option is selected the Drug Export Utility Form opens to the Search Drugs tab. This tab allows specific drug criteria to be entered and the data extracted will only include the data for the criteria selected.

Once all Drug Criteria is entered the criteria may then be narrowed down further by entering particular criteria in the Search Drug Packs tab.

The Export Options tab provides options for the fields of information that will be included in the data export. To add or eliminate particular fields to/from the data export, click on the F2 button to the far right of the field. Also select the appropriate file format; Comma Delimited Text (CSV) or Tab Delimited Text. Once all criteria are selected, click on the Export button at the bottom of screen. A Save window will appear so that the location to save the Drug Export data can be specified. Once the Export is completed, click on the Close button at the bottom of the window.

Drug Card
When creating a new Drug Card by copying from an existing drug card, a prompt to copy the price information from the old drug will appear. This prompt will only appear if the newly created pack size also exists in the old drug card. Prompting also occurs to copy some or all of the groups from the old drug to the new drug card.

Rx Card
Include in Narcotic Report In the extra info tab of the Rx card there is a new flag called Include in Narcotic Report. When this option is checked, the prescription being filled will be included in the narcotic report even if the drug is not a reportable drug. This feature was added to allow reporting of specific prescriptions for chronic abusers of non-reportable drugs on the narcotic report. Drugs flagged as reportable on the drug card will continue to be included in the Narcotic Report regardless of the value of this checkbox.

Plan Sequence When the patient has two or more plans on their file with the same Sub plan Code the plan sequence is now identified.

Vendor
New Vendor Options for Kohl and Frisch Two new options have been added and are accessible for Kohl and Frisch. These options are available in Edit Vendor List. Zero Receive outstanding purchase order items not included in a downloaded invoice If there are one or more items in the invoice that belong to a specific purchase order, then all items in that purchase order that were not present in the invoice will be zero-received. This prevents the purchase order as showing partially received and would effectively put those items back on reorder immediately. This is used for vendors that never include an item in an electronic invoice if it is not shipped. And/or Allow Re-receive of Zero Received Items If you have the option above enabled, you will usually also want to have this second option enabled Allow Re-receive of Zero Received Items should the product show up on a subsequent days invoice, this option will go back and update the received quantity to corrected value.

Owe Label Sequence


Dot Matrix Strip Label When an owe label is printed, the order in which the strip labels print out has been changed. The labels will now print in the following order when Vial and Receipt are selected: 1. Vial label 2. Prescription Receipt (where it shows what the 3rd party plan paid, as well as co-pay leftover for patient) 3. Medication Owed label 4. 2nd vial label 5. 2nd Prescription Receipt (that shows the number of tablets owed to the patient - no financial information at all) 6. Medication Picked Up label

New Configuration Options


Ordering
Drug Card Min/Max Fields For stores that do not do automatic drug ordering, this new configuration option will open up the Min/Max fields to allow adjustments to these values that you are provided with a warning on the main Fill screen that the drug should be manually ordered.. In past versions this was not an option. The option is available in FileConfigurationStore on the Order tab.

Order Price Warning The system will now prompt when an item is being ordered that exceeds a certain dollar amount. This option is found in FileConfigurationStoreOrderWarn if Item Order Price >= ______.

The default value is 0.00. By entering a dollar amount in this field, when an item is being ordered that is equal to or greater than that amount, Kroll will prompt with the following message:

Supplier Information Warning A new warning has been added to warn that Electronic Receiving is enabled but the option to update acquisition costs upon receiving is not. If this option is left off, all acquisitions costs will have to be updated manually. March 2009 18 Version 8.0

Barcode and Label Positioning


There is a new tab in the Labels section of configuration called Barcodes. This new tab allows up different types of barcodes to be implemented and where on the label set they will print. This can be found at File Configuration Store Labels Barcodes.

Rx Tab
Narcotic Numbers for Targeted Drugs In the Rx tab in store configuration, the General tab has a new option Use Narcotic Numbers and Rx Num prefix for Targeted Drugs. When this option is enabled, prescriptions for targeted substances will be assigned a narcotic prescription number as well as the usual narcotic Rx prefix should there be one set up. As well, if a prescription for a controlled or mixture is filled, the narcotic Rx number and prefix are printed, whether or not this option is enabled.

Copying an Rx Marked as Mistake There is now a configuration option available that will prompt to copy a prescription that is marked as a mistake to a new number. This is available in File Configuration Store Rx Prompting.

Deduct Inventory for Not Dispensed Rxs Another new option in the Prompting tab of Rx configuration is Prompt to Deduct Inventory for Not Dispensed Rxs.

With this option on a prompt will appear asking to adjust the inventory for this not dispensed Rx. If say yes is selected, the inventory will be adjusted and likewise if No is selected, the inventory will not be adjusted.

Pricing for No Sub Prescriptions A new option has been added to the Rx section of configuration in the Pricing tab; Dont use formulary pricing if prod. Sel is Patient or Doctor Choice. If this option is on and a prescription is filled for a formulary drug, then the regular strategy will be used (instead of the formulary strategy) if the prescription is marked as No Sub (product selection of patient or doctor choice).

Labels
Watermark Darkness One of our newer features in printing watermarks on labels, such as unfills.

Label Printing by Prescription Status Configuration options have been added to allow customization of printing labels for particular prescription statuses. These particular statuses are Not Dispensed, Cancelled, Unfilled and Unfilled Cancels. You can choose one of three selections from the dropdown menu; Never, Always and Prompt.

When prompt is selected, a prompt appears asking if a label is to be printed when filling a prescription for one of the listed statuses.

Vial Copy and Receipt Print Drug Din and Not Pseudo Din A new option to print the Drug Din and NOT the Pseudo din has been added to Vial Copy and Receipt configuration. This option is located in FileConfigurationStoreLabelsVial Label as well as File ConfigurationStoreLabelsReceipt.

Adjudication
Copay Adjustment
In FileConfigurationStore on the AdjudicationGeneral tab, the prompt to rollback copay options have been modified. There are now 2 choices; prompt to rollback copay for Last Rx Plan and Always prompt to rollback copay for Provincial Plan.

If prompt to rollback copay for Last Rx Plan is turned on, copays only for the last plan being billed to on the prescription will be available for modification. Ex. First Plan is Assure and Second Plan is ESI. You will be prompted to rollback the copay after ESI is billed.

If Always prompt to rollback copay for provincial plan is turned on, the ability to rollback the copay after the provincial plan is billed is available, no matter what billing sequence is used.

If both options are selected you will be prompted to rollback the copay after the provincial plan and after the last Rx plan.

Patient
Prompt to Complete Delivery Order There is a new patient configuration option to Prompt to complete delivery order. This is located in FileConfigurationStorePatient.

I f this option is enabled, when filling a prescription for a patient with a delivery route set in their patient card, the following prompt will appear.

If yes is selected, the prescription will be added to a delivery order and the delivery order window will appear to view the prescriptions to be delivered and to complete the order if necessary. If and Print is March 2009 34 Version 8.0

selected, the delivery order will print and the prescription will be added to it and if No is selected the prescription will be not be added to the delivery order. Hide Cancels in Active Profile (Shift+F5) The option to hide cancelled prescriptions in a patients active profile has been added into configuration. With this option enabled all cancelled prescriptions will be in the patients Active profile. If this option is selected, you cannot have Hide Cancels in All Patient Profiles selected and vice versa. This option is located in FileConfigurationStorePatient.

ToDo Tab
Treat To Do Items due on or Before There is a new configuration option in the to do tab Treat To Do items due on or before _______ as being due the Previous Day. This option allows the user to select a time to have To Do items show on the To Do tab the day before so they can be proactively processed and ready the next day for the patient to pick up.

Security
Log On Hand Changes
The ability to track on hand changes has been added. There are new configuration options relating to this in the Security tab of store configuration. These are located in FileConfigurationStoreSecurity.

Log On Hand Changes With this option on all on hand changes will be logged. Require User Login when log on hand changes is enabled you may turn this option on. The user that is making the on hand change will be required to enter their user login (user and password). Their user id will then be associated to the appropriate on hand change and it will be shown in the Security Audit Report. Only Log for Drug Schedules (Blank logs all schedules) if this option is left blank on hand changes for all schedules will be tracked. There is also the ability to select what schedules you would like to track if tracking all is not required. Click on the F2 button to the right of the option and select the schedules you would like to track. Click on Ok when you are finished making your selections and you are returned to the security tab. The selected schedules in the Only Log for Drug Schedules field are shown.

In store configuration, in the Security tab; there is now an option to Log if a refill prescription is Early/Late. The blank must be filled in with a percentage if this information is to be logged; if the value of zero is entered this information is not logged. If a valid percentage value is entered, Kroll will force a reason to be entered if you fill a prescription either too early or too late.

A new option has been added to the Drug tab in store configuration allow changes to mixtures with Rx usage. This option is defaulted on but can be easily turned off should the pharmacy not want to allow this by going to FileConfigurationStoreDrug.

prescriptions will now be included in the report. The pastimes used for the 4 dosage slots are configurable under Options General Non-NH Passtimes. The default values are 0800, 1200, 1600 and 2000. The passtimes entered must fall in the date/time range specified for the report in order to be valid.

If the pharmacy is a non Nursing Home pharmacy and does not have access to Nursing Home labels, forms or reports there are 2 fields within the report that will be disabled; Passtime Type in the Selection tab and Med Types in the Selection 2 tab.

Compliance Report
The option to print the child warning - Keep Out of the Reach of Children now prints on the Compliance report. This warning can be printed in English or French and the language it prints out in will be based on the Patients language set in their patient card. The option to print the drugs lot number and the repackaging expiry date has also been added to the report. In order to print the drugs lot number, the din cannot be selected to print. The dispense quantity will now either print based on the quantity entered in the prescription or if the option is selected, based on the number of weeks you are running the report for.

New Style Two new styles of the compliance report are now available Style 1 Large and Style 3. Style 1 Large This new style was added to provide an extra line for long sigs and 2 lines for the drug description. All other styles provide 2 lines for the sig and the drug description has 1 line. By increasing some of the fields, this style will print fewer medications per panel. I.e. 4 panel will now print 6 medications instead of 8.

The option to Print empty cells for days past since effective date has been added to the Dispill Report. Time Distribution Report


Many new options have been added to the time distribution report in order to better accommodate pharmacy needs: Print Graphs graphs no longer print automatically. You must select this option should you require these to print. Print Detail Breakdown this option breaks down the number of new prescriptions and refill prescriptions for the time period specified. Print Breakdown by User this option breaks down the number of new prescriptions and the number of refill prescriptions processed by each user for the time period specified. This option is only available when the Print Detail Breakdown option is on. Print Zero Values this option will print the time periods within the time range specified that have a zero value. I.e. No prescriptions processed. Print in Portrait or Landscape Orientation the report will now print in Portrait or Landscape format. CSV Option this option allows you to save the data from the report in Excel format.

Claims Invoice Report


The Claims Invoice Report now contains an option to print and Administration Fee that would be determined by the User/Pharmacy for a specific service. This admin fee is charged per transaction/prescription on the claims invoice report. Ex. 7 prescriptions x $10 admin fee = $70.00 admin fee charge on the invoice.

Doctor Authorization Report
A few changes were made to the Doctor Authorization Report. The Comment Tab is now the first Tab that is seen when the report comes up. As well the comment type is now defaulted to Freeform instead of the previous default of None. In previous versions the last comment use was retained for the next time the report was run. This no longer occurs.

Passtime Notes The option of printing Passtime Notes has been added to the Universal Mar. To have access to the passtime notes, the show passtime notes option must be enabled within that specific Nursing Home as shown below.

The option to print Standing Orders in the Unit Dose section of the Universal Mar has been implemented in Version 8. This option is available in both the Mar Section of the report and the Unit Dose Section of the report. The option can only be selected in one section so if you enable it in the Mar section and then try to also enable it in the Unit Dose section, the option automatically turns off in the Mar Section.

Summary Section The ability to print the therapeutic class or the first fill date has been added. This can be found in the Medboxes tab on the lower right hand side. Only one of the two options can be on at any one time or they can both be off if neither are selected.

Dot Matrix Reports


All Dot Matrix reports now have preview functionality. The previews generate just as they do in laser format but the preview cannot be printed. They can however be saved as PDF or NDR files. The previous preview functionality whereby the printer data could be saved to a file instead of sent to a printer is still accessible by holding the Shift Key while clicking Print.

Medication Reconciliation Report


A new report has been added to Kroll. The medication reconciliation report has a few purposes. The primary function is for the doctor to review patient medications but the report can also be used upon patient discharge from a facility. discontinued by the physician, the report can then be printed and given to the patient upon discharge and taken to a pharmacy as a valid prescription, NARCOTICS excluded. This report is also a requirement to earn accreditation from Safer Health Now an organization whose primary focus is to eliminate medication errors and incidents during hospital stays. The first page of the report is always printed with no pre-populated information. This page is used for handwritten notes by the staff/doctors.
