Minutes of the Board of Directors Meeting


The Board of Directors of Chestereld Village Homeowners Association, Inc., a Missouri non-prot corporation, held its monthly meeting at the Chestereld Village Homeowners Association Clubhouse in Springeld, Missouri, on May 4, 2009, at 7:00 pm, pursuant to the notice posted at the association clubhouse. The following Directors of the Corporation were present: Lora Turnage, Gene & Judy Herndon, Brandon & Rebekah Gilmore, Tyler Smith, Melissa Wittmer and Edd & Cheryl Liniger. Absent: Julie Mason, John Wittmer. OLD BUSINESS: The issue concerning the bill from Atlas Security for work done on the security system in the clubhouse was resolved. The bill was incorrectly sent to the Association and will require no further action. A letter of approval for the fence on 2439 W Dearborn was sent to the resident. Secretarys Report: Minutes from the April 6, 2009, meeting of the CVHA Board of Directors were distributed. Minutes were approved with the following correction: Judy Herndon was incorrectly identied as Julie Herndon. Tyler Smith made a motion to pass the minutes with the correction and it was seconded by Judy Herndon. Treasurers Report: There was no new report for the month as Julie Mason was absent from the meeting. It was noted there are still 17 outstanding invoices for homeowner dues, as no new dues have been collected since the previous meeting. It was decided that the addresses still owing dues will be listed in the next newsletter. Common Grounds/Tennis Courts: Work on the tennis courts has been completed and a bill in the amount of $14,000 was received. The idea of planting trees to hide the backboard on the tennis courts was suggested, and Lora Turnage said she would look into it. Clubhouse: There are clubhouse rentals for the dates of May 2nd, 10th and 17th. There are currently two rentals for June and one for July. Gene Herndon presented an invoice with repairs needed for the clubhouse. The list of repairs and estimates were reviewed, and per Association policy, two more estimates will be requested before making a nal decision. Pool: The next newsletter will address the clean-up day for the Memorial Day weekend opening of the pool, as well as the need for pool monitors. Allbright Pools gave us an estimate on pool pump covers in the amount of $7,800. This idea will be put on hold until fall to see how much is left in the budget, as well as waiting until the pool is closed for the season so as not to interfere with guests. Architectural Control: Tyler Smith sent out three letters regarding trash cans being left outside residences after trash pickup. Two of the households immediatley complied and moved them in after receiving the letters. Tyler will send one more letter to the remaining resdience, letting them know trash service will be stopped if they fail to bring it in. There have been complaints regarding weeds in some yards, as well as unmowed grass. Letters will be sent to those homes reminding them that their yards be kept up or the Board reserves the right to hire a lawn service to do so, and that they will receive the bill for work done. The Rubles have asked for approval of an extension on the back of their home for a covered porch. The

Board is asking that they come up with a way to cover the AC unit on their existing sunroom before giving approval on the extension. Neighborhood Watch: Edd Liniger noted there are openings for block captains. These will be be listed in the newsletter. NEW BUSINESS: There was no new business to report. A motion was made by Gene Herndon to adjourn the May CVHA Board of Directors meeting. Edd Liniger seconded the motion. Motion passed.
