Internal Communication : 20-01-2013 -All event structuring, Pitch, Logo , Website should be ready by end of this week.
Strategic Meeting Planned : 21-01-2013 (Agenda ) -Team Formation with Personnel-2-Team Marking -Managers of each team will gain insight in this meeting on what needs to be done. -Logo and Tag Line -Media Partners -Sponsorship Pitch -Website Launch -Event Structuring --Ritika and Placecom to give all those company contacts who want to have a relationship and then recruitment (Please be there for the Strategy Meet) -Any other suggestion: Wild or Otherwise welcomed -We need each one of you to be there, please. Small or big , contribution counts.

Main Outline of Atharva 2013


The Atharva is the marquee event at MIB, Delhi

School of Economics, University of Delhi. Involved judges, mentors, sponsors, supporters and quiz master form the business community. We saw over 300 Participants. Promoted student ideas and skills. This time we want to take Atharva to the next level. It will be a joint exercise by all the cells and societies at MIB. We will have an whole array of events

The Theme
Looking for solutions to future problems

We want to focus on anything and everything connected with Future Living:


Solving Future Problems: Business and Strategy Fair Trade, Fairly Traded Goods, International Trade, Trade related Issues: Model WTO

would be that platform


Sustainability and Strategy : Energy, Carbon Footprint, Poverty etc. Creating Shared Value: Sustainable Finance, Marketing, Business, Strategy everything Event Greening (See the attached doc): reducing our own footprint

Education Societal Issues: NGO partners


So we are not looking at just sustainability as an idea we are looking at the whole new dimension that is coming up: Creating Shared Value, Evolving Strategy of Business, Three Pillars , Triple Bottom Line etc etc.

Case study challenges might / might not be of direct relevance but somehow would be
connected Like our Model WTO is about creating a knowledge bank of solutions to future trade related issues.

Events Planned : Unique names to be thought of by Event Structuring team


Any Suggestions for events are invited, the proposed list so far is: 1) Panel Discussion on Business and Strategy ( Exact topic to be finalized): Talks on with Business Community and Government Ambassadors 2)Panel Discussion on Education and Society (We would want draw our panel from varied field: Film, Civil Society, Media etc etc. ) 3) Model WTO ( We can have themes like IPR or Fair Trade or anything else: Look for bigger version of the same here: http://model-wto.org/ ) (Vaibhav will talk to his oikos friends to partner with us: We can probably talk to them for sending winners from here to this event. )

We can contact basically any company under the sun. 1)Case Study Challenge 1 : Finance ( We need to rope in any firm who wish to have a case study challenge done with us on Financial Strategy/ Impact Investments is also an option ) 2)Case Study Challenge 2: Marketing ( Same: Marketing, Sustainable marketing if possible any kind of marketing goals: FMCG, Advertising (Ogilvy, JWT, McKann ), Pharma: GSK, RB, Zydus, anything else ) 3) Case Study Challenge 3: Strategy/IB/Ops ( Same: Creating Shared Value, Improving Operations, Organic Growth, Internationalization, Localization of Products etc etc: Logistics Companies: Gati, DHL,

Teach For India has agreed to partner with us in every way possible: Our NGO partner.
They will give some panellists contacts for our two panel discussions, but they are not sure about a Case Study Challenge. We can approach other NGOs for a Case study challenge.

Vaibhav is in talks with Volunteer for a Better India for association with them, they
might want to do some activity. Other Ideas: A Green Run or may Run for any cause, 5 days before the event starts. (Contacts welcomed if any NGO can organize it for us) We market their run.

Bamboo Initiative has already agreed upon collaboration for reducing our carbon
footprint. oikos New Delhi is already a partner in every way possible and Bamboo Initiative is their partner. Care for Ganga is also getting associated through oikos Network.

We need a debate around the theme: could be education or anything. We need to rope in a celeb/public figure in the debate. So Structure needed very soon. Rawat, Zarmina, Ritika, Jayeeta will make it happen with Event Structure Team. Zarmina , Jayeeta and Vaibhav need to sit together to understand the grants that are available for this. If we can get grant we can pull off everything in one go. B-Plan: Anybody with prior experience can come to design this event with Event Structure team.

Events Planned V : Biggest of All TEDxEvent

Care for Ganga and oikos want to do that. Now, TEDxUniversity of Delhi exists as a license but might have got expired. Somebody needs

to connect with the organizers of last time. (Nakul Khanna)

Manager of the TEDx team to connect with Rajiv Gupta from Care for Ganga to get this going. One caution: TEDx do not allow to merge TED events with other conferences, so in no way

it would be disclosed on paper. Not to be disclosed to Nakul Khanna.

Every insight around how this can be pulled off needed to be gathered. We are planning three talks , one to be around Water Conservation (Care for Ganga). Other two could be anything related to our theme. We need to get speakers as well. Team TEDx would have to do a lot of effort, but if we can pull this off without saying that our fest is a conference than we can have it on first day itself after the panel discussion.

Sponsorship Team- JD

Generate Sponsorship Pitch sitting together with Marketing Team Continuous follow up with Potential Sponsor Post Event Follow up. We want a Sponsorship Manager : 1 We are looking at bright individuals who will report to Sponsorship Manager : 6-7 Now one need to look into entire presentation here and understand what kind of companies to target first. PITCH needs to be ready asap , need to go out to the people we have already talked with. One needs to be highly networked and resourceful and should be with good terms with everyone in the course to tap those contacts.

Marketing and Communications: JD


Manager : Arjun Kant Chaddha We are looking at bright individuals who will report to Manager : 6-7

Social Media Marketing: 2 dedicated person ( No other job)


Student Reporter: 2 dedicated people to update the blog.(Collaborate wi Responsibilites: Marketing Pitch (Need to be in sync with Sponsorship Pitch) Website design with Tech Team who publish it. (Should be online by end of week. ) Posters/Flyers/Logo Any update from Sponsors, Media etc. should be sent to Facebook Marketer. To design the entire Marketing Campaign: All marketing and advertising enthusiasts invited for one of its kind Live Project.

Operations: JD

Manager Required: resourceful , who has ground contacts Team Members: 7-9 Security: 3

Responsibilities: All stationery printing, one stop solution for all stationery needs: Once the design is ready for logo/posters/ flyers etc. (Contact Madhur) Remember paper and pen should be recyclable. Ensure minimal Plastic. - Coordinate with all the teams on D-Day to put up banners, etc of sponsors. All logistics needs, booking of venue, booking of rooms, permissions from dept for venue finalization, timings Liaison with Event Structure Team to come up with Schedule of the event with each days activity. You need to create 3 people as security incharge on the D-Day who will make security people work properly. (Mandeep, Neeraj and Sangwan are possible options )

Event Structure: JD

Manager Required: Somebody who has got the clear understanding by now of what we plan to do. (Possible Members : after Strategic meet tomorrow)
Team Members: 7-9

Responsibilities:
Detailed structure of each sub event which would go on the website, rules regulations, detailed procedure, timelines etc. To design a template with which every event to be described.

Get suggestions floated and get events suggestions in next two days, and finish the event structure draft by end of week.
On D-Day it is this team who will see that everything is in order, liaison with every other team is very important for you.

Tech Team: JD

Manager Required: Somebody who has good hand in technicals: Web Design , Computer aided design of any or everything, who understand sound systems
Team Members: 5-6

Responsibilities:

The sound guy will handle sound you will oversee him if he is doing it or not. Marketing team will create campaign , you will bring it to reality.

Marketing team will create Web design, you will actually execute it to make an impact.
Your Job is one of the most important ones to see that we create and Impact

Hospitality:Somebody who is charming and can handle pressure JD Manager Required:


Team Members: 5-6 Responsibilities: We need a hospitality partner on board, travel partner etc. We would need female members to felicitate guests. Food Arrangements: Ensure No meat: Sustainable Food and Fairly traded goods as far as possible: Advertise this fact as well We need someone who can look after guest house booking, ensuring we are booking flights for guests, ensuring we are bring cheapest possible solutions on the table when booking guest house for participants, hotels for guest etc. We need a team of people to be there at every place where we have students to ensure no unacceptable thing is happening especially . We would need strong rules to be implemented by you. We need to create a terms and conditions statement which participants will sign for accommodation and we will collect photocopy of all participants I-Cards. Any misconduct on participants behalf needs to be reported back to their insti.

Media and Public Relations: JD

Manager Rahul Chandra and Yash Vardhan


Team Members: 5-6

Responsibilities: Contact Tapas for his Media Contacts Tapas to sit with Rahul Chandra and team to create a proposal for Media Partner We need TV Media partner, Print Media Partner, magazine Partner, Radio Partner. Proposal need to be ready in next 2 days, has to go out to Zee Business, HT Media, Radio City with which we have initiated conversations. We need an anchor to come as well. We need the Media Team to be constantly getting us a coverage in various forms of Media, like Print and Radio.

TEDxTeam: JD

Manager Tapas Tiwari


Team Members: 6-7

Responsibilities: Contact TEDxUniversity of Delhi contact; get the number from Vaibhav Gupta Need to be in sync with Rajiv Mehta for contacts he will bring in Rajiv is in touch with UN and IMF : we need to leverage that fact if possible We need speakers: Rajiv has been informed about it: Vaibhav is meeting Rajiv, Care for Ganga and Volunteer for a Better India for this purpose on Monday. After that Tapas and his team takes it over with Rajiv to make this happen.
