STEPS IN EXPORT PROCEDURE


Export procedure involves a number of steps. All the steps in export procedure can be broadly classified into four stages as shown below

SELECTION OF METHOD OF EXPORTING


Two types of exporting methods direct exporting & indirect exporting a) Direct exporting O Appointing agents in foreign markets & travelling salesman. O Setting sales braches or subsidiary in foreign country booking order through directs contact to foreign buyer b) Indirect export O merchant exporter O Export houses O Trading houses

PRELIMINARY STAGE
a)Selection of an organization An exporter may setup a new organization or add an export departments to the existing domestic business. b)Registration with various authorities DGFT , IEC , PAN , VAT , ECGC , EPC , RCMC , NPC , IIFT , ITPO etc.. An exporter also has to open a current A/c in the name of organization with a commercial bank which is permitted by RBI to deals in foreign exchange

PRE-SHIPMENT STAGE
This is the second stage in export procedure it include
Approaching foreign buyers: To obtain an export order the agents or

distributers of the exporter contact the forgein buyer and give the price quotation. Confirmation of Order: The exporter has to sign the contract and confirm the order. Once the buyer is satisfied with the terms and condition of sale, he places the order along with the signed copy of the export contract

Opening letter of credits: After the export order is finalized the importer

or buyer opens a letter of credit in favor of exporter. The letter of credit is the most popular and secured method of payment. Preshipment of finance: the exporter makes arrangement for pre-shipment finance from his bank for purchasing raw materials,manufacturing and packing of goods to be shipped abroad.

O Packing and Marking:

An ideal packing is one which does not

break, keeps away moister & has less weight The goods should be properly marked with important details such as country of origin gross & net weight port of shipment,port of destination,etc If needed, the exporter can take help of Indian Institute of packing (IIP)

SHIPMENTS
O Reserving shipping space The exporter books or reserve space in the ship for his goods The original copy of the shipping order is given to exporter while, duplicate copy is given to the master of the ship O Arranging of transportation of goods up to

port of shipment
The exporter has to make necessary arrangement for

transportation of goods up to the port of shipment, either by railways or roadways The railway receipt acts as a document to title of goods. Its ownership can be transferred from one person to another

O Preparation and processing of shipping

documents : a) Commercials invoice b) LOC along with export contract or order c) Guaranteed remittance GR forms d) ARE I e) Certificate of origin f) Certificate of inspection, if needed original copy g) Packing list h) Marine insurance policy

O Obtaining carting order: The C&F agent obtains the carrting order from the port trust to move the goods inside the dock. O physical examination of goods : The customs examiner at the port physically examines or checks the goods. After checking the goods, if examiner is satisfied he gives let export order

O Obtaining let ship order:

The duplicate copy of shipping bill which is

endorsed by the customs examiner is given to the customs preventive officer who endorsed it with the let ship order. O Obtaining mate receipt & bill of lading: The mate receipt is given to the C&F agent only after the payment of all port dues.

POSTSHIPMENT STAGE
O Submission of documents by the C & F

agent to the exporter are as follows: Commercial Invoice Export promotion copy of shipping bill. Drawback copy of shipping bill. Bill of landing. LOC, GR forms. Duplicate copy of the ARE-I

Shipment advice to importer: The exporter gives information to the importer about the shipment of goods. such as date of shipment, date the goods were loaded on the ship The exporter also sends other documents such as I. A non-transferable copy of bill of lading II. A copy of packing list III. Commercial invoice

bank:
The documents which an exporter submits to the banks are: Commercial invoice Bill of exchange. Customs Invoice. Packing list . Certificate of origin. Duplicate copy of marine insurance policy.
