Clarity
The principle of clarity implies both clarity of

thought and clarity of expression.


Clarity of thought:

The message (what)


The objective of communication (why)
The receiver (to whom)
The time (when)

Completeness
Message is complete when it contains all
facts the reader or listener needs for the
reaction you desire.
 Provide all necessary information.
 (answering: who, what, when, where)
 Answer all questions asked.
 (look for questions)
 Give something extra when desirable.
(use your good judgment in offering

additional material if the sender’s


message was complete.)
Conciseness
An effective message has to be concise, say

all you have to say fewest possible words,


but it should be complete.

 Eliminate wordy expression.


 Include only relevant material.
 Avoid unnecessary repetition.
Consideration
Consideration means preparing every

message with the message receivers in


mind, try to put yourself in their place,
thoughtful consideration is also called
“you-attitude”.

 Focus on “you” instead of “I” and “we”.


 Show audience benefit or interest in the
receiver.
Correctness
Give correct facts and send your message in

the correct style, using proper grammar,


punctuation, and spelling.

 Use the right level of language.


 (participate-join, procure-get)
 Check accuracy of figures, facts, and
words.

Courtesy
Courtesy means a friendly and helpful

behavior towards others.


 Be sincerely tactful, thoughtful, and


appreciative.
 Use expression that show respect.
 Choose nondiscriminatory.
Concreteness

Communicating concretely means being


specific, definite, and vivid rather than


general.

q Use specific facts and figures.


q Put action in your verbs.
q Choose vivid, image building words.
 (use active rather than passive verbs)
