Resource Management

Define a Resource:

Allows for extensive flexibility in the definition and management of the
people or resources in and around the organization.
Resources can also include any material, equipment or expanse items that
need to be assigned to projects, tracked and possibly billed. These are called
non-labor resources.


Define Roles:

Roles are defined as the part, or job a resource is performing.
Roles include positions as project manager, resource manager or database
administrator among others.
Roles hold cost information can be used for initial staffing, and can be used
with in capacity planning.
Every resource in the system can be associated with a primary role and may
change roles for a particular project or task if necessary.

Skills Hierarchy:

The skills hierarchy provides a means to catalog the skills that are
representative of the companys talent and that form the basis of the
services they market and provide.
The administrator can create a skills hierarchy via the admin tool.
A resource manager can then assign skills, specifying the proficiency and
interest level for each resource.
This hierarchy holds all of the skills that can be associated with both roles
and resources.
Once skills are associated with resources or roles, the system will allow you
to search for resources that meet your qualifications
Every skill will also have an associated level of expertise and interest level
association.
Each user may be given the rights to update their own skills profile to reflect
current training, experience, or interest

Resource Finder:

Organizations need to fill various roles with appropriate resources who can
do the job, either internally or externally.
The resource finder provides a comprehensive yet flexible method to
perform the search based on the required dates, roles, skills, etc.



Capacity Planning:

Through capacity planning, overall work (demand) can be compared with
overall resource availability (Capacity).
Users cam perform what-if analysis on capacity and demand to determine.


Resource Requisitions:

Requisitions can be used to formalize the staffing process.
Project managers can formally request resources via requisition
Resource manager can then find the appropriate resource to fill the need.

Resources and the OBS:

Each resource or role in the system can be associated with an organizational
breakdown structure (OBS) that facilitates resource.
Reporting in the system can be tied to a level of the OBS allowing for
analysis and grouping of information when reviewing resource management
information




Create a New Resource

View Main General:

Properties: Main General page will display the same fields that were
available in the original resource creation.
Data can be updated or changed from this page as necessary.

Main Access to this Resource:

Allows you to view and manage the list of resources, groups, and OBS units
assigned access to the resource.
From this page, you can view and add access and approval rights to
resources, groups, and OBS units.
The OBS link will only show if there is OBS that has been identified for use
with Security.

View Contract Information

The contact information link is used to gather personal and corporate
information about where and how to contact a resource.
Where there is need to contact a staff or participant member for the project
matters, this information will be useful for project managers.





View Financial Properties

The financial properties of a resource are used to capture all of the
information that is needed within the financial management application for a
resource to be tracked on a project, enter time, and have that time invoiced
to the client.
Resource financial properties to apply the correct rates and costs to
transactions as they are proposed.

Associate Skills to a Resource:

Skills will be gathered and entered in the system during the implementation
by the system administrator and can be then associated with resources as
needed.
Once the association between a resource and the relevant skills is made,
resources can be located based on their skills and staffed accordingly.
Skills can be added one at a time if the skill name and code are known or in
multiples using the add multiple skills search feature.

Resource Allocations

The allocations tab for a resource will provide insight into investments the
resource is assigned to work on.
This page is populated as the new resource is added to investments.
The resource manager can also use this page to add resources to
investments directly
The tab provides two levels of details via summery and detail link

Allocation Tab - Summery

Access the summery view of the allocation tab to view a high-level listing of
the investments to which resource is allocated.
The expand filter link can be used to expose the filter and reduce the
amount of data that is visible on the page.
Investments can be added/removed for this resource directly from this page.

Allocation Tab - Detail

Detail link displays the resource allocation view.
It provides a list of projects the resource or role is allocated to and their
allocation by period.
The filters at the top can be used to change the data displayed at the bottom
of the page.

Manage Resource Documents:

The resource document manager tab allows for the viewing of the associated
documents, forms and templates posted for an existing resource.
It can be used to add documents and templates to resources such as their
resume or their application
This tab will be empty for a new resource.

Manage the Resource Calendar

The resource calendar tab displays resource availability.
It will allow non-working days that are unique to this resource to be entered.
Each resource calendar is based on one of the standard calendars that have
been loaded to provide initial company-wide non-working days.
The resource calendar defines daily availability of the resource for their
project assignments
Resource calendars are used by resource managers to define availability, by
defining working and non-working days as well as shifts

Resource Requisitions:

Resource requisitions allow a resource requestor to send detailed staffing
requirements to resource suppliers who then manage, evaluate and respond
to the incoming requisitions.
Both resource requestors and suppliers can manage requisitions from both
the personal and resource requisitions pages.
Also included are requisition specific discussion pages that allow project
participants to exchange messages and information about requisitions for
collaborative purposes.
Requisitions are only available for projects.
