audience, you can use well courteous words in


your message. Courtesy shows your attitude in
your message.

Use Expressions that Show Respect.

Choose Nondiscriminatory Expressions

Examples:
1. I rewrote that letter three times; the point was clear.
I am sorry the point was not clear; here is another version.
2. Warm congratulations on your wedding.
Give our warm regards to the new partner.
3. Welcome to all freshmen.
Welcome to all the first year students.
4. Anyone who comes to class late will get his grade reduced.
Students who come to class late will get their grade reduced.

CLARITY
Compose your message in that manner by which

the receiver clearly understands what you


want to say. That is called the clarity in which
your message accurately passes from your
brain to the receivers brain.

Choose Precise, Concrete, and Familiar

COMPLETENESS

Completeness in the message means that

the message contains all the relevant


information that a reader or listener need.

Completeness brings the desired response

Provide All Necessary Information.

Give Something Extra, When Desirable

Examples:
1. Submit your reports to Mr. Jones by soon. (Incomplete)
Submit your reports to Mr. Jones by 5:00. (Complete)
2. The balance due is on other page of this report. (Incomplete)
The balance due is on page 2 of this report. (Complete)
3. The policy date is in the corner. (Incomplete)
The policy date is in the upper right corner. (Complete)
4. Give me apples. (Incomplete)
Give me 2kg apples. (Complete)

Conciseness
Conciseness means to compose the

message in a brief way.


That means to use few words in which the

message can be understood.

I enjoyed reading your book.
He jogged for three mileson a daily basis.
He jogged for three miles daily.

Correctness
When your communication is correct and is

error-free.
Encoder should pay attention to the

grammar and mechanics such as


capitalization, spelling and punctuation.

All employees are requested to join in the
annual get together. ( More Formal)
The police interrogated the neighbours
The police enquired / questioned the

neighbours.

except Ali. (correctness related to word)

CONSIDERATION
Consideration

means that whenever you


compose the message, keep always audience in
your mind who will receive your message.

Focus on You Instead of I and We.


Show Audience Benefit or Interest in the

Receiver.

Emphasize Positive, Pleasant Facts.

CONCRETENESS
Whenever you communicate, make specific and definite

statement rather then make it general.

Sometimes misunderstanding of words may give birth to

war or lawsuit.

There is a difference between denotative (literal or

dictionary meaning) and connotative (ideas or associative


meaning)

Try to use denotative meaning in your statement. For e.g.

if you use word fruit so what fruit is it apple, banana or


mango etc.
