- Keywords: Faculty, Departments, Organizations, Divisions,
Academic, Perspective Students, Schools,
Institutes etc.
- Staff, Work group: list of faculty member and their ids
- Title: Prof Dr-Ing = Professor
Dr-Ing. = PhD Students
Dipl.-Ing. = Graduate Students
- save the ids in a word doc., along with web links
Contact them personally
- put e-mail ids in BCC field

Letter Writing

Salutation: The salutation can be in two ways


a. personal address- Dear Prof. ______
b. General address- Dear sir/madam
First Paragrapha. Introduce yourself
b. explain for the position you are applying
Second paragraph
a. Focus on your qualifications
b. Write about specific project, accomplishment, interests
Final paragraph
a. Indicate your intentions to follow up
b. Refer to your resume (if attached)
Closing- Signature

Letter writing

Spell everything completely, do not use abbreviations


No spelling, grammatical or punctuation errors
Prepare 2 or 3 sets of letters with different interests
If applying by name to a Professor, write according to his
interests and expectations
KISS- Keep It Short and Simple
Write in active voice
Use professional language
Font size should be 10, 11, or 12 pt.
Use a font that is easy to read (Times New Roman, Helvetica or
Arial)

I am an undergraduate (junior year) student of Mechanical
Engineering at Indian School of Mines, Dhanbad, India. I am
interested to do research work in mechanical field.
I read about you and your research papers. I felt that I may be

work under you during this summer as an intern. If such an opportunity
is available, I would like to avail myself for that.

Guideline for Better Presentation

No grammatical or spelling error


Basic expected information
Targeted to your goal
Strengths are highlighted / weaknesses de-emphasized
Writing is concise and to the point
Use power words
Very long sentences (if these are really necessary) with short
punchy sentences
Shorter is usually better
Research oriented
Telephone number that will be answered.
