STEPS INVOLVED IN PLANNING A

PRESENTATION:

1) Determination of the
purpose
2) Structuring points

3) Analysis of the audience

4) Planning space

Page 6

1) DETERMINATION OF THE
PURPOSE:
By determining the purpose
of the presentation, you can
make sure that every word,
every chart and every
illustration is focused on the
desired result as then your
whole presentation revolves
around the purpose being
determined.

Page 7

FIVE (5) MAIN PURPOSES..

There are 5 main purposes:
inform
persuade
educate
entertain
instruct

Page 8

2) STRUCTURING POINTS:
By structuring out the points
for the presentation, you are
able to have a beginningmiddle-end structure
according to which
presentation will be delivered
so that the purpose is
obtained.

Page 9

DIFFERENT PARTS..
Beginning-part ------ EFFECTIVE
Middle-part ---------- SUPPORTIVE
Ending-part ---------- IMPRESSIVE

Page 10

3) ANALYSIS OF THE AUDIENCE:

Who is your audience?

What sort of people are they age, education,

status-wise?

What are their reasons for attending?

What do they know about the subject?

What is their level of understanding?

What are their likely attitudes?

What audience's response do I seek?

Page 11

4) PLANNING SPACE:
Space is an important aspect of planning as it is
very to maintain the space between the presenter
and the audience; mentally and physically.
It is of two types:
a) Mental space
b) Physical space

Page 12

a) MENTAL SPACE..
While delivering presentation,
Don't get personal.
Don't use insulting words.
Don't express personal feelings.
Don't get emotional.
Don't taunt through words.
Page 13

b) PHYSICAL SPACE..
Size of Audience + Number of Seats + Seating
Arrangement:
All these three factors are inter-connected.
As the size of the audience determines the number
of seats to be arranged and then how to arrange
them i.e. the seating arrangement.
Page 14

FOR EXAMPLE..
For a small group of
audience..
little space will be required
less number of seats will
be required
seating arrangement shall
be grouped
mike may not be required

Page 15

FOR EXAMPLE:
For a large group of
audience..
large space will be
required
more number of seats will
be required
seating arrangement shall
be in rows
mike nay be required

4) USE OF AUDIO/VISUAL
EQUIPMENTS:
The Audio/Visual equipments also have an effect on
the presentation as they help us in enhancing the
presentation and leave a good impression.

Page 17

4) USE OF AUDIO/VISUAL
EQUIPMENTS:

They are planned according to..

the size of audience as they help us in deciding

which equipment(s) to use which will be effective.
the number of seats and the seating arrangement
as they help in deciding where to set the
equipment(s).
