The PRINCE2 Principles
Business Justification A Prince2 project must have continued the business
justification
Defined Roles and A Prince2 project must have defined and agreed roles and
Responsibilities responsibilities, with an organisation structure that
engages the business, user and supplier stakeholder
interests
Product Focus A Prince2 project must focus on products and their quality

Managed by Stages A Prince2 project must be planned, baselined, monitored

and controlled on a stage by stage basis.
Management by A Prince2 project has defined the tolerances for each
Exception project objective. It is only if these tolerances are forecast
to be exceeded are they referred up to the next
management layer for a decision.
Tailoring A Prince2 project must apply the method in a way that is
scaled and tailored to suit the projects environment,
complexity, importance and risk.

Learning from A Prince2 project must learn lessons from experience

Building a PBS

You have been asked to organise the Annual Nursing

Board conference in Coventry, which is designed to
bring together members of the Midlands nursing
profession. The following elements have been identified
as the outline of the task:

The conference will be for 80 to 100 delegates.

Date and Subject Matter are pre-set
Focus is on informing on recent developments in
professional procedures and standards.

Task
Part 2 of 3

Draw the first two levels (Level 0 and Level 1) of a PBS

structure for the conference given the following Project
Tasks:

Identify a venue.
Check availability, facilities and price before booking.
Identify and book suitable speakers.
Create detailed agenda and program.
Issue press release based on agreed programme.
Send notice to mailing list for association.
Produce 100 delegate hand outs containing
Printed agenda covering agreed programme
Copies of speaker slides and notes
Feedback form for attendees.
Update attendance list based on responses from delegates.
Recruit staff.

Did you remember to include (7) it is important to consider lessons learnt and this is
an annual conference.
Now, please convert the tasks from the previous page to
products and organise them as Level 2 activities under the
appropriate Level 1 box.

The PBS and Quality
For each identified actual product on the PBS, Prince2
requires that a product description is written.

These descriptions are a vital checklist to be used at a

quality check of the related products and should contain:
The purpose of the product;
The composition of the product;
The products from which it may be derived;
Any standards for format and presentation;
The quality criteria to be applied to the product;
(these need to be measurable)
The quality verification method to be used.

Group Task
Suppose that you were contracted to prepare the
wedding invitations for a high profile celebrity
couple such as Daniel Craig and Angelina Jolie.
1. What would be the composition of your total
product package?
2. What quality criteria would you suggest for the
product? (these need to be measurable)
3. What method/s would you use to verify the
quality of the product against each of the
identified criteria?
4. What are the advantages and disadvantages of
using PBS as a planning tool?
