Tableau Desktop is the latest tool to be purchased by IT for use in the Siemens PLM
Software environment.

Tableau Desktop/Server is designed to be a self-service visualization and analytics tool.


Tableau is therefore deployed differently than other tools:

Connect to data
Once you click on the Tableau Desktop icon you
will have the option to Connect to data click
on it

From there you will be presented with a screen


full of different data options. The first option
under On a server is Tableau Server click
on it

You will be prompted to log into Tableau Server.


Use your Domain ID and Tableau password to
log in

Dimensions and Measures
Dimensions are the what. Measures are the how
much. Measures would be fields you would count or
sum; Dimensions are everything else

Tableau automatically separates Dimensions and


Measures by their data type. However, you find that you
occasionally need to move a field from Measures to
Dimensions. You can do this by clicking and dragging
the field from Measures to Dimensions

HINT: Microsoft controls such as <CNTL> and <SHIFT> work


fine in Tableau - you can perform the same task with multiple
fields

Default Properties
It is a good idea to define the default
properties of your measures before you start
building your workbook

Right-click to open the menu, then select


Default Properties, which will then display

Measure Values and Measure Names
Tableau workbooks actually have 2 parts to them. One is for
Dimensions and the other is for Measures
The way to take advantage of this structure is to use the
Measure Names and Measure Values fields. If you are using
more than one Measure value you should utilize this practice
whenever possible
Move Measure Names from the bottom of the Dimensions list to
Columns
Drop Measure Values from the bottom of the Dimensions list
onto Marks, Text
Delete any Measures from the Measure Values list that you dont
want on your report. When you do this you will notice that
Measure names is added to the Filters area - this is normal
leave it!

Data Source Filters

Data Source Filters are used when you


want to filter out data for your entire
Workbook

Because they control the initial data pull


from Greenplum they are highly
recommended

Right-click on the Data Source and select


Edit Data Source Filters

From here you can Add, Edit or Remove


Data Source Filters. Click Add

on and click OK. In this case we
have selected Close Date

Tableau will give you a menu to


choose from to help you filter.
We will select Years. Click Next

can check Exclude and exclude particular
years. Click OK

This takes you back to the main pop-up box.


From here you can add additional filters.
When finished click OK

Filters
You can create Filters as needed to filter out data from
your Workbook
If you want to limit the Forecast Category to Commit
only, then select the field Forecast Category and drag it
to the Filters area
A Filters pop-up will appear. Select Commit, then click
OK
Only records with a Forecast Category of Commit are
now included

HINT: Keep in mind that the Data Source Filters are best for this
sort of filtering

Quick Filters
Quick Filters are self-maintaining, meaning that if additional
values are added to the column they are automatically added
to the Quick Filter list. YAY!
The downside is that values inside each Quick Filter have to
be fetched from the database. This may cause it to take a
little longer to initially open your Tableau Workbook
To create the Quick Filter, simply right-click on the drop-down
arrow and select Show Quick Filter
This will cause the Quick Filter to show up on the right side of
your Worksheet
Right-click on the new Quick Filter to open the Quick Filter
Menu
You can select any of the formats shown in the list. Most of
the time I use Multiple Values Dropdown, but feel free to try
different ones
For very large filters use the Wildcard Match or Multiple
Values (Custom List)

Quick Filters (cont)
A PLM standard is to use the Apply button on all Quick Filters. Otherwise as
soon as you select even one item in the drop-down Tableau will start fetching
the data from the database
You will need to decide if you want to use the Show All option, which I
normally leave as the default
I normally uncheck the Show Filter Types (but only after I select the type of
Filter I am using), Include/Exclude and Show More/Fewer. You are
welcome to try them out
In the Filter area, right-click on the field drop-down and select Apply to
Worksheets. Here you can define which Worksheets to apply the Quick
Filter.
All Using This Data Source) the Quick Filter selection(s) will apply to all
Worksheets in the Workbook
All Using This Data Source the Quick Filter selection(s) will apply to only the
selected Worksheets in the Workbook
Only This Worksheet - the Quick Filter selection(s) will apply to this Worksheet in
the Workbook

Date Handling
From your workbook, select the date you
want to use. Initially it will appear as
Year(name)
If you click on the + sign then it will add
Quarter
If you want Month, then click on the + sign
next to Quarter
If you want to remove Quarter, just right-
click on it and select Remove

Totals, Sub-Totals and Table Layout
Under the Menu option Analysis you can
select Totals
Tableaus automated Totals and Sub-
Totals are nice, but you will need to use
the Measures options in order for them to
work correctly
Also under Analysis you can select Table
Layout, Advanced
This option allows you to increase the
number of non-Measure columns in your
Tableau Workbook from 6 to up to 15

Marks
With Marks, you can control how your Visualizations
look
For Excel-style reports, you would only utilize Text
However, as you can see there are all sorts of
different Marks available for use
You will want to try different combinations to see
how your report can be the most intuitive
Just drag a field on top of Color to add color
You can use the drop-down to control the shape
Click on Size to change how big or small the Mark
is

Show me is located on the top right
Show me was developed using research
and defaults to the best way to represent
your data
Only the Visualizations that have the right
amount of Dimensions and Measures will
be highlighted
As you hover over each one it will tell you
the name and what are the Dimension and
Measure requirements

Sorting

The best way to sort in Tableau is to right-click on the column


header and choose Ascending or Descending
Once you sort a column, you will see a small sort symbol
next to the column header indicating how the column is
sorted
With regard to Measures, hover over the measure until the
small sort symbol appears, then click on it once for
Ascending or twice for Descending
You will again see the small sort symbol next to the column
header
Generally speaking you can only sort on the first dimension

Dashboards

Click on the Dashboard tab to open a new


Dashboard at the bottom of the screen
You will want to set the size of the Dashboard. I
generally use Automatic and let Tableau size to
the screen; however it depends on the complexity
of the dashboard you are creating
Under Dashboard you will see a listing of the
Sheets available to become Dashboards
To move the Sheet into the Dashboard, click and
hold on the Sheet and drop into the Dashboard
area
Its best, especially as you learn Tableau Desktop,
to use the layout containers

You can put an overall Title on the


Dashboard by selecting Dashboard,
Show Title
You can right-click on the Title to edit
the name, size, color, etc.
You can also format the Title by
adding shading, borders, etc.

Sheet that is part of the Dashboard
Right-click on the Title and select
Edit Title
The default is Sheet Name. You
can change it to whatever is
needed and can edit color, style,
etc.

Publish Workbook

Under Server, select Publish Workbook


Sign in using your Domain ID and Tableau Server
password and click Sign In
Select Project where the Workbook will be Published
for viewing
Give the Workbook a name
Select the Sheet(s) to be Published (normally these
are only Dashboards)
If you have more than one Sheet to Publish then
ensure Show Sheets as Tabs is checked
Delete all Users/Groups under View Permissions
Click Publish
Verify the Workbook published correctly

Saving Your Workbook in VDI
Confirm that your local drives are properly mounted to this VDI session. The drives highlighted in the images below are
your local PC drive mapped to the Tableau desktop session. This will enable you to open and save files to your local PC. The
tableau VDI desktop environment is non-persistent. Therefore all files must be saved to these locally mapped drives. See
image with highlighted drives. DO NOT SAVE FILES to either on one of these drives : System(c:) , Tools (D:) or
SystemDisposableDisk(F:) as shown in the first row. You may save drives to any one of the highlighted drives.

To minimize the Tableau VDI desktop, click on the minimize option on the floating toolbar in the top center of the screen.
