Objective

To understand check sheet

Division, Content owner, Date: 29/12/2018 , ISO No 1

Why would you like to use
this tool (deliverables)?
•To record and quantify facts and data over a period of
time.
•To check the number of occurrences of defects or of
specific causes.
•To record extra information –when it appears during the
day, the product concerned,...
• To ensure that the solution has been efficient.

When would you use this
tool(context)?
•When you need to observe an operation and record
information over a period of time.
• When you need to identify which potential problems

or defects should be addressed first.

• During the ‘Measure’ phase of the DMAIC cycle or

when quantifying a problem.

• During the ‘Control’ phase of a DMAIC cycle to
monitor changes in performance

How to use this tool (steps)?

1 Decide which data must be collected and check that it can

be analyzed to give useful information.
• clearly state why you want to collect the data and the
kind of data that could be most relevant;
• define the different options for collecting the data;
• define who is going to collect the data, how and where
will it be done, for how long,...

2 Design a check-sheet for easy and clear data capture.

Define clearly how the check-sheet can be and should be
used. Look for visual tools that can help to accomplish
data collection (boards, signs, bar codes...).

How to use this tool (steps)?
3 Test the sheet and process with someone who was
not involved in the design – improve if necessary.

How to make the best use of the tool (tips and traps)?

• Plan the data collection campaign seriously – you do not want to

repeat the exercise.

• Use any visual tool that can ease the process.

• Provide a separate page for those collecting the data – to

comment on points of interest to them.

What could be done next?

Use other tools to visualise the data you have

collected (Pareto,histogram, run chart...).
