 To Inform – you are providing information for use in


decision making, but aren’t necessarily advocating a course
of action.

 To request – ask for a specific action by the receiver.

 To persuade – to reinforce or change a receiver’s belief


about a topic and, possibly, act on the belief.

 To build relationships – some messages you send may


have the simple goal of building good-will between you and
the receiver.

PRINCIPLES OF COMMUNICATION

The message must contain all facts needed for desired
reaction.
There must be clearness in terms of thought and
expression
The message must be to the point and all unnecessary
words must be eliminated
One must communicate in a friendly and polite manner
All facts, words, language, information of the message
must be accurate
The message to be communicated must be specific and
not vague
One must understand the emotions and sentiments of the
receiver

1. Sender
• He is the person who sends his ideas to another
person. For example, if a manager wants to inform
his subordinates about the introduction of a new
product, he is the sender.

2. Message
• The idea, feeling, suggestion, guidelines, orders or
any content which is intended to be communicated
is message. For example, message is the
introduction of new product.

3. Encoding
• It is the process of converting the idea, thinking or
any other component of message into symbols,
words, actions, diagram etc.

4. Media
• It is the medium, passage or route through which
encoded message is passed by the sender to the
receiver. There can be various forms of media-face
to face communication, letters, radio, television, e-
mail etc.

5. Decoding
• It means translating the encoded message into
language understandable by the receiver.

6. Receiver
• He is the person to whom the message has been
sent. For example, subordinates are receivers.

7. Feedback
• It is the response by the receiver. It marks the
completion of the communication process.

8. Noise
• It is the hindrance in the process of communication.
It can take place at any step in the entire process. It
reduces the accuracy of communication

Good communication is not about clever techniques, it is about


sincere understanding.

Learn to listen. Show people that their thoughts and insights


are important to you. Use silence to encourage other people to
talk. Silence, listening and caring about the answer is a great
conversation skill. Strive to understand others. Put yourself in
the other person’s shoes and try to see things through his or
her eyes. Learn to listen to body language and emotions and to
hear what is not being said.

Learn how to communicate effectively your ideas to others. To


speak effectively, avoid both too little and too much
communication. Break complex messages into parts and
explain the relationship of the parts.

Focus is everything. Don’t dilute your message. Don’t cloud


the main issue by insignificant information
