Commercials (Catalogue & Non- Catalogue Items)
• ProcMart shall provide quotation for all catalogue items. Prices will be fixed with
mutual discussion.

• For Non-Catalogue Items, ProcMart will try to be the L 1 vendor in 80 % cases


otherwise ProcMart shall be preferred vendor for Non-Catalogue Items and will match
the L-1 price in exceptional cases. ProcMart shall provide turnover discounts on Non-
Catalogue prices.

• All the transaction terms will be fixed as per agreement like Credit terms -60 Days for
the all requirements.
Order Flow and MIS

 Order Flow
 Catalogue Items:Britannia Industries will raise PO and accordingly
ProcMart will deliver the product in committed timelines.

Non Catalogue Items:Britannia Industries will float RFQ’S and ProcMart


will provide the best quotation.

 Reports and Review Meetings


Monthly MIS: Monthly submission of MIS to analyze spends, cost savings
etc.

Monthly Plant Meeting: Key Account Executive will visit plant once a
month to resolve issue and to get feedback to improve services.

Quarterly Review Meeting with HO: This meeting is to review the services
& rate contract .
Escalation Matrix

Escalation Level Designation Responsibility

On-Site Executive Looks after day to day operations, orderings and follow-ups if
1 (Stationed at Plant) required.

Escalate if No information is available from Key Executive or if


2 Team Lead the information received does not meet expectation

Zonal Head Final level of escalation when no satisfactory information is


3 (Pune) available from other levels of escalation
ProcMart 3 S Benefits
Cataloging : Rate Contracted Items shall be cataloged on the
following parameters Saving, Service Level and Synergy .

Saving: Hard Savings on LPP along with the indirect saving on


Supplier Reduction & Process simplification.

Service Level: Reducing Turnaround Time by keeping Inventory of


regular consumables & reducing follow-ups by appointing SPOC
with 24 hours revert mechanism.

Synergy: Prices for the same item used at different locations will be
same to create synergy along with the cataloging.

 Signing of Service Level Agreement

 Introductory Plant Visit

 Cataloging & Product Identification Exercise

 Samples Approval and Vendor Alignment

 Kickoff Meeting at each Plant


Signing of Service level Agreement

 Final discussion on the agreed Business Terms between both


the parties.

 Legal Documentation of the final Service Level Agreement.

Responsibility: ProcMart , Britannia


Sharing of Final Data & Escalation Matrix

 Britannia will share the SPOI along with the stake holders for
the respective plants.

 ProcMart will share the complete escalation matrix for


respective locations.

Responsibility: ProcMart , Britannia


Introductory Plant Visit

 To explain the work model to the stake holders in respective plants


and understand their expectations to ensure the smooth service
flow.

 To introduce the On-Site executive and complete escalation matrix


to the respective plant stake holders.

 Britannia will alocate the space to ProcMart and will let us go


through the complete modus operandi of the plant stores and
procurement flow.

Responsibility: ProcMart
Cataloging & Product Identification Exercise

 To re-confirm the specifications of every agreed product in


contract for removing any ambiguity (if applicable).

 To collect the samples of Non-Standard Items or at least take


pictures of products to avoid discrepancy in future.

 Quality Assurance shall be major outcome of above exercise.

Responsibility: ProcMart
Samples Approval and Vendor Alignment

 Vendor Selection : Product wise vendor alignment process will


be taken care at ProcMart end to ensure the smooth supply of
goods & services.

 Samples Approval : For all the Non-Standard Items ProcMart


will get the sample approved or confirm to provide the same
quality product to avoid any discrepancy in future.

Responsibility: ProcMart
Kickoff Meeting (At all Plants)

 On-Site executive along with regional head will visit their


respective plants for the Kick-off meeting.

 Britannia can start ordering to ProcMart from this Date.

Operation Flow

Operational Flow
• ProcMart dedicated resource will be stationed at Britannia.
They will provide a dedicated space to ProcMart for the
seating executive to handle the procurement operations.

• ProcMart will make sure to define safety stock , ROP & ROV
for the items in the list and make sure to record the safety
stock at any point of time.

• ProcMart will take care of all the follow-ups with stake holders
for requisition, replenishment of inventory & vendors
regarding supply & delivery.
