• Normally sub- inspectors/Assistant

What is report writing?


• A report is a written document of varying length
and complexity which conveys information to
decision maker.
A document
• In which a given problem is examined for the
purpose of conveying information, reporting of
findings, putting forward ideas and some times
making recommendations.

• P: purposeful
• O: objective
• R: relevant / reliable
• T: transparent

WRITING A REPORT

• Report Writing is a skilful art. There


are three cardinal rules which must
adopt while writing a report
a. Accuracy
b. Brevity
c. Clarity

Preparation of Report
Your work starts long before you
make a motion toward your pen.

You must know exactly what is


wanted and why it is wanted.

Report should refer to definite and


limited problems.

Arrangement of Report
 To start with a statement in one
sentence, setting forth the objective of the
study which is being reported upon.
 Eliminate vagueness
 Well written introduction or synopsis
 Preliminary outline
FORM OF REPORT

5 W’s & 1 ‘H’
• Who ?
• What happened ?
• Where ?
• When ?
• How ?
• Why ?
WHO ?

• Who informed about the incident ?


• Who are the individuals involved ?
• Who are the victims ?
• Who are the witnesses ?
• Who are the suspects ?
• Who will sign the complaint ?
• Names, address, telephone numbers and
other identifying information are
important.
WHAT HAPPENED?
• What is the whole story?
• What happened before, during and
after the incident?
• What action were taken by all those
involved?
• What was stated by each individual?
• What evidence was collected?
• What authorities were contacted
after the incident?
WHERE?

• Where the incident occur?

• Where were all the individuals


before, during and after the incident?

• Where was evidence found?


WHEN?

• When did the incident occur?


• When was it discovered?
• When was it reported?
• When did the authorities arrived at
the scene?
• When was an arrest made?
HOW?

• How did the lost occur?


• How was it discovered?
• How did security and other loss
prevention strategy function?
• How expensive was the loss?
• How can the loss be prevented in
future?
WHY?

• Why did the loss take place?


• Why was the crime committed?
• Why the parties involved in the act
and way they did?

Procedure to be followed after
the arrest
• ACCORDING TO CISF ACT -13
“Any member of the force making an arrest
under this Act, shall , Without unnecessary
delay ,make over the person so arrested to a
police officer , or ,in the absence of a police
officer, take such person or cause him to be
taken to the nearest police station together
with a report of the circumstances occasioning
the arrest”.
IMPROVEMENT SKILLS
• Always carry pen and pencil, note book
and stationeries.
• Don’t rely much on memory, take all the
important notes.
• Take statements of the witnesses, victims
or offenders immediately to avoid
corroborations.
• While making note use abbreviations and
symbols to save time.
• Concentrate on main events of incident.
• Diagrams, measurements, photographs
may be required in certain cases.
• Maintain a diary for future reference.
• Don’t use “i” instead use “this officer”.
• Personal opinions should be avoided.
• After completing re-check and edit as
required.
• Timely submission of report is very
important
