WRITING ROUTINE AND

POSITIVE MESSAGES
•Readers receiving positive messages
will generally be interested in what you
have to say, so use the Direct Approach.
Starting with the main
idea
 With the direct approach, open with the clear
and concise expression of the main idea or
good news.

 Introductory statement should not be cluttered


with unnecessary information.
Example:
Instead of this:
I am pleased to inform you that after careful
consideration of a diverse and talented pool of
applicants, each of whom did a thorough job of
analyzing Trask Horton Pharmaceuticals'’ training
needs, we have selected your bid.

Say this:
Trask Horton Pharmaceuticals has accepted your
bid to provide public speaking and presentation
training to the sales staff.
Provide necessary details and
explanation:
 Use the body to explain your point completely
so that your audience won’t be confused about
or doubt your meaning.

 As you provide the details, maintain the


supportive tone established in the opening.
Example
 Your educational background and internship
have impressed us, and you will be a valuable
addition to Green Valley Properties…
Ending with a courteous
close
 Let your reader know you have their personal
well being in mind.

 If further action is required, tell readers how to


proceed and to encourage them to act
promptly.
Activity
 Write a congratulatory email to your friend on
receiving job offer letter from a reputed
company.
