Abstract
Our project describes the development of a student attendance system based on Near Field Communication (NFC)
technology. The existing conventional attendance system requires students to manually sign the attendance sheet
every time they attend a class. As common as it seems, such system lacks of automation, where a number of
problems may arise. This include the time unnecessarily consumed by the students to find and sign their name on
the attendance sheet, some students may mistakenly or purposely signed another student’s name and the attendance
sheet may got lost. Having a system that can automatically capture student’s attendance by flashing their student
card at the NFC reader can really save all the mentioned troubles. This is the main motive of our system and in
addition having an online system accessible anywhere and anytime can greatly help the lecturers to keep track of
their students’ attendance. Looking at a bigger picture, deploying the system throughout the academic faculty will
benefit the academic management as students’ attendance to classes is one of the key factor in improving the
quality of teaching and monitoring their students’ performance. Besides, this system provides valuable online
facilities for easy record maintenance offered not only to lecturers but also to related academic management staffs
especially for the purpose of students progress monitoring.
Introduction
• Automated attendance management is essential to the success of any academic
institution. Many kinds of research reveal that poor attendance is affecting the
quality of education and also results in the improper tracking of students. Schools
are not able to meet the expectations of parents because of the disorganized
manual attendance management system. In both classroom and workplaces,
attendance is mandatory.
• Automated attendance system saves time and resources as all the hefty manual
tasks are now systematically managed. The sole purpose of Attendance
Management System should not be tracking students only but effective use of
online attendance system helps the teachers to supervise grading system.

Survey Existing System
Manual recording

◦ This is the most commonly used for attendance tracking method even before the age of technology. It is a method of recording the
employee’s incoming and outgoing time in a Register or in an MS-Excel or in Book etc.

◦ The muster roll register which is usually used for the manual entry of employees is available in stationery stores.

◦ The complexities and requirements are increasing day by day. Manual recording of employee’s incoming and outgoing timing is no
longer a simple solution.

◦ Since it is manual recording, it may lead the employees asking for favours to go out and come back often.

Timesheets

◦ These sheets track the start and end of the tasks given to an employee. Thus the employer will get a detailed breakup of the tasks
accomplished by an employee throughout the total work

◦ These timesheets are widely used in online. Some companies provide web-based services for these timesheets. Therefore the
employee’s working hours can be tracked effectively.

◦ The main advantage of tracking the employee’s working time is that first, it will lower the costs. So, the employer can determine the
exact time to finish a job/task after considering the timesheet of similar job/task done by the employee.

◦ Second, the time spent on a particular activity by an individual can be examined and compared. Consequently, an employee’s role can
be rearranged based on their work outcome.
Mechanized systems
◦ When the inputs are provided to the system, it automatically generates a record having in and out timings of employees.

◦ A person need not check every time an employee goes in and out of the organization as the employee has to swipe/register every entry
into the office and exit from office in a day.

◦ The advantages of using this system include;

 Faster processing of data

 Accurate records, minimal supervision

 Less manual work

 Report generation

 Easy to integrate with a payroll software

Access cards/ Swipe cards


◦ These cards are used to provide access to the user after swiping the card. It stores the data on a magnetic stripe and it is also
called a Magnetic stripe card.
Biometrics
◦ Identification of users is done from the biometric characteristic alone without using smart cards, usernames or id, etc.

◦ All the records in a database are compared to the template and the closest match score is returned. Therefore, authenticating the closest match
within the allowed threshold.

◦ There are two different classes in biometrics;

 Physiological

 Behavioural

◦ Physiological biometrics include capturing and comparing the fingerprints, hand, face, iris etc., of the person. The most widely used
physiological biometrics is Fingerprints.

◦ Behavioural relates to the behaviour of the person which includes recognizing the voice, signature, and keystrokes, etc.

Proximity card readers


◦ They are contactless integrated circuit devices used for secured access.

◦ Proximity cards/ proxy cards have a range of 0-3 inches and it allows the user to leave the card in wallet or purse etc. Therefore, this
technology is used in applications such as ID cards, key cards, etc.
Problems with Existing system
• Manual recording are Inconsistency in data entry and generate errors.
• System is fully dependent on skilled individuals.
• Time consuming and costly to produce reports.
• Lack of security.
◦ Using the Biometric scanner does not take into consideration when a person physically changes.

◦ The cost of computer hardware and software programs can be expensive.

◦ Using the fingerprint scanner can lead to false rejections if the fingerprint in not on the right spot

◦ Complexity: One of the biggest disadvantages of biometrics is the highly technical and complex system that makes up the
whole process.
◦  Unhygienic: Everyone is actually sharing their germs with each other via the device. You never know what you are taking
with you after placing your finger on the device. 
◦ Scanning QR Code is complex you have to place the QR Code into the right position, If QR code is scratched then it can’t be
recognized
Problem Statement
• Time consuming and inefficient by the students to find and sign their name on the attendance sheet
• Some students may mistakenly or purposely sign another student’s name and the attendance sheet may
got lost
• After taking the attendance teacher’s have to manually enter the attendance of the student into the excel
sheet.
• Maintaining every month Excel Sheet.
• Time consumed by the teacher to create report for every student.
Motivation
• Parents are always concerned about their student’s irregular attendance, their tendency of bunking the
classes/labs and safety & whereabouts of their students. The problem is increasing day-by-day.
• The conventional method of taking attendance in every lecturer/lab by calling names & roll numbers or
signing on paper is very time consuming, unsecured, inefficient, difficult, and monotonous for faculty.
Their valuable time gets wasted in taking attendance manually.
• On an average, around 20-30 minutes are wasted on a daily basis. Therefore, many times proper
attendance is not taken by the faculty.
• Proxy attendance is always a problem in most of the campuses.
Objectives
• To Generate attendance Report for different class
• Check out every day student log data
• For continuous 3 days absent send alert
• Get Students Monthly/ weekly report
• For 3 Fault continuous attendance alert to faculty
• Find which Student present in which class
• For below 75% attendance send alert to parents
• Monthly attendance report to parent
Proposed System
Admin will register student and lecturer details, will
set class schedule according to the subject, semester,
class, time, day and lecturer. NFC Scanner will be
placed inside and outside of the door. Student will get
an NFC Tag using which student can go IN/ OUT of
the classroom. For attendance verification RFID
sensors and locked door will be used. IN/ OUT will be
Logged in a file. A Software will be provided to admin
where admin can view attendance report of the all
students. For Less attendance alert will be send to
student parents.
Use Case Statements
◦ If user gets inside without scanning then no attendance would be mark.
◦ if user scans and get inside but does not scan while going out then his attendance would not be
considered.
◦ If user scan while going in and also while going out then only his attendance would be considered.
◦ If user scans more than one card then our system would be able to detect it in most of the cases.
◦ If user scans one card then get in and then goes out without scanning and continues the same process for
multiple cards then the system would not be able to detect this activity and would require the teacher to
intervene so that no misuse could be done.

Conclusion
The developed Web-Based Student Attendance System using near field communication technology will
significantly improve the current manual process of student attendance recording and tracking system, especially in
a university or school environment. The system promotes a semi-automated approach in capturing the student attendance, i.e.
by having the students to flash their student cards to the nfc reader. In addition, a number of other advantages are
gained by having an online web-based system, acting as a central repository of student attendance record. Firstly all
processes of managing the student attendance record are performed online, allowing administrators and lecturers to view
or modify the users’ data through any computer via the web browser, as long as they are connected to the Internet. This
way, no specific software installation is required. The captured student attendance data are also processed and
analyze automatically with less risk of data loss, compared to a manual filing approach. Specific to lecturers or
teachers, they can easily monitor their students’ attendance online and this could improve the quality of teaching
since less time is needed to manage the student attendance record. The developed system can be improved and
upgraded further, e.g. by extending the system with new features and modules or by improving the web-interface
layout with new display style. Better yet the system can be enhanced further to offer another significant enhancement
where the system can be extended to monitor staff attendance record.
