MEMOS, MENUS, SCHEDULES, AND SIGNS

Memo
Memo, in Oxford Compact English Dictionary, is an abbreviated from of
memorandum which means a written massage in business or diplomacy or a note to
record something. A memo is written for a certain purpose. Here are common purposes
of memos:
• To give information or an update on a certain topic
• To communicate a change (e.g. to policies or procedures )
• To introduce a new initiative
• To confirm the result of a conversation or agreement
• To request information or action
Some people think that memos and business latters are smilar. But, they have several
differences to differentiate each other. Here are the differences between memos and
business letters:
• Memos are for internal communication and rarely more than one page.
• Memos are often ½ page or less text.
• Memos may have a wide audience and may be posted rather han sent directly
to individual workers.
• Memos may have a less foemal tone than a business latter.
The characteristics of an official memo

1. Special letters made for special purposes within an agency or company.


2. Is a form of communication in the form of directions, suggestions,
explanations about something.
3. Has a shorter form of letter than other official letters.
4. Due to its limited use, memos always include the name of the agency or
company on the head of the memo.
5. Judging from its usage in an agency or company, this official memo can
be conveyed in vertical and horizontal forms: 1. Vertical: is a form of
delivery from subordinate superiors or vice versa which aims to remind or
order. 2. Horizontally: is a form of submitting memos to parties who have
the same position.
Memo Structure

A memo generally has a 3 part generic structure, which are as follows:

1. Opening: The section that contains the memo recipient, the sender of the
memo, the memo date and the destination of the memo. That is: To,
Name, Adress, Receiver, Sender, Date, Subject
2. Content: In the form of a concise short message and easy to understand by
the recipient of the memo. Usually in the form of giving suggestions,
orders. or reports.
3. Closing: The part containing the signature and the clear name of the
person providing the memo.
