Situational Analysis
• Customer wanted a WOW factor so we developed an automated data analytics tool
• The specifications were approved by the client during development phase
• Now client does not like the tool and wants us to go out of the project scope
• Project duration - 15 months. Time lapsed – 6 months. Time required to modify the tool – 3 more months
• Main constraint – Time.
Possible Solutions
• We can try to negotiate with the client to accept the tool
• We can refer to the project scope, brainstorm and do analysis on what client expects and demands and then
prepare the arguments for negotiation which aligns to those needs. Then we negotiate
• If client still disagrees then we can tell the client that this tool is a value add and assure him that the customer
accusation software, which is the main project, that we are developing is wow in itself and will suit all his needs.
• We can then negotiate on the terms because what we delivered was according to project scope. We give him 2
possible options.
• One, that he gives us more time as the tool is complex and may take 3+ months to modify and later they can
integrate the tool with main application
• Two, we can crash or fast track the project
• We will have to communicate that for both option we will need more resources and may need to hire as well
hence, the client will have to bear the additional cost
• If client agrees then get it on a contract and send a team to gather the new requirements

Possible Causes
• Poor communication. We may have developed an apt tool but we could not communicate and present the ideas in a
manner which resonated with client’s expectations
• Lack of periodic feedback from the client
• Not enough requirement gathering during the planning stage
Key Learning
• Monitoring and communication is very important. We need to compare the actual with expected and be in touch
with the required stakeholders to gather periodic feedback. This way we can accommodate change easily, on time
and with lesser cost

• Project to develop training on turbines. We have required documentation (Instructions) to design
• Client expects precision of very high degree
• Existing team, capable of building quality training, is not able to understand the documents and newly hired
engineer who can understand the documents, is not able to communicate
• Project Duration 7 months. Time left 4 months
• Client aware that we are behind schedule
• Constraint Time and Quality
Possible Solutions
• First of all we need to talk to the customer. Accept that fact that we are behind schedule. The customer demands
quality more than time
• We can ask if he has an employee who can assist our team with understanding the document. They are global
turbine firm with proprietary technology so they may have someone who is very good with writing and
communicating as well as with the machines
• If we do not get a resource from the client then we can either train the mechanical engineer in the missing skills. But
given the time constraint, it would be better to hire someone better, fulltime or intern, who can join and assist
immediately.
• Meanwhile we will need to fast track the project and complete the tasks which do not require in depth
understanding of the instructions. We can convey the same to the client and offer to bear the cost as compensation.
This may help us retain the client in the future
• We can also negotiate with the client for extra time assuring that we would deliver the best quality end product
• Most importantly we need to keep the morale of the team high. Assure them that indirectly this training will add
value to the world

Possible Causes
• Poor planning. We could have negotiated for more time during planning
• Lack of communication – we could have briefed the team about the project so that we could have identified the
knowledge gaps before execution
Key Learning
• Before one begins the project, he or she should be very careful and particular while sourcing recourses. For example,
make a team that will serve the purpose. The problem could have avoided if before beginning the project, a team
with apt skills and knowledge could have been formed OR required knowledge could have been delivered before
execution
