Intro to Communication Management

Communications management is the systematic planning, implementing, monitoring, and


revision of all the channels of communication within an organization and between
organizations.
Communication activities involved in these processes:
 Internal(within project) and external(other projects)
 Official(annual report) and unofficial(off the record communications)
 Written and oral, verbal(voice inflections) and nonverbal(body language)
Plan Communication Management
Plan Communication Management is the process of developing an appropriate approach and
plan for project communications based on stakeholder’s information needs and
requirements and available organizational assets.
Inputs, techniques and tools, and outputs of process are:
Data Flow Diagram
Inputs
Project Management Plan
The project management plan provides information on how the project will be executed,
monitored, controlled, and closed.
Stakeholder Register
The stakeholder register provides the information needed to plan the communication with
project stakeholders.
Enterprise Environmental Factors
 Enterprise environmental factors are considered inputs to most planning processes
 Refer to both internal and external environmental factors that surround or influence a
project’s success

Organizational Process Assets
 Organizational process assets are the plans, processes, policies, procedures, and
knowledge bases specific to and used by the performing organization.
 Project closure guidelines
 Risk templates
 Change control procedures
 Process measurement databases
 Proposal evaluation criteria
 Project files from previous projects
Outputs
Communications Management Plan
 Stakeholder communication requirements
 Information to be communicated, including language, format, content, and level of detail
 Reason for the distribution of that information
 Time frame and frequency for the distribution of required information and receipt of
acknowledgment or response, if applicable;
 Person responsible for communicating the information
 Person responsible for authorizing release of confidential information
 Person or groups who will receive the information
 Method for updating and refining the communications management plan as the project
progresses and develops
