EVENT DESCRIPTION
Birthday is one of the much awaited day for all of us. We are excited to celebrate this very
momentous event. One of these celebrations is the 7th birthday that supposed to signify some
sort of independence since this is usually the age when children enter grade school after
hurdling the pre-school levels. It is therefore seen as an important milestone in the life of a
child.

D2Na is indeed thrilled to organize the event. Rest assured that all the preparations,
physical arrangement, venue and food are all set before the big event. We will also implement
social distancing to make everyone safe and enjoy the event.

We have reserved the Vigan Convention Center Function Hall with a maximum of 100
guests. The celebration will be on July 28,2021, 3:00 PM. It will be a festive gathering with a
carnival fun theme. The said event will highlight different fun games, air- conditioned venue
savory food, unlimited photo capturing, energetic host and more surprises.

ACTION PLAN
1. Reserve the venue one month before the event.
2. Set up all the technical support the day before the event
3. Conduct dry run for proper positioning of the equipment and support system.
4. In case there is a power interruption, generator sets are available on stand-by.
5. Sanitize the venue before the event.
6. Remind the guests to bring their own alcohol/sanitizer.
7. Maximum of six persons only in each table to implement social distancing.
8. Guidelines on proper wearing of face mask and face shield will be reminded by the host
before the event starts.
9. Tight security measures are well-oriented.
10. Make a contingency plan in case of disaster.
11. Prompt the guests prior the event takes place.
12. Identify alternatives for venue, time, and other support systems

EVENT DESCRIPTION

Vigan City Convention Center is located in a culturally rich area of Vigan


City  that is a World Heritage Site and it is one of the few Hispanic towns left in
the Philippines, and is well known for its cobblestone streets, and
a unique architecture that fuses Philippine and Oriental building designs and
construction, with colonial European architecture.   The venue is owned and
managed by the City government of Vigan. It was built for conventions,
seminars, exhibits, special events and gatherings.
The venue is also situated around different hotels like Hotel Luna, Safari
Hotels and Villas and Paradores De Vigan. It can also accommodate at least 200
pax with an air-conditioned indoor event center.

EVENT BILLING PROCEDURE
We have booked your event on July 28, 2021 (Wednesday) at Vigan Convention Center . As
to your request for security and other matters; upon confirmation, we would be requiring payment
of your reservation fee equivalent to 25% of the total estimated charges. The said fee is non-
refundable and shall serve as guarantee to your booking. Contingency fee is also charged but it is
refundable. Non-compliance with the said requirement shall automatically release your booking to
waitlisted clients without prior notice.
In addition, please refer to the schedules below for the payment of your remaining balance. (These
schedules are subject to changes depending on your preference).

This Event Planning Agreement is entered into April 4, 2021 by and between Mr. and Mrs. Rennard Quibilan, with an address of Brgy
Panayugan, Cabugao, Ilocos Sur and Ms. Diana Wayne L. Tagata, with an address of Tamag, Vigan City, Ilocos Sur.

D2Na company intends to host the 7th birthday celebration of Zack Dasthan Troy Quibilan, son of the client. The event will be on July 28,
2021 which will be held at Vigan City Convention Center, 3:00PM.
The Parties agree to the following Payment and Payment Terms:

. If the client cancels up to 60 days prior to the event date, the client will be entitled to a full refund. If the client cancels 45 days prior to
the event date, the client will be entitled to a fifty percent (50%) refund.
