Summary
• You must use the data set individuals.xls from the folder
“Assignment 1” on blackboard to

• Determine the mean of the earnings of males and females by


education level
• Make a graph of these means
• State what the pattern is in terms of
• Do men vs. women have higher earnings
• Do means of earnings increase as education increases

The Data
• The dataset contains fields for
education level, sex and annual
earnings

• The file contains 55,899 responses


from a government survey

• You will not be able to work with this


manually, so you will need to use
Pivot Tables

Building A Pivot Table
• Make sure cursor is on
upper-most and left-most
cell [A1]

• Under the menu “Insert”,


select PivotTable

• Check whether the
range is Sheet1!
$A$1:$F$55900

• The Pivot Table should be


placed in a New Worksheet
(this is default)

• Click “OK”

• If all goes well, you should get a new tab that looks
like the picture below

• From the Pivot table Field
List, drag the Sex variable
to the column header and
the Education variable to
the row header, as shown
at left
• Or you can drag them to
the COLUMNS and ROWS
slots on the menu below

• When you drag the Earn
variable into the main
body of the table, Excel
automatically calculates
the sum of earnings for
each category
• But you want the
average

• To get the average right
click on the cell that says
“Sum of EARN” and
select “Value Field
Settings”
• A box appears that
allows you to change the
calculation to an average

Copy and Paste-Values
• Formatting and putting proper
labels on the data is a pain
within a pivot-table, so make a
copy of it and use Paste
Option-click on the icon
showing 123(values) to put a
new table to the right of the
original
• BE SURE TO USE Paste
Options– Values, otherwise it
won’t work

Modify column and row names names
• The new table will have column names
“1” and “2”. These must be changed to
“Male” and “Female” respectively
• Type in labels for the categorical
values
1 No HS
2 Some HS
3 HS Graduate
4 Some College
5 Bachelor’s
6 Post Graduate
Format Data & Prepare for Graph
• Format the numbers
with commas and no
decimals using toolbar
“Number” under
“Home” menu

• Highlight your table as
shown

• Click on the Insert menu,


then select the Column
graph in the charts tab

• Select 2-D clustered
column chart to
compare values across
categories by using
vertical rectangles

Complete the chart
• Type in the title field
“Average Annual
Earnings by Sex &
Education Level”
• The chart should look
like the sample on the
left

• Go to “Insert” and choose
“Text Box” under the
“Text” as shown

from upper left to lower
right while holding down on
the mouse
• When you let up on the
mouse you will get a
rectangle like the one shown
• You can write your summary
inside this box

• Write a very brief summary
in the text box by
answering the questions
• OVERALL, are average
annual earnings higher for
men vs. women (direct
reader to Grand Total row of
table)?
• Is there a relationship
between education and
average annual earnings
(direct reader to look at
pattern on chart)?

Turning In Your Assignment
• Print a single page that shows your table, graph and summary (in .xlsx
or .pdf format)
• Put your name on it
• Submit this one page to the link in “Assignment 1” on blackboard
