CONDUCTING MEETINGS
We can define the term "conducting meetings" in following steps.

 All the actions taken to organize a meeting.


 To carry it out in good conditions.
 It means that participants of meeting are escorted in such a way that
the discussion in the meeting can be held peacefully. 
 Each participant get the opportunity to provide their opinion and
decisions are made.
IMPORTANCE
Following are some key points which show importance of
conducting a meeting.
 It makes people feel that they are trusted given
importance.
 Mutual trust is developed.
 Each participant is provided the opportunity to offer
their opinion.
 Confidence level of an individual member in the
meeting increases when their opinions are heard.
 Better decisions are made which becomes the key to
success.
HOW TO CONDUCT A MEETING
The process of conducting an effective meeting should be
following.
 The meeting should be planned with a clear objective in
mind.
 Decide the participants of the meeting.
 The topics to be discussed and the time given to each topic
should be arranged in a proper sequence.
 Plan the starting time of the meeting, plan for the breaks,
and also plan the approximate time by which the meeting
should end.
 After planning the meeting and before actually starting the
meeting, participants should be notified so that they
can prepare the topics.
ROLE OF THE LEADER
•The leader or the chairperson conducts the meeting. During
the meeting, the leader has following responsibilities.
• The leader controls the meeting.
• All remarks are addressed through him.
• He is responsible for the discipline in the meeting.
• If a consensus is not reached then it is his responsibility to
conduct a vote to obtain a final decision.
• The chair should consider the opinion of every
participant.
• A chairperson is responsible for the smooth flow
of discussion 
ROLE OF THE MEMBERS
 Any necessary preparation prior to the meeting should be
made.
 Arrive on time.
 Members should maintain discipline.
 They should not interrupt each other.
 Listen to the opinion of others with patience.
 Avoid any conflict situation.
 Ask questions to clarify understanding.
 Note down any action agreed upon.
