HOTEL DEPARTMENTS

What is Hotel Department?
Hotel are established to provide services to guests. To be able to do so, they are organized into various
departments which perform necessary and complementary tasks.
Basically, Hotels are organized into departments as follows:

Rooms Division
Food and Beverage Services
Accounting
Human Resources
Sales
Engineering 2
Room Division
The rooms division department is tasked with handling all matters regarding room
accommodation and maintenance. A typical rooms division department is subdivided into units
performing the following functions.

1. Front Office
2. Housekeeping
3. Reservations
4. Night Audit
5. Loss Prevention and Security

FRONT OFFICE

The front office is the communication, accounting


and service center of the hotel. It welcomes guests
to accommodation section: meeting and greeting
them, taking and organizing reservations,
allocating check in and out rooms, organizing
porter service, issuing keys and other security
arrangements, passing on messages to customers,
and settling the accounts.

- The night audit refers to the “control process whereby the financial activity of guests accounts

Loss Prevention and Security


-Loss prevention and security is a function of the rooms division department and is concerned
with
Protecting a hotel’s resources- both people and property from accidental loss, damage, or injury.

Food and Beverage Service

Food and drinks are important in the provision of hotel services to guests.
The unit assigned to perform that particular task is the food and beverage department.

The unit heads indicated in Figure 11 consist of the following:

1. Banquet Manager
2. Executive Chef
3. Chief Steward
4. Restaurants & Coffee shop head
5. Beverage Supervisor
6. Storeroom Supervisor

Accounting
Hotel are businesses organized for the purpose of making profits. As such, all relevant activities to
make it happen must be undertaken. One of the requirements is the effective and efficient
management of the hotel’s income and resources. The department assigned to performed such
function is the accounting department.

The task assigned to the accounting departments consist of the following:

1. Recording financial transactions


2. Preparing and interpreting financial statements; and
3. Providing the managers of other departments with timely reports of operating results.

Human Resource
Human resources are very important components of the operations of any business, including hotels.
It is the responsibility of the human resource (HR) department to see to it that this important
component is utilized fully so that profit objectives of the hotel are realized.

The HR department performs the following specific functions:

1. Employee Recruitment
2. Benefits Administration
3. Training

Sales and Marketing

Getting and maintaining clients for the rooms division and the food and beverage department is the
responsibility of the sales and marketing department. Ensuring that every available revenue source is
tapped, such as maximizing the use of meeting space, is also the responsibility of the sales and marketing
department.

To achieve its goals, the department is involved in the following:

1. Advertising in the various media such a television, internet, newspaper, trade magazines, etc:
2. Engaging in promotional activities such as sponsorships of beauty contests to attract guests on
different seasons and festivities;
3. Doing direct spelling efforts to corporate houses, travel agents, tour operators and airlines for
volunteer business.

Engineering

The engineering department is responsible for the total maintenance and upkeep of
the internal and the external physical facilities of the hotel. These include air-
conditioning, lighting, mechanical, electrical, carpentry, electronic and civil works of
the hotel. In addition, climate control, mechanical equipment, and maintenance of
furniture in the restaurant are also responsibilities of the engineering department.

The size of the Departments

The profitability of hotels will depend on how the environment will allow it. It is expected that
management will design an organizational structure that will be suitable for the hotel’s environment.

The size of the department reflects the importance placed on it by management. Generally, hotels are
usually organized using the following criteria:

1. The hotel’s size


2. The hotel’s location
3. The hotel’s product type (service level and target market)
