PARTS OF A BUSINESS LETTER
Major Parts of a Business Letter
 Letterhead
 Heading
 Dateline
 Inside Address
 Salutation
 Body of the Letter
 Complimentary Close
 Signature
MAJOR PARTS
 Letterhead- The Letterhead states the following:
a. Name of the company
b. Mailing address
c. Telephone Number
d. Addresses of the Main Branch as well as the branches and the
warehouse.

Warehouse: Taguig City (456- 7890) Branches: Manila City (123- 4567), Navotas (987- 6543)

MAJOR PARTS
 Heading- The heading shows the place of origin of the message. It is used in
personalized sheets or in formal business letters such as the application
letter, or socio- business letters such as the invitation letter
 THE HEADING IS USED FOR LETTER SHEETS WITHOUT A LETTERHEAD.

EXAMPLE:
4321 Magnolia Street
Cubao, Quezon City

 Dateline- Indicates the time when the letter was written. There are two ways
of writing the dates:

EXAMPLE:
FORMAL: April 30, 2012
INFORMAL: 30 April 2012
MAJOR PARTS
 Inside Address- The inside address tells to whom
the letter is written. It includes the addressee’s
name and its business address. Three to four lines
are normally used. The space between the
heading and the inside address varies with the
length of the letter.

MAJOR PARTS
 Salutation- It is a formal or informal greeting used to open
the business letter. It is a form of courtesy to the reader. The
salutation used in a business letter should have the same
degree of formality as observed in the complimentary close.

LESS FORMAL Dear Sir: Dear Madam:

MAJOR PARTS
 Body of the Letter- Contains the message of the letter that is
normally typed single- spaced with double spacing between
paragraphs. It begins two spaces below the salutation and two
spaces above the complimentary close. The paragraphs in
business message are shorter than those in other forms of
writing. Its aim is to get something done.

Do not crowd the first page merely to avoid the use of the
second page. In using the second page, the letterhead should
not be printed but use the same size and quality of paper.
Leave an inch or about six lines from the top before starting to
type the rest of the content of the message.
MAJOR PARTS

 Complimentary Close- It is the polite and


courteous way to end a letter. The same degree of
formality should be observed in the
complimentary close as observed in the salutation.

LESS FORMAL Very sincerely yours, Yours very sincerely,
CORDIAL OR FRIENDLY Sincerely yours, Yours sincerely,

MAJOR PARTS
 Signature- It consists of the name of the writer and his
business title. The signature is typed two spaces below the
complimentary close. It usually consist of three parts- the
pen- written signature, the type written signature and the
writer’s designation in the company.

Hey Bob, We talked a couple weeks back at the chamber of commerce event. I was the one looking for a summer
internship and had a zit on my lip that could have passed for a cold soar. Lol. Whew. It was not. You’re probably
like, “uh.. What?” Maybe that helps you recall, maybe not. Not completely important, I suppose.
 
I’d really like to come work for you at your IT business. You seems like a cool person to work for, I liked ur striped
pants which is a bit large in size for you. I’m available to start working on monday, but I am taking my driver’s test
in June and have to study and go an hour and half away to take it at an easier place cause I’m not a great driver so
I’ll miss a few days. I am also going to the beach with friends for a week in July. Oh, and my grandmother has bad
gas (OMG IT’S TERRIBLE) and sometimes I have to take her to the doctor.
 
I’ve attached my resumes, its the hotguy$$@gmail.com. Lemme know if you have a job opening 4 me. I can’t
wait to play on some computers. If I don’t respond to your email, I’m always on FB, snapchat or insta! Hit my

Dear Mr. Quezon:

I am writing to present myself to be considered to take the open position of Supervisor. I have been
working hard in anticipation of such an opportunity and I feel I am ready for this next challenge. I have been
in this company for eight (8) years now, and I believe that I am best suited for the position.  

I know that the role of a supervisor requires more of my time and responsibilities, but I know that I have the
qualities to fulfill a supervisor’s duties based on my educational background and working experience. With
regard to my current position, I will ensure a smooth transition. I am willing to train the person who can
take over.

I will be grateful if you consider me for this promotion.
