STRUCTURE OF AN INVITATION LETTER

An invitation requests a person, group, or representative to attend a particular


event.
It can be written on a card, letter, or e-mail. Shorter ones, such as birthday
invitations, are written on cards.

The information to be included in an invitation:


• Name of the host
• Name, purpose, date, time, location of the event
• Special instruction (dress code, direction to the location)
• RSVP (contact person, phone number)

There are 2 types of invitations:


1. Business (meeting, conference, seminar, interview, training, etc.)
2. Personal (wedding, party, anniversary, etc.)
CULTURAL AWARENESS: RSVP

RSVP is the abbreviation of the French


phrase répondez s’il vous plait (“please Respond to an RSVP as soon
respond”). as possible.
It is a request for the people being invited to
confirm whether they plan to attend the
event or not. It is important for the host in
preparing for the event.

In most Western cultures, invitees are


expected to respond to RSVPs. A response
card often comes with wedding invitations
where you can write your information and
state whether you will attend or not.
ACCEPTING AN INVITATION

When you receive an invitation, you can either accept or decline.


If the invitation requires an RSVP, respond as soon as possible.

In the letter, you should mention your feelings when you received the invitation
and confirm your attendance.

Dear Alice,

Thank you for your kind invitation to Jane’s graduation party on Friday,
16 January at 6.30 p.m.
My wife and I will be happy to attend and we eagerly look forward
to helping you celebrate this happy occasion.

DECLINING AN INVITATION

First, express appreciation for the invitation.

Second, express regret that you must decline the invitation and explain why.

Lastly, wish success for the event.

Dear Alice,

I appreciate your gracious invitation to you daughter’s graduation party.


Unfortunately, I already have an engagement that afternoon and will be
unable to attend. Please let Jane know how proud I am for her achievement.

May you enjoy a wonderful celebration.

Tips to write a good invitation

Begin with the happy news.

Extend the invitation.

Specify the place, date, and time.

Express your hope that the invitation will be accepted.

Give thanks at the end.

you are invited to attend my daughter’s graduation

on Friday, 16 January at 6.30 p.m. at my house. I hope you will come.

It will be a great pleasure to have you with us on this occasion.
