Documentation
Guidelines
Dyryleen R. Cabalo
Stating the background of the study
Discuss the following as follows:
- Effects of technology in today’s generation
- Current trends of technology
- Discuss System Types
- Briefly discuss the chosen company
- Discuss why the researchers proposed the system
- Discuss the benefits from your proposed system

Documentation Guidelines
The current state of technology
- The current state of technology should discuss the
transactions done in the company and how they do it
- Discuss transactions chronologically
- State steps taken for each transactions

Documentation Guidelines
Identifying the problems
- The problems should be presented based on the identified
company transactions
- The problem statement should be in declarative form
Ex.:
The inquiry procedure is slow

Documentation Guidelines
Identifying the problems
- Each problem statement should be briefly discussed. The discussion covers
or explain the cause and effect of the problem as well as a sample situation.
- Ex.:
oThe inquiry procedure is slow
- Since the files and records are poorly organized, it takes a lot
of time scanning through papers and folder just to find a
specific and even simple information. If a student would ask a
certain information, the person-in-charge of the records will
have to dive into stacks of poorly sorted files and papers
making the transaction take time.

Documentation Guidelines
Stating the objectives
- The objectives of the should be in a declarative form
- It should state what the researchers intend to do
- Ex.:

 The researchers aim to provide a faster inquiry

transaction

Documentation Guidelines
Stating the scope
- The scope states the modules/plans by the researchers in
order to achieve the objectives
- It should be in a declarative form and be justified presenting
the features and use of the module or plan
- Each scope should be briefly discussed. It must state what
is/are the feature/s of the module and how it is used
- The scope shows all the features of the proposed system

Documentation Guidelines
Stating the scope
- Ex.:

 Record Management for faster information retrieval

- Records in the proposed system will be handled and
management efficiently and effectively. Duplication of
records will be reduced, if not entirely eliminated. Search
options will also be provided with parameters that can help
filter results for faster retrieval.

Documentation Guidelines
Understanding the limitation
- Limitations are transactions in the current system that
cannot be applied in the proposed system due to certain
circumstances such as legal issues.
- Ex. (For an enrolment system)
- Printing of Grade Cards (Form 137) - this is a limitation
because the Form 137 is officially issued by the
CHED/DepEd, therefore it is not right that the system
should print it as a report

Documentation Guidelines
Methodology of the study
- Methodology of the study is the main model used by the
researchers in doing the project

- Each steps in the chosen methodology should state the

detailed steps taken by the researchers in developing the
system

Documentation Guidelines
Data gathering procedures
- The data gathering procedures are the tools or methods
taken by the researchers in gathering the information
needed for the development of the system

- Each step should be discussed in details

- The procedure must at least start in the Planning Phase

Documentation Guidelines
Following the format

The thesis format shall be presented by the Thesis Coordinator

or the CS Department Head

Documentation Guidelines
Revisions List
- The revision list shall be presented by each panelist after
each defense
- It contains all the recommendations and corrections by the
panelist
- The revisions list is a requirement for each panelist
- A format for the revisions list will be presented by the
Thesis/Capstone Coordinator to each panelist

Presentation
Tips
Abdul Mohaimen M. Esmail, CpE
Color Schemes
Backgrounds should be in pastel or light colors and must not in any
way distract the panelists away from the contents

Presentation Tips
There should be no moving backgrounds or an explosion of colors

Presentation Tips
Color combinations or color schemes should be limited into a
maximum of 3 colors

Presentation Tips
The content and the background should be in contrast:
1. If the text is black, the background should be in a light color;
hence, if the background is black, the texts should be in light
colors

Presentation Tips
The content and the background should be in contrast:
- Red-colored texts should not be placed in an orange background
- Neon colors are not advised to be used.
- Images can be use as background. However, the opacity of the
image must not deter the attention the contents

Presentation Tips
Transitions and Animations
At least one transition for all slides

Presentation Tips
Refrain from doing flying or revolving texts

Presentation Tips
If an animation is required or placed, it should not be too slow to take
time

DO NOT DO THIS!!!!!

Scripts
Scripts can be made for better practice
However, it must not be brought during presentation

Delivery Techniques
Introduction
- The person in charge of the presentation must be able to set
the mood
- The complete name of the panelists and their positions or
title must be mentioned
- All the researchers must be presented during the
introduction

Delivery Techniques
Transition of speakers
- There should be a good transition of speakers in a
presentation or defense
1. 1st speaker introduces and greets everyone (mood setter)
2. The next speaker shall be called by the previous speaker
3. The last speaker ends the presentation and set the mood
for the deliberation

Delivery Techniques
Transition of speakers
Some spiels can be used upon calling the next presenter

“To discuss the problems identified by the researchers during

the conduct of the study, may I call in Ms. Jane Doe to present
them”

“May I call in Mr. John Doe to present the scope and limitation
of the study”
Delivery Techniques
Ending the presentation
The last speakers ends the presentation

“That is the end of our presentation. Thank you for listening.

We are now ready for your questions and clarifications.”

Delivery Techniques
Thank you and good luck!
