Shipping

 Shipping is part of the Sales and Distribution (SD) component.


 Shipping is used to create outbound deliveries and perform different
shipping activities such as picking, packing and goods issue.
 Shipping is also a step in the supply chain from vendor to customer, and
therefore also belongs to the Logistics Execution (LE) component.
 Shipping activities follow sales activities.
 A range of shipping activities within shipping, including picking, packing,
and printing shipping documents.
 The basis for these activities is the delivery document (outbound
delivery).

Shipping Process

 Functions supported by the R/3 System in shipping processing include:


 Monitoring of deadlines for reference documents due for shipping (for
example, customer orders and purchase orders)
 Creating and processing outbound deliveries
 Monitoring goods availability
 Monitoring capacity situation in the warehouse
 Support for picking (with link to the Warehouse Management System)
 Packing the delivery
 Printing and transmitting shipping documents
 Processing goods issue
 The deliveries in the shipping department that have already been posted
for goods issue can provide the basis for creating a worklist for billing.

Structure of Delivery Document

 A delivery document consists of a header and a number of items.


 The header contains data that applies to the whole document.
 Ship-to party, shipping point, route etc. at Delivery Header

 The items primarily contain information about the material to be


delivered.
The Item data may include:
 Material number
 Delivery quantity
 Plant and storage location specifications
 Picking date
 Weights and volumes of the individual items
 Tolerances for under- or over delivery

Options for Creating Outbound Deliveries

 Outbound delivery can be created manually with (VL01N)or without


reference (VL01NO) to a particular order.
 In Collective processing (delivery list), goods can be delivered for all
types of shipping documents. In this case, the system automatically creates
multiple outbound deliveries. This can take place online or in the
background (overnight, for instance).
 Delivery documents can be changed or add items to delivery documents
after saving.
 Information such as ship-to parties and shipping points are not
changeable .

Options for Creating Outbound Deliveries

Checks done by System before creating Delivery:-

 Is the sales order data complete?


 Are the items in the order relevant to delivery creation?
 Is there a credit block or a delivery block?
 Are the schedule lines for one or more items in the order due for delivery?
 Has the customer asked for complete delivery?

 There are different options for delivering orders.


 Delivery agreements indicators are stored in the sold-to party
master(XD02/XD03) record or in the customer material information
record(VD52/VD53).
 These are proposed in the order and can be changed there.

Delivery Features

 The sold-to party requires complete delivery of the order.


 Sales order can not be split into several outbound deliveries.
 The sold-to party agrees to partial delivery. Choose from a variety of
partial delivery options. These are defined in the order at item level based
on the partial-delivery agreement.
 The sold-to party agrees to several orders being combined to form one
outbound delivery.

Complete Delivery Indicator


 Customer master record on the shipping screen.
 The indicator is copied into the order header.
 Can Change at Order header
System Reaction
 If you try to partially deliver an order to which you have assigned a
complete delivery indicator, the system will inform you that the customer
requires complete delivery of the order. All items must be delivered at the
same time. If you enter the complete delivery indicator X, you must set the
partial delivery indicator to C (no partial deliveries allowed).

Partial Delivery
 For partial delivery we have following scenarios:-
 Partial delivery allowed A
 Create a delivery with qty greater than zero B
 Create only one delivery (also with quantity = 0)C
 Only complete delivery allowed D
 No limit to subsequent deliveries

 Partial delivery indicator can be set in Sales Order item level, customer
material info record and also on customer master record.

 Indicator Blank - Partial delivery allowed: We can create multiple


partial deliveries for SO line item.
 Indicator - A (Create a delivery with qty greater than zero): If due to
some reasons, we can delivery only partial quantity, using this indicator we
can’t create other delivery for remaining quantity. Order is marked as
complete.
 Indicator – B (Create only one delivery (also with quantity = 0)): Same
as indicator A, the difference is we can create a delivery with zero qty also.
 Indicator - C (Only complete delivery allowed): System gives a warning
message, if we try to create line item partial delivery.
 Indicator – D (No limit to subsequent deliveries): We can create as
many as deliveries as we want. We can even do over delivery. Order status
is not completed until we assign it manually.

Order Combination
 This is actually a feature in Order to combine orders, order items or
partially deliveries of individual order items in one delivery if this is
agreed with customer. Order combination indicator has to be setup in
Customer master or order header & order items & schedule lines must
have following common criteria

 Sales Organization

 In the delivery process the delivery document type controls how the
delivery is to function.
 Delivery type can be seen at the delivery header.
 The structure of the delivery document is very similar to a sales document
type in that a delivery document has a header and item structure.

 Define Delivery Type (0VLK)
 Document Category:- This is a critical field that identifies to the system
what document type is being used. It is used in internal table controls, for
example, to determine system responses and messages.
 Number Systems:- The particular number range for Delivery is assigned
as well as the item increment in the delivery document type.

 NR Int. Assgt :-Assign the internal number range in this field (VN01)
 No. Range Ext:- Specify an external number range in this field.
 ItemNoIncrement:- This field is used to specify the interval between
successive items in the delivery.
Order Reference tab
 Order Required field The Order Required field is used to specify the
document type to be referenced in the creation of this delivery. In the case
of standard Delivery LF specify X (Sales Order Required) , for NLCC - B
(Purchase Order Required). For LO field is blank (meaning no preceding
document is required).

 Default Ord. Ty:- If a delivery is to be created without reference, we need


to specify a “pseudo” order type, which is a reference order type that is
required from an internal control point of view.
 ItemRequirement:- This is a provision to attach a requirement routine for
delivery items without reference to a sales document.

Document Content tab


Storage location is determined by a combination of shipping point + plant
+ storage condition. However, this only applies if the storage location rule
on the delivery document type is MALA.
 The output determination procedure and output type are used by the system
in allocating output to the delivery document type.
 The text determination procedure is used by the system to determine where
texts are allocated from in the delivery.

 The rescheduling indicator is used to control the rescheduling of backlog


deliveries.
 The automatic packing indicator controls if the packing proposal should
be adhered to and the items in the delivery automatically packed or not.
 The document statistics group is the determining field that updates the
logistics information structures (LIS).
 Delivery split per warehouse number, that is, items belonging to different
warehouse numbers will be split into different deliveries.
 Delivery split by partners is used to force the delivery split on the basis
of Delivery Partners.

 Distrbtn Mode if you use a decentralized warehouse management system,


you will wish to update the system automatically.
 Screen sequence group is used to determine the screens and the sequence
in which the SAP system should display them for a certain delivery type.
 The display range controls the data display for the delivery items. For
example, you can limit the display to only the main items and to suppress
all items dependent on main items.
 The standard text field is not used in ERP ECC6.

Delivery Item Category
 The delivery item category controls how delivery items are handled and
processed during the shipping process.
 When we copy an order item to a delivery, the system copies the item
category of the order item to the delivery item.
 If an order item category or the schedule line assigned to it is relevant for
delivery, the same item category is defined for the delivery process.

Determining Item Category in Delivery
 The system cannot copy item categories for order-independent items in the
delivery (for example, packing material) or for deliveries without
reference to an order (delivery type LO).
 In this case, the system determines an item category for the delivery
according to the assignments specified in Customizing. For determining
the item category, the system takes into account the delivery type as well
as the item category group (from the material master of the item).
 Additional usages are set internally for some functions, such as:
 PACK for generating packing items
 CHSP for a batch split
 PSEL for product selection
 For the delivery items resulting from these functions, the system can
determine a different item category.

Delivery Item Category

 The Material Number 0 Allowed field is used to permit the item to be


created without having a reference to a material reference. This is used in
examples for text items, where one creates a line item with a special item
category and types text in the description of the material description.
 The statistics group for the item category is used to generate statistics in
the logistics information system.
 The stock determination rule is used in conjunction with the stock
determination group to determine the stock determination strategy.
 The Check Quantity of 0 field specifies whether you can create an item
that has a zero quantity and, if you do, how it is to react with a warning or
error message or no message at all.

 The Check Minimum Quantity field is a check carried out against the
minimum delivery quantity on the material master record and the customer
material information record. The response from the system can be a
warning or an error message.
 It is possible to create an over-delivery, thus the Check Over Delivery
indicator is used to display a warning message or an error message should
the delivery quantity exceed the limit in the customer material information
record or the sales order quantity.
 The Availability Check Off indicator allows you to turn off the availability
check for a delivery item.
 The Rounding indicator is used to determine if the system should round up,
round down, or leave the results.

Delivery Item Category

 The Relevant for Picking indicator is used to switch on picking relevance


for a particular item. This item is then available in the picking list and to be
transferred to warehouse management. It would not be advisable to make
all items relevant for picking; for example, you would not pick service
items such as a technicians hours,non-stock, value, and service items.
 The Storage Location Required field indicates a storage location must be
entered for this item before the delivery can be completely processed.
 Determine Storage Location field is an indicator used by the system to
indicate automatic determination of the storage location for the delivery
item.
 The Don’t Check Storage Location field is used to stop the system from
checking that the material exists in the storage location that was
determined.

 The No Batch Check field ensures the system does not check to determine
if the batch entered in the delivery line item exists in the system or not.
Thus, should you enter a batch in the line item when the batch is not in the
system, the system will accept it anyway.
 The Automatic Batch Determination field tells the system to carry out
automatic batch determination in the delivery for this line item. (Automatic
batch determination can happen at the line item level in the sales order or
the delivery.)
 Packing control-Indicates whether delivery items with this item category
may be packed, cannot be packed, or must be packed.
 The Standard Text field is not used in ERP ECC6.

Setting Up Copy Controls for Deliveries
 In the case of deliveries that are created with reference to a sales document,
you have to control the flow of data into the delivery.
 This step ensures continuity of data, copies essential information, and
avoids manual data inputs in delivery creation.
 The copy controls between sales and delivery documents can be controlled
at the Header and Item levels using copy routines. The copy controls can
be set up as follows: IMG ➢ Logistics Execution ➢ Shipping ➢ Copying
Controls ➢ Specify Copy Controls For Deliveries (VTLA).
 Conditions tab
 Order Requirements :-The copy routine assigned here checks whether
certain prerequisites are fulfilled before a delivery can be created from a
sales document.

Copying Control
Combination Requirement routine The Combination Requirement
routine checks for certain conditions to be met before multiple sales
documents can be combined into a single delivery.
 Data Transfer tab
 Header Data routine The Header Data routine controls the data that is
copied from order to delivery. E.g. if certain data to be copied from the
VBAK (order header) table and the destination is the LIKP (delivery
header) table, set up a routine and attach it here.
 Control Data tab If you select the check box Copy Item Number on the
Control Data tab, the items would retain the same item number as in the
sales document . It would make sense to keep this check box selected if
you are dealing with large orders that may result in multiple deliveries and
post-delivery analysis is required.

Conditions tab
 The Conditions tab has an Order Requirement routine that performs item-
level checks before the order is copied into the delivery.
 Data Transfer tab
 Item Data routine controls the data that will be copied at the Item
category level. Technically, the data in the LIPS (delivery item) table is
controlled here.
 Business Data routine The Business Data routine controls the copying of
business data. If you need any data stored in the VBKD table to be copied
over into your delivery, this is the routine you can use.
 Control Data tab The Update Document Flow setting on this tab controls
whether the source and destination documents will be shown as linked in
the document flow.

Order Type Controls (VOV8) :-
 Delivery type proposal for the outbound delivery.
 Requested delivery date proposal in the order.
 Automatic creation of outbound delivery in the background when the order
is saved.
Item Category Controls (VOV7) :-
 Delivery relevance on the order item category level is valid only for text or
value items.
 Items that are relevant for delivery, such as sales order items, can always
have schedule lines. On the other hand, items that are not relevant for
delivery, such as items in contracts and credit memo requests, do not have
schedule lines.
Schedule Line Category Controls (VOV6):-
 The goods issue movement type (or goods receipt movement type for
returns deliveries) is defined at the schedule line category level.

 A shipping point is the highest organization in shipping.


 A shipping point is an independent organizational unit at a fixed location
that processes and monitors outbound deliveries as well as goods issue.
 The shipping point is directly under the client level.
 An outbound delivery is processed from a single shipping point.
 The responsible shipping point is determined in the order at item level.
 Several shipping points can be assigned to one plant. They may, however,
have different loading equipment or different processing times.
 The shipping condition is proposed from the sales document type if a
shipping condition has been assigned to it. If not, the shipping condition is
proposed from the master record of the sold-to party.
 Shipping point can not be changed in the outbound delivery.
 When an order is processed for delivery by the shipping point, the system
only copies into the outbound delivery those order items that are defined for
this shipping point.
 Order items with different shipping points are therefore not copied into the
same outbound delivery.

Shipping point is determined on the following criteria:-

 The delivering plant that is determined for each order item (from the
customer-material info record, the ship-to party record, or the material
master record).

 The required loading equipment contained in the Loading Group field in

Shipping Conditions field

Route determination is carried out in the order item and depends on:

 The country and the departure zone of the shipping point.

 The shipping condition defined in the sales document type or entered in


the sold-to party.

 The transportation group assigned to the material.

 The country and the transportation zone of the ship-to party.

 The weight group (optional and only relevant in the delivery)

Defining Routes
 Route determination is automatically proposed for each sales document
item in the sales order & then copied to Delivery Header.
 Route determination may also be re determined in the delivery on the basis

Picking

 Picking is the process of physically collecting the items to be shipped.


 Picking is the process in which the stock is selected from the storage
facility to fulfill a delivery.
1) Plant/SLOC-Delivery Document (VL01N/VL02N)
2) Warehouse-Transfer Order (LT03/LT12)
 The transaction VL06P generates a list of all deliveries that are due for
picking. Used in conjunction with WM, transfer orders can be created in
mass.
 One needs to pick the correct quantity of the right items for the delivery.
 All items are not relevant for picking.
 Text items or return items that are not picking-relevant.
 Picking is always carried out from a particular storage location, so for a
delivery to be picking-relevant, a storage location must always be entered.
If interfacing with warehouse management, the storage location in the
delivery determines which storage location to use in the warehouse.

 Two options, or rules, are predefined in SAP (the MM module) for this
purpose:
 MALA rule: The storage location is determined based on plant, shipping

Picking with Transfer Orders in Warehouse
Management
 If warehouse management has been implemented for a storage location, the
picking process will be carried out in the Warehouse Management application
of SAP.
 If this is the case, there is an additional transaction: creating a transfer order
(LT03).
 The picking process is then carried out in WM. Based on the requirements in
the transfer order, the stock is physically picked up from the storage bins in
the warehouse.
 Once the process is completed, the transfer order is confirmed using
transaction LT12.
 The remaining steps in the logistics execution process are then carried out in
the delivery document.
 In the standard configuration of the system, the prerequisite for posting goods
issue is that picking-relevant items are completely picked. This means that
the delivery quantity and the pick quantity in the outbound delivery must be
the same.

 After picking the items, the next step is to pack them for shipment.
 Packaging materials such as boxes and crates are also set up in SAP, using
unique material master records.
 These materials are distinguished by a different material type: VERP.
 During the course of packing, you have to select the appropriate packaging
material for the items being shipped.
Packing in Individual Delivery Documents
 In the delivery document move to the packing screen by selecting
 the Edit ➢ Pack option in VL02N.
 The items that are due for packing appear in the lower window, whereas
the new handling units (HUs) will appear in the upper window as the
packing progresses.

 Posting goods issue for an outbound delivery completes shipping


activities.
 Goods issue is posted for a delivery means the ownership of the goods
leaves the business and transfers to the carrier.
 Goods issue can be posted by changing a single outbound delivery
(VL02N)
 Collective processing function(VL06G) can be used in order to select all
deliveries for which goods issue is due to be posted, and then post the
goods issue.
 Can also use the outbound delivery monitor(VL06O) for posting PGI.
 Goods issue can be done ,when the transfer order is confirmed.(LT12).
 Goods issue applies to the whole outbound delivery.
 Any errors are logged, for example, when data such as the batch or serial
number is missing or when picking has not been carried out fully for the
items. In these cases, goods issue is not posted.

 Reduces Plant or Warehouse stock(MB52/MMBE)


 Posts the value change to the stock accounts in inventory
accounting(MB03/FS10N).
 The system decreases the value of the stock on hand and increases the
cost of goods sold (COGS ).
 Reduces delivery requirements(MD04)
 Enters status information in the outbound delivery(VL02N)
 Updates the document flow(VL02N)
 Creates a work list for billing(VF04)

Cancelling a Goods Issue

 If goods issue for an outbound delivery is canceled, the goods issue


posting is reset.
 The system copies the quantities and values from the original goods issue
document and carries out an inventory posting based on these quantities
and values with a reversed +/- sign.
 If you cancel goods issue, this affects the entire outbound delivery. The
cancellation document created during cancellation is entered in the
document flow for the outbound delivery.
 After goods issue has been canceled, the goods movement status of the
outbound delivery is reset to "Not yet started".
 This allows you to further process the outbound delivery as usual. The
delivery requirements are also recreated.
 Canceling goods issue comprises two steps if the outbound delivery has
been fully or partially billed. In this case you must first cancel the billing
document. Then you can cancel goods issue.
