• Rotary club of Addis Ababa-West 2020/2021 leadership took office on July 18, 2020

• The following are the board and club directors, one of the action that was take this Rotary year is to
have a director along with an assistance, since it will allow engaging more Rotarians moreover to fill
the gap in the absence the main director and it give room for the assistance to take over for the
coming Rotary years. It will simplify the replacement with experienced directors.

• Past President Nasru that served RC AA West for more than 10 consecutive years is currently an
Advisor for the club due to his immense experience with in the club& knowledge on Rotary. Having
such valuable & helpful member is tremendous help.

The club inducted two new members & brought back four former members. This year we are a bit conservative
on inductive new members trying to rectify the issues faced previously.

• New members need to take basic training on Rotary or orientation

• Membership payment need to be made prior to induction ( payment on installment is as well in place)

• Sponsors need to take full responsibilities on the new members they bring to the club.

• We are more into quality membership development rather than on quantity.

• New members need to attend minimum of 12 sessions prior to induction.

As of August the weekly meeting is conducted based on the monthly Rotary calendar theme

Taking into consideration the action taken by Rotary International on the affiliation of Rotary with Toastmaster, on
up scaling members’ leadership, communication and listening skill one of the prominent member from the
Toastmaster was invited as a speaker on the way forward.
RC AA West has come up with the Strategic plan for three years 2020- 2023 Rotary year in alignment of Rotary
International and the District`s strategic plan.

The club conducts the weekly meeting and board meeting monthly without any interruption. The club had a joint
meeting with Rotary of Mombasa and will have a joint meeting as well on our next session with Rotary Club of
Embu .

The club has a physical meeting once a month however the attendance is a bit low than the virtual. The number of
attendees on the virtual meeting is still below the 50% of the total members and this is mainly on the lack of
internet, mainly knowledge of and interest on the Zoom meetings.

• Keep our club member lists up-to-date, enter changes on My Rotary as they occur.

• Report Club and Officer Changes.

• Make sure the annual meeting for the election of officers should be held no later than 31 December.

• Attend the district training assembly and the district conference.

• Meet with the outgoing secretary and receive club records.

• Meet with the incoming club officers or board of directors to plan your year.

• Update your club’s records and member list on My Rotary.

• Update Club goals on Rotary Central.

• Serve on the club board and club administration committee.

• Take minutes at club and board meetings and club assemblies.


• Update club and officer information for the Official Directory and Rotary’s records.

• Manage club correspondence, including responding to emails and sending official notices and invitations.

• Keep promotional items, name badges, and other materials used at meetings and events.

• Work with the president to help our club select its electors for the district conference.

• Submit monthly attendance reports to the District Membership Director.

• Preserve your club’s historical records.

• Write an annual report for the club at the end of the Rotary year.

• Assist the club president, treasurer, and committees as needed.

• Make sure the club treasurer has the club invoices, due in January and July.
• Submit contributions to the Rotary Foundation behalf of the club or one or more club members.

• Collecting and recording dues.

• Reviewing the club invoice and paying it on time.

• Managing unpaid dues and fees.

• Make meetings either virtual or in-person meetings engaging and fun.

• Facilitate all kinds of meetings. (Club Fellowships, Club Assembly and District Governor Visit)

1. HOW ARE CLUB BANK ACCOUNTS SETUP?

Bank accounts are kept in Abyssinia Bank

Signatories:

Any of the two above signatories can authorize disbursement.


2. HOW DO CLUB MEMBERS PAY DUES:

1. Bank Transfer from Member’s account to Club account.

2. Bank deposit to Club account.

3. Cash or check payment to the treasurer.

Receipt are issued for all payment.


3. FINANCIAL POSITION OF THE CLUB

1. The Club have no outstanding debt. Thus the club is in good condition.

ROTARY FOUNDATION CHAIR

The following is the status of PHF in our club .
Out of 48 active members 40 are PHF which are 83% of our members:-
We have the following multiple PHs.
PHF+1= 4
4PHF+2 = 3
PHF+3 = 4
PHF+7 = 1
Major Donor = 1
We plan to raise a total of $10,000 for TRF as follows:
Every Rotarian Every year 20 members = $2,000
Additional PHF/Multiple 8 Members = $ 8,000
CLUB MEMBERSHIP DIRECTOR

• Membership increment

RCAAW has planned to increase the members by 15 new members. Out of the 15 new members 3 will be graduating
from our daughter clubs.

• Membership retention

RCAAW has planned to retain its members by making its club fellowships engaging. On our regular meetings we
will invite our members to talk about any topic interests them for 5 min (5 min talk).

We will invite out members to say rotary grace. Also assign each new member to be mentored by the senior members
of the club.
• Membership trainings

RCAAW has planned to give a quarterly training for new members to help them understand rotary. On these trainings
the trainers will focus on why member should join rotary, what are the obligations of Rotarians are.

The training schedules are follows.


CLUB LEADERSHIP DEVELOPMENT AND TRAINING DIRECTOR

• Membership training, Saturday 19 September 2020 (with District Membership Director Dr. Joe Kamau, District
Training Coordinator Rtn Dixon Karani and Senior Rotarians from Ethiopia involved)

• Capacity building and The Power of Self Image, Thursday 01 October 2020 7:30 PM (use of Rotary Learning
Center and other modalities for self-improvement), A panel discussion that will involve Club, Country and District
Officers. Please free up the Fellowship to concentrate on this. PDG Teshome to be a moderator (to be confirmed).

• The Rotary Foundation, Global Grants and DDF, Saturday 03 October 2020 (with Trainers PDGs Geeta and Peter
Mbui and PP Yemane, Rtn Guenet/PAG Sharon will be involved in the preparation of the program)

• Leadership and Communication Skills, Saturday 24 October 2020 (with Ethiopia from Toastmasters and other
senior Rotarians PRIVP Yinka or PDG Eric Kimani and from within President Samrawit, PCC Esayas, Rtn Abenezer
will be part)

• The Basics of Rotary and Why a Rotarian? Saturday 09 November 2020 (the 4-way Test, Objects or Rotary and
Ethics and Conducts and Structures) to be led by President Samrawit, PP Wondwossen, and Rtn Dr. Kassahun - I
might request a senior Rotarian District or here to speak depending on time.
CLUB SERVICE PROJECTS COMMITTEE CHAIRS

• Select and Prepare Committee members.

• Set guidelines for project proposal submissions to Club Board.

• Plan, implement, and evaluate projects.

• Identify opportunities for signature projects that will increase RC AAW’s impact on the
community.

• Work with other organizations, volunteers, and committee members to maximize the impact
of your projects.

• Lead efforts to fundraise for projects.

• Understand liability issues that could affect RC AAW’s projects.

• Collaborate with other clubs on projects.


• Highlight club projects in Rotary Showcase.

• Report project activities and progress to President Samrawit, the Board and Club members

• Compile exiting project documents and establish storage facility both physical and on cloud accessible to all
members and easy future reference.

• Give instructions to close bank accounts for RI, District and local closed projects.
NEW GENERATIONS DIRECTOR
PP Misrak Elias
RCAAW is the Mother Club to 3 Rotaract Clubs:

Rotaract Club of Atrons


Rotaract Club of Lewet
Rotaract Club of Fanos

The role of the New Generation committee is to facilitate, coordinate and support RCAAW

activities andthe activities of the 3 Rotaract clubs in areas of convergence.

There are 3 areas of work:


A. Support the Rotaract Clubs through RCAAW members’ participation in:

1. Professional Development Training

2. Mentorship

3. Guest Speaking
B. Collaborate with the 3 Rotaract clubs in:

1. Organizing events, celebrations.

2. RYLA.

C. Seek Rotaract club members’ support for:

1. Organizing events.

2. RCAAW project activities.

In addition to the above areas, the Rotaract Club of Atrons has requested RCAAW engagement in the following
areas:

1. Support for project development for “Coffee Shop” a project for street children

2. Peace project – guest speaker


FUNDRAISING DIRECTORS
Rtrn. Manyahlishal Kebede
As it is well known to everyone, from March last year following the advent of COVID 19 virus attacking
thousands of people and the subsequent lockdown announced by the Government; all club fellowships and
other meetings were completely stopped. Many club activities were disrupted, hence it has been and still is
difficult to organize fundraising that is meaningful.

Despite the above restrictions, It was decided to collect Birr 800 from each member equivalent to individuals'
yearly contribution to the sunshine box.

However, after a thorough discussion, the fundraising committee has come up with some of the following
ideas for this year until the end of June 2021.
• Visit various sites around Addis Abeba by club members and their families.

Club members and their families including other rotary club members in Addis Abeba are also invited to join
if they wish to do so.

Following the good news that the Government has recently lifted the limitation of passenger numbers in each
bus we are encouraged to hire one for a day trip, have lunch visit the site conduct some activities, and come
back.

Everything will be in accordance with the restrictions imposed by the advent of the virus ie. Mandatory
wearing of masks, social distancing, etc.Payment by each member will cover the cost of the trip, food, and
other services plus a certain amount to be given to our club. The amount will be determined later.

Frequency: We plan to organize these trips every two months depending on the number of people joining and
how popular they will be.
The following are the planned sites to be visited:
• Adadi Mariam
• Tiya
• Wontchi
• Ankober
• Entoto Park

The idea is also to conduct the induction of new members and invite their family members so that the Rotary
ideals are also communicated to their family members. This will encourage them to engage a member-only but
also to involve and motivate their families.

2. Horse racing bating games:

This will be organized outside our fellowship taking into account COVID 19 restrictions. The venue and date
will be communicated and a list of attendees will be prepared.

3. Fellowship lunch at Kuriftu in Debre Zeit

A member of our club has volunteered to find a private house where we can bring potluck lunches and drinks
to the venue. Here again, family members and other Rotary club members will be welcome if the number of
people is within the limit.

Other members willing to invite are also welcome.


4. Photographs online auctioning:

It is to be remembered that we have a collection of black and white beautiful photographs taken in Ethiopia
by the wife of one of our members and donated to our club a few years back. We plan to put these pictures
online on our website and sell them on auction or otherwise. Decisions will be taken later. It is a pity to see
them stored in a home.
