 Each proposal/lead shall be evaluated in the prescribed format &


recorded in the register
 The initiating official after his analysis put up to controlling officer
 The proposal can be accepted or rejected by the management/Board
 The excepted proposal shall be put to bidding after bid parameter/numbers are
approved by the management and a separate transit file shall be made which
shall be under the possession of director BD
 The rejected proposal shall be filed in a master file in order of serial number
 When the bid is accepted, the transit file will be converted into a project file &
shall be handled by PMC-2/PMC- 3 as the case may be

Attendance Policy
• The offices of the company shall remain open on every day of the year except on Weekly holidays, National
holidays and closed days. The list of national holidays and closed holidays to be observed in the company shall be
notified at beginning of each calendar year.
• Sunday of every week, 2nd Saturday and 4th Saturday of the month shall be closed for employees at
Corporate/Head office
• Working Hours: 08 hours and 30 minutes duty including a lunch break of maximum 30 minutes on a working
day between 1:00 pm to 2:00 pm
• Office Timings: 09:30 hours to 18:00 hours (the working hours may be changed time to time keeping the overall
working duration same)

Attendance Policy
Reporting Time rules:
• A Grace of 10 minutes (09:30 hours to 09:40 hours) for reporting in office will be allowed provided an employee
attends his office duties for 08 hours and 30 minutes (including lunch break).
• Biometric system will regulate the timing and a cumulative monthly delay of 3 hours 59 minutes will be deemed
to have reported on time.
• In the event the reported late coming time exceeds 4 hrs and less than 6 hrs, a half leave will be deducted from
employees account. Further in the event late coming exceeds 6 hrs a full day leave will be deducted from
employees account. For more than 8 hrs it will be prorated.
• Reporting after 11:30 hrs shall be treated as half day leave provided she/he attends his/her duties at least for 05
hours on that day otherwise she/he shall be treated as full day leave

Leaving (Out) Time
• In case of leaving office before completion of 8:30 hrs duty as required, approval of Controlling Officer /HOD is to
be obtained.
• if the working hours in the office are more than 06:00 hrs, the short leave will be treated as a special dispensation
and if the working are between 4 to 6 hours such a short leave will be treated as half day CL. Such a dispensation
shall only be once in a month.
• In cases of non-availability of CL in his account, the same shall be treated as Leave without Pay (LWP).
Working beyond duty hours
• If required employees may be asked to work beyond office hours for which no overtime shall be payable.
However, refreshment charges and/or arrangement of dropping female employees working beyond 08:00 PM can
be facilitated on the sole discretions of the management
• In the event any employee is asked to stay beyond office hours for more than 4 hrs to meet target of specific
nature, management may consider granting compensatory leave on its sole discretions.

Leave Policy
CASUAL LEAVE

Casual Leave up to a maximum of 10* days in each calendar year shall be admissible to cover the casual absence of an employee for personal reasons. On

expiry of each calendar un-availed casual leave, if any, shall lapse automatically.

• Casual Leave can be availed of for half day also. If half day’s Casual Leave is availed of, the lunch break will be taken as the dividing line.

• Casual Leave shall be treated as duty for all purposes like fixation of pay, grant of increment and payment of salary.

• Casual Leave cannot be combined with any other type of Leave.

• Causal Leave can be availed maximum 2 at a time and the Period of Casual Leave (including intervening Sunday/ Holiday) availed of by an

employee shall not exceed 4 days at one occasion.

• Employees joining the Company on first appointment or on separation during the calendar year will be allowed Casual Leave on pro-rata basis

• CL shall be applied through submission of CL application form. However, the minimum communication channel shall be through

telephone/application for availing the CL in case of emergent need. Whats app, SMS, Email or any other social media shall not be used as

application for approval to avail causal leave. Leave availed through this process will treat as leave without pay.

* Sick Leave of 5 days have since been combined with CL of 5 days

PRIVILEGE LEAVE (P.L.)
• Privilege Leave shall be admissible to an employee at the rate of 15 days in a year. Out of 15 PL in a year, 8 PL will be credited to an
individual account on 1 October of current year and balance 7 PL on 1st April of current year.  The accrual to be credited as per the
prorated leave earned by the employee.
• Maximum accumulation of Privilege Leave by an employee shall be 90 days.
• Privilege Leave may be granted to an employee up to a maximum period of 30 days on a single occasion.
• Privilege leave may be clubbed with Sick leave. In the event of clubbing sick leave with Privilege leave total leave cannot exceed 45
days at a single stretch. For availing sick leave as PL, medical certificate shall be provided.
• Seventy Five per cent (75%) of Privilege Leave standing to the credit of an employee can be encashed once during the financial year
either fully or partly in multiples of 5, subject to minimum of 5 days and maximum of 60 days at a time. Entire Privilege Leave at the
credit of an employee can be encashed at the time of resignation, superannuation or termination (other than on disciplinary ground)
• During the period of Privilege Leave/encashment of Privilege leave, an employee will be entitled for Basic Pay + grade pay as
admissible to him on duty.
• An employee may be permitted to adjust any portion of Privilege Leave in fulfilment of requisite notice at the time of resignation or
voluntary retirement from service.

MATERNITY LEAVE:
• A female employee may be granted Maternity Leave on full pay for a period up to 15 days from the date of its
commencement.
• Maternity Leave not exceeding two weeks may also be granted on the recommendations of the Medical Officer in case
of miscarriage including abortion.
• Maternity Leave may be combined with leave of any kind including any Leave but excluding Casual Leave, up to a
maximum of 45 days, if the employee so desires, with production of Medical Certificate.

EXTRA ORDINARY LEAVE WITHOUT PAY (EOL):


• Extra Ordinary Leave may be granted upto 90 days to an employee who has completed a minimum of one year of
service.
• Neither any leave salary shall be admissible nor any leave shall be accrued during the period of Extra Ordinary Leave.
The annual increment shall be shifted for a period of EOL if the same has exceeded 30 days within a year. Similarly
EOL exceed 30 days no increment shall be applicable.

NO LEAVE DURING SUSPENSION

An employee under suspension shall not be granted any leave/leave encashment.


ABSENCE FROM DUTY
• If an employee remains absent without proper intimation, she/he will be marked absent and this will render him liable
for disciplinary action for misconduct. If an employee remains absent for a period of more than 10 days or does not
report for duty within 10 days from the date of expiry of leave granted to him, the Appointing Authority may presume
that he has no interest in the employment and has voluntarily abandoned the service of the Company and accordingly
his name shall be struck off the rolls of the Company after providing him a notice of atleast 15 days in writing.
• In the event of regularisation of absence subsequently by sanction of leave, if any, it should be suitably recorded in
Performance appraisal report.

LEAVE SANCTIONING AUTHORITY


Leave Sanctioning Authority for grant of different kinds of leave shall be respective HOD or as specified from time to time
separately.

 TA Bills
 The employee on return from the tour shall submit Tour Report Part A and Part B through his
controlling officer to CMD. After pursuing the tour report Part A will be retain for record and Part B
will be send to Accounts department for payment
 Part A shall be numbered in CMD office which will be indicated in part B before the same is send to
accounts department for payment

 Meetings
 Monthly review meeting of all employees with the Management
 Prior leave of absence from the meeting is compulsory

 Follow up meetings for Project review, Period/Frequency to be decided by HOD/Management
