SCHEDULING PROJECT WORK IN PROJECT
MANAGEMENT
INTRODUCTION TO SCHEDULING
PROJECT WORK
DEFINITION OF PROJECT SCHEDULING WORK

 Scheduling project work is an essential aspect of project management, as

it helps organizations plan and coordinate tasks, resources, and timelines
to achieve project goals efficiently.

 Effective project scheduling contributes to successful project completion,

increased productivity, and improved overall project performance.
 This research aims to explore some key aspects of scheduling project
work and provide insights into best practices and strategies.
WHAT IS A PROJECT?
A project is a temporary endeavor undertaken to

create a unique product, service, or result. It usually

has a defined beginning and end, and is typically
carried out to achieve specific goals and objectives .
TYPES OF PROJECT
SCHEDULE?
1. A master schedule.
2. A milestone schedule.
3. A detailed schedule.
MASTER SCHEDULE
is a planning and schedule process that outlines how a project, often a manufacturing
operation, should be managed and run.
MILESTONE IN PROJECT SCHEDULING
A milestone is a marker in a project that signifies a change or stage in
development.
DETAILS SCHEDULE
This is a detailed plan of the tasks or activities to be carried out over the
time frame of the project. This also allows for estimating the resources
needed on the project and thus consolidating a budget. The schedule
consists of all the tasks, or activities, necessary to complete the project
deliverables.
ADVANTAGES OF SCHEDULING PROJECT WORK
 1.Assists with tracking, reporting, and communicating progress
 2.Ensures everyone is on the same page with tasks, dependencies,
and deadlines
 3.Highlights issues and concerns, such as a lack of resources
 4.Identifies task relationships
 5.Monitors progress and identify issues early
DISADVANTAGES OF SCHEDULING PROJECT WORK

 1.Rigidity. ...
 2.Misdirected Planning. ...
 3.Time consuming. ...
 4.Probability in planning. ...
 5.False sense of security. ...
 6.Expensive.
PROJECT SCHEDULING KEY
ELEMENTS
DEFINE THE PROJECT

If you complete a project planning in the form of a work

breakdown structure prior to beginning the project scheduling
process, it will come in handy during this step. Take the framework
you built for the project and define the tasks and milestones
necessary to get the work done.
ADMINISTRATORS
 Administrators, on the other hand, are individuals who
manage and oversee the administrative functions within
an organization.
DIVISION OF LABOUR AND SPECIALIZATION
 Division of labor refers to the process of dividing a production
process or a task into smaller, specialized tasks, each performed by
different individuals or groups.

 Specialization goes hand in hand with the division of labor. It refers

to individuals or groups focusing on producing or providing specific
goods or services in which they have a comparative advantage..
DEFINE THE CRITICAL PATH

The critical path refers to the longest sequence of tasks that must be
completed on time to avoid delaying the entire schedule. A delay to any one
of these tasks will push back project completion by the same amount of time.
Accurately defining the critical path ensures you know what tasks must be
completed when to keep the project on schedule. It’s necessary to account for
the dependencies identified above when defining the critical path. You should
also consult with the team members who will be completing the relevant
tasks.
SETTING UP A COMMUNICATION CHANNELS

 Communication channels refer to the different means

or methods through which information, messages, or
data are transmitted between individuals or groups in
a communication process.
SEQUENCE PROJECT TASKS AND MILESTONES

Once you’ve determined which tasks and milestones are necessary to

complete the project, you need to get them in the right order. Certain
tasks may be dependent on the completion of previous tasks. If a
dependency is not accounted for during this step, other team members
will have to wait to complete their tasks, impacting the timeline. Even
if there are no dependencies, team members need to know when they’re
expected to accomplish specific tasks.
TASK DEPENDENCIES:

Identify dependencies between tasks, such as those

that need to be completed before others can begin.
Understanding task interdependencies is crucial for
scheduling and avoiding bottlenecks.
BUILD A TIMELINE

You’re now ready to build out your timeline with solid dates for each
part of the project. Your timeline should reflect the critical path and
sequences you laid out above to accommodate any constraints or
dependencies identified. And don’t forget to account for weekends,
team members’ scheduled time off, holidays, and other factors that
might impact available work hours. While you can expect your
schedule to evolve due to scope changes, unexpected
variation in productivity, and other potential issues, you’ll want to make
sure it’s as accurate as possible to begin with.
RESOURCE PLANNING

Consider the availability and allocation of

resources, including team members, equipment,
and materials, when creating a project schedule.
Ensure that resources are appropriately scheduled
and avoid overloading individuals or teams.
GANTT CHARTS:

Gantt charts visually represent project schedules,

showing task dependencies, durations, and start
and end dates. Use project management software
or online tools to create Gantt charts that allow for
easy visualization and tracking of progress.
ESTIMATING TASK DURATION

Work with your team to estimate the duration

required for each task. Consider factors like
complexity, available resources, and potential risks or
constraints when determining task durations.
MONITORING AND UPDATING

Regularly monitor the project's progress and

update the schedule as needed. Adjustments may
be required due to changes in priorities, resource
availability, or external factors beyond your
control.
TRACK PROGRESS AND ADJUST THE SCHEDULE AS THE PROJECT
PROGRESSES
You’ve completed your schedule and the project is underway. Hiccups and
unforeseen issues are bound to occur, so you should track the progress of each
task and milestone. If it appears adjustments to your schedule are needed,
make them quickly to keep everything on track. Establishing good project
controls is key here so you can maintain the integrity of your schedule even in
the face of significant problems.
RESOURCE MANAGEMENT SOFTWARE
Utilizing project management software or scheduling
tools simplifies the scheduling process. These tools
allow project managers to create, update, and monitor
schedules, collaborate with team members, and
generate reports.
AGILE PROJECT MANAGEMENT:
Agile methodologies, such as Scrum or Kanban, focus on iterative
planning and scheduling, allowing projects to adapt to changing
requirements and priorities. Agile provides flexibility and responsiveness
to address dynamic project environments.
POSSIBLE CHALLENGES IN SCHEDULING
PROJECT WORK AND SOLUTIONS:
UNCLEAR PROJECT OBJECTIVES:
 If the project objectives are not well-defined, it
becomes challenging to create a meaningful
schedule. Solutions include conducting thorough
project planning and requirements gathering to
establish clear objectives before scheduling.
DEPENDENCIES AND PRECEDENCE:
 Projects often have tasks that depend on the completion of
others. Handling dependencies requires understanding the
critical path and using scheduling tools that can handle task
dependencies effectively.
ESTIMATION ERRORS

Inaccurate time and effort estimates can lead to unrealistic
schedules. Encourage team members to provide detailed
estimates based on their expertise and historical data from
similar projects. Regularly review and adjust estimates as
the project progresses.
RISKS AND CONTINGENCIES:
 Unforeseen risks can affect project timelines. Create a risk
management plan that identifies potential risks, assesses
their impact on the schedule, and defines contingency plans
to address them.
LACK OF COMMUNICATION
 Poor communication among team members can lead to
misunderstandings, delays, and missed deadlines. Foster open and
transparent communication channels to keep everyone informed
about project progress and any changes to the schedule.
SUMMARY OF SCHEDULING PROJECT WORK

Scheduling project work is a crucial aspect of effective project management that
involves planning and organizing tasks, resources, and timelines to ensure
successful project completion. It encompasses various key elements, each of
which plays a vital role in delivering the project on time and within budget.
1.Task Identification: The first step in scheduling project work is identifying all the
tasks required to achieve the project's objectives. This involves breaking down the
project into smaller, manageable components.

2.Task Sequencing: Once tasks are identified, they need to be sequenced in the
right order. Certain tasks may be dependent on the completion of others, and this
interdependency must be considered to create a logical sequence

3.Estimating Durations: Accurate estimation of the time required to complete each

task is essential. Project managers may use historical data, expert opinions, or
estimation techniques to determine task durations.
scheduling project work involves meticulous planning, accurate estimation,
resource allocation, and continuous monitoring to ensure that projects are
delivered on time, within budget, and meet the desired quality standards. It is
a dynamic process that requires adaptability to handle unforeseen challenges
that may arise during the project's lifecycle.
